Payroll AU - Timesheets default start and finish times
Ability for the employee in Xero Me. to be able to create a timesheet template so that they don't have to complete the start, finish and break times for every day every pay period.
45 votesHi community 🙋
Thanks for starting this idea! Did you see last week that our Product Team released an update that helps speed things up on Xero Me Mobile? They’ve enabled the ability to copy previous time entries in start-end timesheets on a per day basis. To do this, enter your time entries as usual for the first day in your timesheet, and then select the “copy from [date]” option when adding a new time entry for a consecutive day.
The team are interested in further exploring improvements in this area, but at this stage there are no firm plans to progress this idea. They’ve got their eyes on the ground though - closely monitoring your ideas, votes and comments. -
UK Payroll: Include NIC and PAYG savings in pension contribution when salary sacrificing
Salary sacrifice pension saving added back onto payslip
32 votesHi everyone, thank you for your feedback on NI savings in pension calculations. We appreciate you sharing how you’re currently managing these contributions when processing salary sacrifice schemes.
We understand many of you are using spreadsheets and manual workarounds to add these additional employer contributions to the payslip.
Our product team has reviewed this request and moved it to Accepted so that it can be considered in future planning cycles. Although it isn't currently on the immediate roadmap, we'll keep you updated as things progress.

UK Payroll - Allow leavers to access payslips after 14 days
Leavers can only access payslips 14 days after leave date. 14 days is not enough time as the final pay ay not have been processed at this time. So final payslips then becomes a manual process. If P45's could also be accessed that would be great.
25 votesThanks for sharing your idea, we understand sometimes employees need access to payslips beyond 14 days after their leaving date.
We've reviewed your idea and now it's up to the community to get behind and support it. Make sure you share your idea with any colleagues that this could benefit so they can add their vote too!
Along with votes, other members can now comment to share additional detail about how your idea could improve their experience with Xero.

AU Payroll - Create a shared Calendar
Integration of all employee leave taken with a shared calendar in outlook or calendar in Xero itself that everyone can view to see who is on leave and when.

AU Payroll - Option to enter withholding tax variation as an additional percentage
The witholding variation should be on top of the existing PAYG calculation not overrides it, as it currently does. If an employee completes a MyGov employee Tax Form and notes they want an additional % amount variation withheld - it should be on top of their existing PAYG tax, not instead of it. There is no other option to put in a percentage amount in XERO.
Or allow the upward variation amount to be a percentage amount - not just a fixed amount.
The screenshot attached shows this employee should be paying tax on the full amount (no threshold claimed)…
70 votesHi everyone, thanks for your feedback on this. We appreciate you sharing how important it is to be able to add an additional percentage on top of PAYG.
As you’re aware, you can increase the amount of tax withheld each pay, however the figure must be a fixed amount.
We understand some of you have been using workarounds like manual calculations or withholding variations, which create challenges if employees earnings are not fixed.
While this feature isn't currently on our roadmap, we've updated this idea to Accepted, so that it’s up for formal consideration.
We're grateful for your continued input as it helps us understand what matters.

AU Payroll - Add new super funds from employee profile
When adding a new employee record, allow me to 'create new superannuation' during the process of creating their new record. Currently when adding a new employee record, I need to navigate away from the employee record to 'Settings > Payroll Settings > Superannuation' to add a new superannuation relationship. On the new employee record, when the pop up appears for superannuation, if you could add a spot to say 'Create New relationship' or something under the employee record - I'll buy you a beer.

Xero Expenses - Ability to edit exchange rate
"As an employee submitting my expenses I don't want to be left out of pocket because Xero Expenses doesn't allow me to set the exchange rate I was charged by my bank."
Xero Expenses uses XE.com exchange rates for foreign currency exchange rates and it's not possible to override/change this.
It should be possible for the employee, or approver, to manually set the foreign and domestic currency amounts, or set the exchange rate itself.
48 votesThanks for sharing your idea, and letting us know that you would like to be able to enter your own exchange rate for your expenses.
We've reviewed your idea and now it's up to the community to get behind and support it. Make sure you share your idea with any colleagues that this could benefit so they can add their vote too!

AU Payroll: Control default 'Timesheet type' for employees
Set the default time method for timesheets.
Allow the payroll admin to set the default method for all employees to capture the timesheet details. EG set all employees to use only the time in and time out method not the hours method.
24 votesHi there, we appreciate you raised this a little while ago, so just wanted to touch base with an update. This idea isn't something our product team have plans for in the near future. However they'll continue monitoring this idea and we'll reach out if the idea is added to the product road map in the future.

UK Payroll - Ability to process prior year employment allowance claims through Xero payroll
At the moment this isn't an available feature, and HMRCs basic PAYE tools need to be used. It would be good to see this as an option in Xero.
132 votesHi everyone, thanks for all of your engagement with this idea. We appreciate you taking the time to share your thoughts on being able to claim previous year's employment allowances in Xero.
We understand this would save time and provide a more complete payroll solution.
As noted by others in this thread, the current workaround is to process prior year claims using HMRC's Basic PAYE Tools.
We've reviewed our upcoming development roadmap, and at this time building the functionality to process prior year Employment Allowance claims is not in our immediate pipeline.
We will keep this idea under consideration for future development, and should our plans change, we will provide an update here.

