Permissions: Payroll - Payroll admin limited access
Ability to give payroll admins only permission to staff.
Purpose: To make the staff have fully access to Payroll but not other parts of Xero.
Hi everyone, we appreciate you taking the time to share how important more flexible payroll permissions are for your teams.
It's clear that having granular control over who can access different parts of payroll would make a real difference to how you manage timesheets and leave approvals, as well as restrict access to other sensitive areas.
From research, Payroll is definitely an area we know needs more permission controls for varying roles. This is something our product teams are beginning to explore and do deeper research of. We'll keep you updated as we make progress, and we're grateful for your continued input.

Our company needs the ability to have different access levels within payroll.
We have team members involved with the weekly payroll, that are not permitted to view Manager's payroll information (i.e. Salaries) for personnel within the Fortnightly or Monthly payroll.Our weekly payroll is for casual personnel so this is has a larger group of employees involved so the workload is shared.
I find it unusual that all other areas of Xero have different levels of access ie. Submitter, Approver and Admin, why is there not varying levels within payroll.
Suggestion for restructuring of payroll could be as follows:
* Restrict Submitter to either Weekly or casual personnel categories.
* Approver could have access to all employees/ payroll.
* Admin has access to the super lodgements and STP filing. etc. -

This is essential; I want our auditor to be able to access everything, we have nothing to hide, but multiple audit staff work on our engagement and I don't want to risk any of them accidentally changing anything while reviewing payroll items.

It is CRITICAL that we can give view access to payroll to various people like auditors, directors and other people that need view access but that they cannot make any changes.

I would love to give a staff member Invoice Only access for business, and Payroll Admin access. They have taken over payroll processing from me, but also work in sales, so need to be able to raise Sales Invoices. However I don't need/want them to be able to view bank account balances & details or bank rec etc.

The access rights are crazy limited. I want to grant managers so they can enter leave for their direct reports, but they can only do this with Payroll admin rights which allows them to see everyone else's pay information

We need the ability to further customise User Permissions. For example, a company could have 3 bank accounts and one credit card, all of which need reconciling, but I want two employees to share responsibility. So, employee A can do two bank accounts, and Employee B can do 1 bank account, and one credit card, and each can only see what they are responsible for. Secondly, we should be able to set up a Finance Manager who has certain permissions again separate from all other options. For example we may have a Purchasing Officer with authority to purchase goods/services up to a value of $10k but anything over this limit does NOT allow them to approve the PO, the PO must be submitted to the Finance Manager to approve in Xero. Another issue two is certain roles need to be able to generate certain reports but not all...

I REALLY don't need to be sent copies of all the timesheets for approval for all my clients, particularly since I can't attest to the employee's timeliness since I'm not there, I'm an offsite advisor.

Payroll user access for advisors that can be customised so that you can opt out of being an option for approving leave or timesheets etc. -

Xero payroll should have a process for segregation of duties, especially for adding & changing bank accounts detains. Xero has a system for that in the contacts.

We strongly agree with Tracey. We need Xero to segregate payroll admin's user access to different access levels, especially to employee's sensitive information, such as TFN. We need some payroll admin users can see employee's TFN and others not. If this can be urgently actioned will be great.

I would second this for the exact same reason, I currently have a staff member who I have caught looking at senior management payslips that have nothing to do with them. Even just a split between weekly and monthly pay runs, allowing them access to weekly and NOT to monthly would help me!

Is important that Managers can have Read Only access to Payroll and access reports without being able to run a payroll or Edit any information

Access to managing leave only would be great - Certain levels of manager need to manage people but not necessarily seeing financial data for the whole company.
Currently they appear to only be able to accept or decline leave not amend leave or see the whole picture/pattern of leave.

I agree with Tracey. It is very important that all the payroll admins do not have access to executive staff wages and there should be a way that this is more flexible in Xero.to allow only one payroll admin access to this particular payroll file.
