  1. Payroll Department Coding - to be able to put a department code on all payroll categories and report to show employee name/gross wages/department coding assigned to payroll. The only way in Xero at the moment is through timesheets but this does not allow for all payroll categories to have a department code allocated. And when producing a timesheet report it does not show the $ gross wages for each employee only the hours. Need to include coding on allowances, leave and super.

    Hi everyone, thanks for sharing your feedback on payroll tracking. We understand some of you want to see gross wages, tax and super broken down by department and timesheet categories.

    In May 2025 we released an update which allows super and leave to be allocated to employee groups, which helps track full wage expenses across departments or cost centre.

    As you’re aware, our timesheet reports can be filtered by tracking categories, however the reports summarise hours rather than a total wage breakdown.

    We've shared this idea with our product team. We really appreciate the feedback however further payroll tracking features are not in the near term roadmap so we'll update the status to Not in Pipeline at this time.

    We’ll continue to monitor your interest and feedback as we plan future improvements to Payroll reporting.

  2. UK payroll - Have the ability to fully process 2 workplace pension schemes. We have 2 contribution schedules, one basic minimum level, one at higher levels. Sage can process both of these and send the correct contribution amounts to NEST. XERO is unable to do this and requires manual intervention in XERO and at NEST. This is crazy, surely I am not the only one with more than one set of contribution schedules?????

  3. When ticking the "eligible to receive leave loading" box under taxes, have a pop-up to enter the leave loading rate. A lot of clients tick the box, but are not aware they need to manually enter the rate under leave in the payroll settings as well for it to occur.

  4. I feel it would be very useful that once a payroll is processed and the system uploads payslips into Xero Me that the employees either get an email from the system or the associated app notifies the employee that there is a new payslip available to view.

    I understand that Xero can securely email payslips, but I think that it would be useful for Xero had the ability to be able to automatically notify employees of uploads into Xero Me

  5. The ability for the expenses claimant to process a negative claim where they have purchased something using their company card and subsequently received a credit for part or all of the original payment amount e.g. over charge or returned goods.

  6. Search by Employee across all of Payroll reports. We have 110 - 120 staff, currently we have to scroll down to find the right employee, can we have a standards search by employee. ie/ start typing their name and then hit enter

    Hi Belinda, to check in on your idea here are you looking for similar to the Pay History report that allows you to search the employee versus drop down and select as you do in the Leave Transactions report?

  8. Add a date to the end of the payslip PDF file name. eg payslip_20220519 That way easy to save and file each slip without having to rename

    Just wanted to touch base regarding this idea as it's been a while since we've posted an update.

    We've reviewed the votes and comments on this idea and can see this idea has been gaining support.

    Whilst this isn't currently on our product team's roadmap, we're monitoring the activity on this idea and will keep you updated as we go.

  9. Given that there is already a link between Pay Runs and Timesheets, it would be very helpful if the Pay run could recognise what days have time entered on the timesheet then it would recognise if an employee worked on a Public Holiday and then by default record 1.5 times and add the lieu day to alternative holidays.
    This is something that my clients miss regularly as they expect Xero Payroll to do this for them.

  10. To produce a report that shows all expenses entered via the expense claim feature for a specific period, which also shows who entered the expenses and details of the claims?

    This is a useful feature required for comparing budgets and forecasting future cash flow expectations.

  11. Automatically accrue RDO hours after a certain amount of hours logged.

    Job management systems push 80 hours over as a timesheet in Xero.

    We would like the total combined hours logged (ordinary hours, annual leave, RDOs, personal leave and public holidays) in excess of 76 hours to automatically be converted to RDO hours.

    E.g: If I log 80 hours ordinary time, I accrue 4 hours RDO.
    E.g: If I log 78 hours ordinary time, I accrue 2 hours RDO.
    E.g: If I log 80 hours annual leave, I accrue 4 hours RDO.
    E.g: If I log 72 hours ordinary time…

    Hi everyone, thanks for your feedback on having Xero automatically calculate AEO & DEA as a percentage. We appreciate you sharing how you're currently managing these deductions in payroll.

    As you’ve found, the existing Earnings Order pay item requires deductions to be manually calculated, which we understand impacts your workflows for employees with variable earnings.

