AU Payroll - Restrict which earnings rate an employee can select in timesheets
Ability to restrict which pay items an employee can view in Xero Me to only those that apply to that employee. Without this ability employees sometimes choose pay items that do not apply to them. Most often this is picked up at the authorisation stage but why allow the possibility for error in the first place.
Hi everyone, it’s been a while since our last update on this, so we wanted to share some progress.
Our product team is currently working on a wider project to improve the timesheets experience. We're pleased to share that very soon, employees will only be able to select pay types that have been specifically added to their individual Pay Template when creating timesheets in Xero Me.
This change is designed to reduce errors and ensure employees only see the earnings rates relevant to them.
We’ll be sure to post another update here as soon as this is ready to roll out!

Fix this ASAP. It would be a minor coding correction in Xero Me.
Limit the visible pay rates to what is on an employees pay template - SIMPLE.It has caused major issues in our business with employees questioning each others rates of pay.

This fix is urgently needed. Organisations that use award rates need to update those award rates in one place in payroll each year. You can only adjust rates across multiple employees by setting up extra Ordinary Hours earnings pay items, but then all these pay items show up as options on every timesheet, giving employees visibility across the organsation as to which award rates are being used in payroll. Completely unacceptable breach of privacy for a payroll system. Fix immediately.

I agree. Employees having access to all "earning rates" makes more work for me as the payroll officer as I have to double check all the staff have entered their correct earnings rate.

When entering timesheets for an employee, it would be great if the pay item defaulted to the employees pay template. When there are different departments and therefore different Pay Items setup, these are attached to the pay template for each employee, but when entering timesheet, you have to choose which one to use, as it defaults to the first one on the complete pay items list, which half the time is not right.

The employee should only be able to select the pay rate assigned under their pay template, rather than any pay rate available. Please fix.

Absolutely ridiculous you can choose a pay rate not relevant to to you. Surely this can be fixed quickly.

Totally agree with Mark and the other comments. This seems to be a rather obvious flaw in the system. Of course you would want an employee to see ONLY their pay. This would have to be fixed before I would use the xero me feature.
Unfortunately, I see that the other comments are from a couple of years ago so obviously, not a priority for xero!! -

When you invite an employee to xero me for the purpose of submitting their timesheet, there is a drop down menu for the payrate. In this drop down, it shows 'Self' payrate (the payrate of the person submitting the time sheet) and also 'Team' payrate, a list of all the different payrates of the company. Why would you want an employee to be able to see the different payrates of the team?
This seems like a flaw in the system to me and an employee should only be able to see the payrate that applies to them.

This is really important. I am sure amny of us would be happy to accept the subs increases we have been receiving if more time was put into Payroll as a whole.

We would like to restrict which leave types are displayed to employees in the MyXero app. For example, we don't want employees to be able to choose leave without pay, but we need it in case they negotiate LWOP with their manager and with HR's approval.

This would be a great idea as I have employees selecting supervisor to get a hirer rate of pay, as this shows as an option on their xero me app. I would just like the pay item that is assigned in the template.

I have 30 odd clients using xero for payroll, and most avoid using the timesheet function because of this issue.

As I do the payroll, it would be so much easier just to assign each employee with their own pay rates and not have to scroll through 20 different pay templates to find theirs. E.g., if they are 15 years old, it would be great if just the 15yr old options came up and not the 16yrs, 17yrs, 18yrs etc. Bec

100% agree, especially since selecting anything from the My team options stops the timesheet from being able to be accepted. It is completely useless and only causes issues and confusion.

Xero Me - Hide all pay items and only show relevant categories.
Currently on Xero Me, when going to submit a timesheet, you can choose any pay item that has been set up on Xero.
These options are divided into "Self" or "My team" to identify which items an employee has been set up with on their timesheets.
Why include the "my team" section? Please remove all other options so employees can only view and select from the pay categories they have been allocated on their employee pay template.
There is no need to have that added confusion whatsoever for the employees and have people selecting incorrect, higher paying rates.

Yes, it is a bit crazy that employees can see the other employees rates when entering their time sheet information. This has only recently changed and is causing issues among my staff.

This is essential . When an employee logs in to xero me in the app the can see all the pay items, not just the ones assigned to them. How do we fix it so that they can only se the pay items assigned to them?
2. Is there a way for the pay item to default to the day that they select, ie if they work a Saturday then in the xero me app when they tap on Saturday it automatically defaults to Saturday rate. -

Link the data already on file in the Pay Templates directly to the Employees Time sheet. Or at least remove the ability for Employees to view ALL pay items on their time sheet. This creates friction among Employees and angst re different levels that they may not be on. Despite the fact they can't see a dollar amount. Even if I need to create a new Time Sheet Template as long as ALL pay item are hidden on the time sheet from the Employee point of view. Seems an easy fix. get it done please.
