AU Payroll - Employer Expenses
PLEASE, PLEASE, PLEASE add an option to Payroll that allows employer expenses to be processed. The Union our company is a member of insists we pay as an employer expense into a redundancy program and also an income protection program for each employee. The Union demands that the payments are detailed on each employees payslip. We can only do this if we have an employer expense option. One of my clients in the United Kingdom uses the UK version of XERO and their version allows for this. Come on Australia, catch up!!!

Login - Use backup email or phone for confirmation of suspicious login
you should be able to confirm your account with a secondary email. I got locked out of my primary email, and Xero thought my normal log in was suspicious. I had not way to confirm my account. I have a secondary email. What is the point of the secondary email if there is no way to use it to confirm my account? Or use my phone for a text confirmation.

Quote - Copy Project through to Invoice created from a Projects quote
When creating an Invoice from a quote within Projects, the newly created invoice does not retain any connection to the Project that the quote is linked to. This is very annoying and time-consuming - as the only way to then link the Invoice to the Project is to manually select and assign every individual line item, one by one and map them against the project. Surely this is an easy fix to keep an Invoice linked to a project as the quote was? Why would you disassociate an invoice from a project that it directly relates to??

Dashboard | Account Watchlist - Change the order
On the dashboard, be able to reorder the accounts in the watchlist. At the moment they are shown by default in alphabetical order and can't be reordered.

Projects - Add Estimated expense in foreign currency
We have projects in Xero that estimated expenses in USD and AUD, but at the moment we are not able to set up tracked expenses in just our general currency (AUD).

Invoice Settings - Separate Number Sequence for Credit Note
Currently, in the Automatic Sequencing setting, the invoice & credit note share the same number sequence. However, for tracking purpose, we prefer to have a separate number sequence for credit notes. Therefore, would like to request an additional 'Next Number' field for credit note, which can come with an option to share or not to share the number sequence with invoice.

New Invoicing - Use the same button layout as other transaction entry screens
Why are the attach file buttons in the opposite order in New Invoice from the likes of Bills and everything else?
2 votesThanks for also sharing screenshots, Moyra. Appreciate wanting consistency in actions across Xero like this. New invoicing is built on updated technology, bills and other pages you see across Xero with the image in your first screenshot are yet to under go this update, however as we get to them they will adopt the same similar components and layouts that you see in new invoicing today. So while I'll move your idea here to not planned as we will not be updating the buttons in new invoicing, you can expect to see this same layout in other places across Xero overtime.

Xero Accounting app - Create Overpayments & Prepayments
Would be really useful to have the ability to add Spend or Receive money transactions (overpayments or prepayments) within the mobile app. At p[resent the only options are bank fees or adjustments. So quite often reconciling transactions requiring this type of action need to be left until able to access a full web browser version.

UK Payroll - Coding of Direct Employer NI and Direct Pension costs
In the Payroll software, we can only allocate Direct wages to the cost of sales. Unfortunately, that doesn't include Employer NI nor Employer Pension cost in the cost of sales.
Such coding would be useful, as we now use Birghtpay to do such coding.
Without this feature, the gross profit margin and overheads are incorrect.4 votes -
Chart of Accounts - Ability to lock individual accounts
The lock date feature is great for preventing back posting as a whole but we would benefit from a lock feature for specific nominal accounts - to prevent colleagues posting to a specific account until dates are unlocked.

Reports - GST late filing adjustments
would be so much easier if the only amounts that show on the GST late file reports are amounts where the GST treatment has ACTUALLY changed. doing something as simple as changing a code in a filed period can create hundreds of pages of "late claim" adjustments but they are just in and out entries..... this also makes it harder to determine which entries have actually changed.

NZ Payroll - Ability to log start/end times in timesheets
The upgrade allowing start and end times and breaks to be entered into timesheets looks fantastic. Please can you let NZ users have access to it too.

Global Pay Run - Ability to select payable account for Deductions, Taxes and Post-tax Deductions pay types
The feature request is to allow the defining of current liability accounts for pay items with pay types set to Deductions, Payroll Taxes, and Post-tax Deductions. This will enable the tracking of payroll source deductions and taxes necessary for remittance reports to the tax authority (such as EI, CPP and income taxes for T4 and T4 summary completion in Canada).
There are two ways I believe Xero developers could achieve this goal.
Below is an explanation of what currently happens during pay runs:
For pay items with a pay type set to Wages, Allowances, or Non-taxable Allowances, the journal entry is credit Wages Payable the amount of net pay and debit the expense account defined when setting up the pay item. A separate pay stub is created for each employee that acts similar to a bill but is not editable. You must void the pay run and recreate if an error was made.
For pay items with a pay type set to Deductions, Payroll Taxes, Post-tax Deductions, or Employer Contributions, the journal entry is credit Accounts Payable for the full amount and debit the expense account of the expense account defined in the first pay item selected from the group above on the paystub, with exception of Employer Contributions which you can define the expense account when setting up the pay item. Xero will create a separate bill for each of these pay items in the name of the Contact defined when setting up the pay item.
To void a pay run, you must first remove all payments applied to bills or pay stubs related to that pay run. Voiding deletes all pay stubs and bills created for that pay run.
The first strategy would be to select a different accounts payable account for the pay items Deductions, Payroll Taxes, and Post-tax Deductions in the pay item settings.
The second strategy would be to allow editing of the bills.
I recommend the first strategy as the voiding logic would have to be changed as much. But this doesn't resolve the issue of having to void the whole pay run if you want to make a change of which account the transactions are posted to.

- From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date.
- Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run.
With this update we want to be upfront here that we don't have any intentions of further developing Global Pay Run, and will close this idea.

Billable expenses - Visible on Contact and dashboard widget
At the moment, there are two places you can find out if there are billable expenses outstanding for a Contact: at the bottom of the Sales Overview, and in one report.
A total should be visible in the header of Contacts that have had billable expenses assigned to them (including if there's Projects assigned to that Contact with uninvoiced expenses).
There should also be a widget for the dashboard similar to the section at the bottom of the Sales Overview.
These will make it easier to remember to on-bill expenses in a timely fashion.

Conversion Balances - Add Tracking options
Allow tracking options to be entered against all account codes for conversion balances. For existing businesses that use tracking and wish to migrate to Xero with opening balances, this is an important feature.

AU Payroll - Approve leave request from email
Approve employee leave requests directly from notification email.
As a Leave Approver, I want to be approve or reject leave applications directly from the notification email so that I don't have to continually login.

Xero Blue | Global Search - By Contact account number
Using the dashboard search, we are no longer able to search by account number and must instead use names. Account numbers are used by thousands of businesses across the country and it's one of my most common client questions.
We can search by account number in the contact screen, please extend this to the dashboard search

Xero Analytics | Short-Term Cash Flow - Change payment dates from within Short-Term Cashflow Screen
While reviewing the short-term cash flow report, a client may realise that there is a bottleneck and spread out some bill payments by changing the payment dates. It would be great to be able to do this from within the Short-Term Cashflow (on the same screen that the issue is identified) to see the results immediately and the improvement in cash flow.
