  1. Currently if termination date falls in the middle of a pay cycle, the final pay run will not calculate the staff pay pro rata and therefore payroll admin has to manually update the payslip. Please include this feature so Xero constructs the payslip taking into consideration the termination date whilst still using the employee card details (rates, deductions etc etc).

  2. Ability to email payslip before the pay run is posted. This way the employee can come back to the pay clerk with any feedback on hours or allowances before the pay run is completed and filed through to myir. The reduces the need to revert the pay run before the "final" posting and payment made to employees. Reverting the pay run impacts on IRD when IRD have begun their processing as they have to do a manual amendment to pick up any changes once the pay run is re-posted.   4. Our payroll requirements vary across the year as we are very seasonal. It would be useful to be able to 'select all' or 'deselect all' when selecting who to pay when setting up a pay run. Having to deselect about 30 of 35 staff one by one is painful!

  6. Before posting a payroll, when you run the "Payroll Activity" report, include the leave entitlements about to be posted not just the pay items.

    So when you download a report to do a final check before posting payroll you can check ALL payroll activity not just half of it !

    Hi Kristen, appreciate you sharing in product ideas here. While this isn't something we have plans for I wanted to confirm you can currently check leave accruals by clicking on the employee's payslip prior to posting the pay run.

    Once the pay run's posted, before it's filed, you could run the report and find any issues, and revert it back to draft to make changes if necessary.

  7. When posting a pay run, Xero should automatically create spend money transactions with all relevant details and links to the pay run.

    Currently, this is done manually by creating spend money transactions for each transaction and there is no link to the payslip.

    This will save a lot of time in reconciling a pay run and improve the connectivity within Xero.

    Hi community, you might've heard that we’re making changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date.

    - Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run.

    Considering that we'll retire this feature we want to front-foot that we have no plans (as requested in this idea) to develop Global Pay Run.

  8. In Xero Payroll, it would greatly improve efficiency if the "Save & Next" button appeared at the top of the employee pay details screen, not just at the bottom.

    For businesses with detailed pay setups (multiple earnings lines, deductions, reimbursements, etc.), scrolling to the bottom of every employee’s pay screen just to click "Save & Next" is time consuming and disruptive to workflow.

    Adding this button to the top would:

    • Streamline navigation during pay runs

    • Reduce unnecessary scrolling

    • Improve accessibility for users reviewing multiple employee pays in one session

  9. An automatic monthly payroll tax report would be fantastic. I've noticed Xero cannot do an automatic calculation of Payroll Tax like MYOB can. MYOB allows you to select pay categories (pay items) to exclude and run a monthly payroll tax report.

    Our AU Payroll team are testing some changes to Payroll reconciliation. The idea to have an automatic monthly payroll tax report is highly associated with payroll reconciliation and we feel that voters here would also have an interest in payroll reconciliation. They would love to hear from you!

    They’re aiming to conduct some 1 on 1 interviews between 6 Feb - 16 Feb 2024, the interviews will last 45 minutes.

    The purpose of the session: Participants will be asked to help with testing a prototype concept designed to enhance the AU payroll reconciliation process.

  10. When processing backpay for employees where they have a Termination Date currently involves either an Unscheduled Pay run for a period the employee was employed or undo the Termination date, and run a payrun, then Terminate again.
    Both of these are very time consuming, particularly when there are some 40 employees over an 18 month period that need to be included who have a Termination date.

  11. If in a 'normal' pay run an employee takes Annual Leave then Leave loading is shown as a separate line item - clear to the payroll person and the employee. However in a Final Pay run it does not show. Being consolidated with the leave sum is not obvious. Please keep to the 'normal' format, then it's clear to everyone

  12. If an employer pays irregular wages, there is not option in the calendar or the employee card.

  13. Currently leave requests must be approved before the relevant pay run is commenced.

    If we discover that leave needs to be added at any point after the pay run is commenced, the entire pay run must be deleted, along with any progress made.

    When processing payroll for businesses, I occasionally discover leave should be included only while I'm actually processing the pay run.

    I'd like to have a clone of the leave creation UI as an option while within the pay run process itself. This would show leave balances for the employee, and only have an option to Approve…

  14. Currently to reimburse employees for expenses you have to add them manually to each pay run for each employee, it would make sense for expenses that have been added using the expenses function to auto add to payroll each month to reduce work and to allow staff to be reimbursed quicker. this would also make the expenses function more worthwhile for the cost.

    This would reduce stress for staff putting on employees as expenses that have been approved will automatically be added and marked as paid.

  15. I cannot be the only Global Platform user that has now been waiting for basic payroll feature improvements in the Global version for over 4 years now.

    Critical features that are not available include:
    - Ability to add logo and YTD balances on pay slips
    - Template payroll emails when sending pay slips (have to type it every time now)
    - Timesheet option that syncs / built into payroll. Or at minimum an import option.
    - Holiday / sick pay / leave tracking
    - Basic employee portal for them to view pay slips and leave balances, and basic core…

    To be open and upfront we don't have direct plans for making changes within the Pay Run feature in the foreseeable future.

    You may like to look into connected apps for a payroll solution that could suit your business.

  18. I think it would be a good idea to facilitate the location of payroll reports. Please could you create a link to payroll journals within the payroll "journal reports".
    Secondly, it would very useful to be able to amend a payroll journal report, if needed.

  19. Please can you add a fix so that you can amend someone's regular earnings with the same start date if that pay-run hasn't yet been run.

    You used to be able to do this, but recently you cant make a correction - instead you have to put the correct data on the next available date. This creates a second line on the payslip - which looks messy and clearly displays the fact you've made an error. Not something I'd choose to share.

    Hi Georgina, the salary line will only lock once it's been included in a pay run. Is it possible there is a pay run in draft? If so, you'd need to delete the draft pay run in order to edit the salary line.

    If you're having any issues with this we'd recommend raising a case through Xero Central where our specialists can investigate this with you.

  20. Ability to show or report the variances/differences between the draft payrun and the prior period payrun.
    This would save a huge amount of time going through each payslip to ensure the usual pay is being processed and nothing has been accidentally added or missed.
    Especially when you have a large number of employees.

    Hi team, while it's not possible to view the previous pay periods figures for comparison in the current pay period, you could open the previous pay period overview in a separate browser window. Meaning you can compare the two pay runs without having to go back and forth between them.