    We want to be upfront that there aren't any current plans to develop this in Xero payroll.

    While automated calculations for Earnings Orders aren't on the foreseeable roadmap, we will continue to monitor interest in this space. Thanks for continuing to shape the future of Xero.

  13. The gross to net report currently doesn't include reimbursed expenses, and possibly other things we haven't found yet so the net pay doesn't agree to the payslips! Please can we have a gross to net report that agrees to payslips? Failing that even a report that shows reimbursed expenses per employee would be better than nothing.

    Hi everyone, thanks for all of your engagement with this idea. We appreciate you taking the time to share your thoughts on being able to claim previous year's employment allowances in Xero.

    We understand this would save time and provide a more complete payroll solution.

    As noted by others in this thread, the current workaround is to process prior year claims using HMRC's Basic PAYE Tools.

    We've reviewed our upcoming development roadmap, and at this time building the functionality to process prior year Employment Allowance claims is not in our immediate pipeline.

    We will keep this idea under consideration for future development, and should our plans change, we will provide an update here.

  16. Once expenses are approved it would be fantastic to have an option to "send" this to their next approved payslip rather than having to manually add this to the payslip.

    Seems madness this isn't implemented already - what is the point in doing everything in Xero if you need to faff around making adjustments for details that are already in the system.

    Employee's submit expenses - so you know who needs reimbursed already.

  17. Show the Total Payment of a Pay Run, on both the Pay Runs and individual Pay Run screen. As it is, you have to click Payroll > Pay Employees > Pay Run > Employee to see the Total Payment for that specific Pay Run. Far too many clicks to check what the total amount was that was posted to Wages Payable account (and paid from the bank account).

    Hi there, we appreciate you raised this a little while ago. This isn't something we have plans for in the near term.

    Not getting a lot of support from other members we’ll soon remove this from Product ideas. If it’s still highly valuable to you, welcome to start it again and see if it gets renewed interest.

  18. Currently Xero Expenses creates a single expense claim for each individual item.
    Normal practice for an expense claim is it contains multiple lines (different expenses), such as parking, a restaurant bill and a hotel.

    I would like to have the ability to group individual expense lines into one expense claim.

    I would then have a single bill to pay (an expense claim with multiple lines) appear in my Bills to pay, rather than one for each line.

    Hey community, thanks for your detailed feedback on combining expenses into a single claim.

    We recognise the value in creating a more streamlined process for submitting and approving multiple expenses, especially for events like business travel.

    Our product team are currently reviewing this functionality and are in an initial discovery phase, but it isn’t set in their product roadmap yet. We’ve moved the status to In Discovery to reflect this.

    We’re continuing to monitor feedback on this idea and will keep you updated.

    Hey everyone, we thank you for the detailed feedback on improving how leave requests work for part-time employees in Australian payroll. 

    We understand the value of shifting the task of adjusting hours to employees, freeing up payroll administrators’ time for other priorities and we also appreciate the points raised around accuracy and compliance.

    While we don’t have current plans to deliver exactly what’s been suggested here, our product team is continuing to focus on developing working patterns within AU Payroll. Based on what we’ve seen in other regions, this'll likely address many of the needs discussed here.

    We’ll move this idea to Not in pipeline for now, but we’ll keep you posted on any updates that could help achieve what’s being asked.

  20. Employers are only required to pay superannuation guarantee up to a quarterly threshold (maximum contribution base). At the moment Xero doesn’t cap the super at this level, and will allow super above the cap to be booked. (In fact, to limit the super at the cap requires a work-around adding 2 lines, one with 0% super and another with the fixed amount up to the cap.). Employers can easily overpay their employees’ super. This functionality needs to be built into Xero.

    Hi everyone, thank you for your feedback and I do want to apologise for any confusion my update's caused. You're correct in that the responsibility outlined in my response is relevant to the concessional contribution cap. Seeing your responses today, we now appreciate that the idea here is specifically around the maximum contribution base.

    I want to assure you this is something our product teams are paying close attention to and though we don't have any immediate plans we can share, we will consider this request as we continue to plan our roadmap - We encourage you to share any further details on your experiences related to managing the maximum contribution base as these will be helpful to the product team as they assess this feature.