AU Payroll - Allow allowances to contribute towards other leave rates
With separating the All purpose allowances. Is there going to be a selection for SICK LEAVE and RDO in the future? (Currently Contributes to Annual and Overtime) only. There is a lot of room for error when you have 50 employees and you have manually adjusted the rate for every single employee!! I'm sure we are not the only company that has RDO and Sick Leave where the all-purpose allowances need to be included in the base rate. Could you please Add this option to the allowances pay item. We are unable to continue with STIP Phase 2 unless this…

AU Payroll - Accrue Leave on Multiple Earnings Rate in Payroll
Streamlining " Multiple of Employee's Ordinary Earnings Rate" .
I have a client who has 14 employees and 4 Ordinary Earnings Rate for each employee as their business trades 7 days a week. Each Employee is on a different Ordinary Earnings Rate. The current system on Xero requires you to create and select Multiple of employees ordinary earnings rate in the payroll settings and calculate and enter the multiplier % for each earnings rate for each employee in order for the ordinary earnings rate to be calculated and for the annual leave and carers/personal leave to be calculated. This is…108 votesHi everyone, thanks for your feedback on this idea. We appreciate you sharing how important accurate leave accruals are for managing payroll when employees work at different rates across various days or departments.
While we aren't able to add this to our roadmap right now, we want to make sure you are aware that it is currently possible to set up leave to accrue on more than one earnings rate.
As mentioned in this thread, the key is to set the Rate Type for these additional items to "Multiple of Employee's Ordinary Earnings Rate".
Please refer to our support article Set up overtime or earnings that accrue leave for a guide on how to do this. We'll keep this thread active for future feedback.

Expenses: Option to disable mileage claims
Turn off the mileage claims option in the Expense Settings .. currently one cannot do this ... we have never used this option, and it's a pain when we use the Xero expenses app as it adds another layer to inputting an expense.

AU Payroll | Employee - Field for Employee Number
Include a new field in Payroll Employee data with employee number. Employees will have a unique identifier in Xero. For any new employees, Xero will generate a unique number.
79 votesHi everyone, thanks for your feedback on adding employee numbers to employee records.
Currently Xero uses unique identifiers for employees which are included in STP files sent to the ATO, however there’s currently no ability to add employee numbers to employment records.
After reviewing with our product team, this feature isn't currently on our roadmap so we'll update the status to 'Not in Pipeline'. As an alternative, payroll admins can use the Notes section or adapt an existing field in the employees record to assist with identifying employees.
Whilst we understand this may not be the outcome you’d hoped for, we appreciate you taking the time to provide us with feedback to help shape Xero.

Timesheets: Daily approvals
Weekly Payroll calendars and get paid monthly.
It would be advantageous if timesheets can be submitted daily and approved daily.
Reason: approved cannot remember hours staff worked last 30 days. approver has to make a note of hours and then refer to notes when approving timesheets submitted.49 votesThanks for your patience, it’s been a little while since you raised this idea, so we wanted to check in. We've now reviewed this idea and have moved it to Gaining Support status. Our product team are keeping an eye on this idea and we will continue to share updates as things evolve.

AU Payroll - Ability to remove leave types incorrectly assigned
Need to be able to remove a leave type for employees. Ie an employee is entitled to 4 weeks annual leave p.a.. They have renegotiated their contract and are now entitled to 5 weeks AL p.a. I've set up a new leave type to accrue 5 weeks p.a. for this employee and asked that they use this option when submitting future requests. I have changed the AL 4 week code to No Calculation for this employee, however it still appears as an option when they request leave. I would like to remove this as an option because they continually inadvertently…
23 votesThanks for taking the time to share this idea about being able to remove leave categories that are no longer used or were assigned incorrectly.
At the moment, there isn’t a way to fully archive or delete a leave type. If the leave type has never been used for that employee, you can remove it from their record. If the leave type has been used or has a balance, you’ll need to edit the balance and stop it from accruing going forward.
Your idea is formally logged here in Product Ideas. it’s up to the community to get behind and support it. Make sure you share your idea with any colleagues who could benefit from this so they can add their vote too!

AU Payroll | Add opening balance for Working Holiday Maker tax rate
Please add an opening balance for the Working Holiday Maker tax rate
When a Working Holiday Maker (WHM) reaches the earning threshold of $45000 they must be taxed 32.5% (instead of 15% prior to $45K per financial year). When an employee is set up in Xero as a WHM this tax calculation is automatic as along as the full $45K was earned with the current employer. If the employee has earned $45K prior to starting with a new employer Xero will calculate the WHM tax as 15% instead of 32.5% and there is no option to set an opening balance.…

AU Payroll - Ability to export and import pay items and rates
Ability to export pay items and update pay rates in a spreadsheet and then re-import when pay rates have been updated. Would save so much time each year when Fair Work increases pay rates.
82 votesThanks to everyone following this idea. We understand how being able to import and export pay items would positively impact your review processes.
Though this isn’t currently in the roadmap, we see the value this’d bring in regards to pay award updates. We’ve updated the idea status to accepted and we’ll share any future developments, here. Your input in idea’s is always appreciated.

Xero Expenses - Combine Expenses into a single claim
Currently Xero Expenses creates a single expense claim for each individual item.
Normal practice for an expense claim is it contains multiple lines (different expenses), such as parking, a restaurant bill and a hotel.I would like to have the ability to group individual expense lines into one expense claim.
I would then have a single bill to pay (an expense claim with multiple lines) appear in my Bills to pay, rather than one for each line.
127 votesHey community, thanks for your detailed feedback on combining expenses into a single claim.
We recognise the value in creating a more streamlined process for submitting and approving multiple expenses, especially for events like business travel.
Our product team are currently reviewing this functionality and are in an initial discovery phase, but it isn’t set in their product roadmap yet. We’ve moved the status to In Discovery to reflect this.
We’re continuing to monitor feedback on this idea and will keep you updated.
