  1. My Xero - Managing staff access to clients

    I suppose we have a large-ish accountancy - in My Xero I get a full list of all clients I get access to; that's 25 pages of clients at 50 clients per page. I see all clients irrespective of whether the subscriber is internal (within our accountancy) or external (the client).

  5. Document Packs - User permissions

    The ability to lock down who can prepare doc packs vs who can send them. ie. We want admin to prepare but Director to send. Suggest view / prepare / send.

    Hi everyone, we're happy to say we've been looking into the Workpapers feature taking on board many of the ideas from our forums here. The inclusion of decimal places for things like entertainment expenses will be part of our new Xero Workpapers where all workpapers will show to 2 decimal places. We're starting with releasing this to our Australian partners with intentions to share wider in 2026. Along with information on our Xero blog and website, we'll keep you updated of it's release here.

  8. The option to remove permissions from a client has gone with the new Staff experience.

    When removing access permissions for staff, you can now only edit their permissions and when you select the "No Access" Option under organisation access and the Payroll option disappears. Applying this does not remove payroll admin permissions, so when you want to remove a team members access to a client you have to action the permission update twice.

    The new experience was supposed to simplify the staff management, not add more steps!

  9. Incorrect Bulk Update and Suggested Notification Process

    Example Scenario:
    On Job Manager, a staff member accidentally selected all active jobs and changed their status from “In Progress” to “Completed” using the bulk update feature.
    Impact:

    Over 150 jobs were marked as completed.
    Workflow visibility was disrupted, and deadlines were missed because jobs disappeared from active lists.

    Root Cause:

    Bulk update permissions were too broad.
    No audit trail or alert triggered when job states changed.

    Recommended Controls:

    Trigger Email Notifications for Job Status Changes/Setting up email alerts
    Detecting incorrect bulk updates
    Reverting changes quickly Options
    Require confirmation before applying changes to…

    In the meantime, it is worth noting that a custom job notification for job state change could be created in your XPM account if you haven't done so already.

  10. When you have a departing group, you have to now click on the group, select the entity, click on the 3 dots and select Archive.
    This removes the entity from the group. You then have to start again and search the next entity from clients, and repeat the steps. as you cannot select back to take you back to the group.

  11. Ability to add a date greater than 50 years. We have a custom field for trust vesting date (typically up to 80 years after formation). Since the latest update we are unable to add date greater than 50 years.

  12. Recently we had a client who sold their property, which triggered a CGT event. The property was initially their main residence, however this ceased once the property commenced being rented out. Therefore, a partial main residence exemption applies, however Xero Tax doesn't currently provide a code to acknowledge this scenario, once providing a main residence exemption code (see attachment). For enhanced clarity, it would arguably be useful if such a code was provided, so the gross capital gain can be apportioned between the amount subject to CGT & amount subject to the full MRE.

    Thanks so much for sharing your feedback on adding a Partial Main Residence Exemption code to the CGT Worksheet in Xero Tax.

    As you know, right now, the best workaround is to manually adjust either the Capital proceeds or Cost base in the worksheet. This helps ensure the correct Net capital gain flows through to Item 18A, and still lets you use Exemption Code I. We know it’s not ideal, and it’s exactly the kind of thing you want a built-in solution for.

    We’ve reviewed the idea and moved it to Gaining Support, which means it’s now open for more votes and discussion. Community support plays a big part in helping our product team understand the need. We’ll update the thread if anything changes.

  13. Adding additional formatting options for reports so that we could fit reports to one page when exporting to PDF. Too many financials currently export with one or two line on the last page. This creates messy looking financials that are too many pages.

  14. We have set up tracking categories in xero - one for Land & property and one for Self employment. I want to be able to import the data in to their tax return. I normally generate on xero tax the xero sole trader accounts to then be able to import these into the tax return. However, when i do the sole trader accounts, it pull through all information - L&P & SE. I only want the SE bit so i can add this to the SE section on the tax return.     Thanks for sharing this idea. We appreciate you explaining how filtering sole trader account data by tracking category could support your tax preparation workflow.

    As you've mentioned, tracking categories will be utilised to support multiple businesses for MTD for IT, however this isn't available with Xero Tax for sole trader accounts preparation.

  15. Add functionality to merge client accounts used to access previously signed returns (via portal.xero.com). This would ensure that when a client updates their email address, their full record of signed tax returns remains intact and accessible through a single login with the new email. This eliminates the need to log in with multiple accounts to view the complete history of signed returns.

  16. You are able to post a dividend with a date in a different year. I don't think it should let you type a date outside of the period. Until you click review it does not flag an error

  17. When creating a journal and posting it, if we want to go back and make it an auto-reversing journal, the only way is to click "copy" or "reverse" then enter a new journal at a required future date. When doing this, Xero does not link the two (i.e. does not recognise the new journal as an auto reversing journal with the usual hyperlink and note). My suggestion is for Xero to keep the "auto reverse" field open when editing already posted journals. Two example use cases:

  18. Looking for a report that identifies clients who have registered for GST or PAYG with the ATO but have not lodged any Activity Statements (AS). This needs to be linked to the ATO. (some of these clients are new to needing to complete AS).

    We are currently using MYOB for this feature.

  19. Prefill - when we prefill a return from the ATO it brings in lots of information but doesn't update the due date for lodgement. The date currently appears to prefill from client details.

    Hi Vicki, thanks for sharing this idea. We can see why this may be helpful for some users. Currently, you can import an 'Income tax lodgment status report' from ATO online services to bulk update the current tax returns due dates in the client details, but for now Xero does not pull this information from the ATO. We've moved this idea to gaining support and we'll monitor the idea for more support.

  20. Instead of creating a bill when lodging the BAS through Xero - have the option to create a journal entry instead!
