  1. Xero has a guide to pro forma invoices but nowhere in help is explaining how to do this in Xero. https://www.xero.com/uk/guides/what-is-a-proforma-invoice/

    I suggest you create a help page advising users to use Quotes (or possibly drafts) with a custom layout to solve this issue.

  2. We are a subscription based business, so it would be great to be able to bulk update repeating invoice amounts. Either by selecting all the ones we'd like to change or by pushing through new inventory/product/service price changes. At the moment we have to change every single repeating invoice and this takes hours and hours!

    Thanks for the feedback and great to hear the use you find in repeat templates in Xero. 


    While there's no way to bulk update templates atm, you may find updating your templates through export & import of invoices more helps quicken things up?


    You could export invoices that have been generated from your template to CSV, update the amounts in the exported file, and then re-import

    This will create 'Draft' invoices in your Xero org from which you can create a Repeat template and then delete the draft. 🙂

  3. Please change the new invoicing so when we copy the invoice, the previous contact automatically appears as default

    Hi everyone, we've introduced a change to new invoicing so you now have the ability to copy an invoice to a draft invoice and keep the existing contact. 🙂

    When you select this option, you'll see a pop up where the current contact is selected by default, however you can choose another contact or leave this blank if you'd prefer.

  4. I have a long list of draft invoices, however in the app, I don't know what each one is unless I click on it? Why is the reference not in the heading? This would save a LOT of time for such a small feature.

    Thanks for your feedback on the thread. Though not useful for all, we did bring attention to the reports that could help some people in the forums here. 

    We'll continue to consider this and other ideas for customer statements as the platform evolves. 

    Again not a full resolve but another option that could be handy for some is the inclusion of the Outstanding bills link when sending individual invoices to your customers. Through this, persons of a contact will be able to view and get detail of the invoices they have outstanding with you at any given time. 

  6. Can we have an audit trail, even if similar to invoices/bills, where we can see the who, date & time of the payslips being sent out for a pay calendar?
    This helps to know the payslips have been sent out and that there is an audit trail for this.

  7. I can create a Purchase Order, and from that I can mark it as billed and it creates a bill record for this purchase, putting the PO number into the Reference field of the Bill. The Bill also has a hyperlink to jump to the Purchase Order.
    Within the Bill, I can assign the expense to a customer, which is fine.
    When I create the customer Invoice, I have the option to add billable expenses, which is fine, and it marks the line as a billable expense, but there is no hyperlink to jump from the Invoice to the Bill.…

  8. to generate a report that shows the unpaid and paid bills per project , and another report shows the unpaid and paid invoices per project. if there is one report which can show all of these information that will be great

  9. Can the new invoicing template show address like the classic invoicing template does?
    Classic invoicing - Shows company address and the person it is addressed to (Attention:) when viewing the invoicing from our end
    New Invoice - Only shows the company name and to check if the address is correct and if the person it is addressed to is correct you have to click on Edit or download it as a pdf to verify it.

    Hi team, with our latest updates to new invoicing you're now able to see your contacts address if they have one saved when viewing the invoice. 

    Appreciate the question around being able to edit the address and to confirm - you'll find in view mode you can click on the contact to view the contact card. If you'd like to edit the address click the small link in the top right of the contact card. This'll pop the contact open in a separate browser tab where you can edit and add a billing and/or delivery address. 🙂

  10. Populate Contact Purchase Defaults when Bills arrive as e-invoice or from 3rd party app.

    As a bookkeeper I was so looking forward to promoting and using e-invoicing, but unfortunately it's not going to work for me (and many of my clients). This is because we often have invoices with A LOT of line items which are brought into Xero just as a total with one line only.     Thanks for your support here, everyone. Appreciate there is some interest in this from people emailing bills to their organisation, or importing via a 3rd party application. 

    We wanted to share a recent change we've made for those using eInvoicing - invoices received via Xero's eInvoicing will apply Contact defaults (such as a set default 'Purchase account) when creating the invoice in Xero. 😁

  11. e-invoicing notification

    It would be great if we could get some kind of notification when an e-invoice was received into draft. Without going into our process, not knowing when a e-invoice was received will cause delays in processing as well as paying it.

  12. When depositing checks, I often search for the customer name or invoice number and deposit ONE CHECK AT A TIME. While this is less efficient than batch deposits, it works fine for our low volume of checks (most customers pay by CC or ACH now). That said, it would be more convenient to navigate to business/invoices/awaiting payment in one step than navigating to invoices and then clicking on the awaiting payment tab in a second step. IOW, you should show the sub-navigation within invoices so you can go to the exact tab you want.

  13. I would like to export batch payments but instead of a summed up amount for a supplier I would like to have separated invoice line items.

    Eg, 5 invoices for OF should result in 5 lines on the CSV import for the bank instead of 1 line with the total.

  14. When looking at a customer's account in Contacts, there should be a spot in the invoices due that shows clearly if there is an unallocated overpayment, prepayment or Credit at a glance.

    There also needs to be a better report just for unallocated Prepayments, Credits and Overpayments.

    I find the Receivable Invoice Summary isn't wait I'm looking for as it doesn't fulfil the job required.

  15. Previously we were able to "Add billable expenses" to a "Copy to draft invoice". However, this feature is no longer available/showing up as an option when creating the draft invoice. Instead I have to save the invoice as a draft and re-open, then I'm able to add the billable expense.

    Hi team, thank you for your feedback and sharing about this with us here. I can confirm our team recently released a change to fix the issue some users were experiencing like you've described here where the Add billable expenses option was not appearing.

    You should now see this appear when creating an invoice for a contact that a billable expense has been assigned to. If you do continue to experience any issues with this, please do raise a case with our Xero Support team who have tools to be able to investigate and escalate with our product team if needed. Thanks

  16. When printing an invoice I would like to go to the customer's account and bring forward the balance that is on their account.
    And have this balance on a line above the net amount for this invoice, which would then add the gross amount to the brought forward value and have aline below the gross amount of the invoice, showing the total amount that they owe to date including this invoice.

  17. New Invoicing: Auto adjust the account column width (or wrap text) so that the full account name can be seen when creating an invoice in New Invoicing. Currently users have to click on the account within each line to see the full account name. In Classic invoicing the account box automatically adjusts so that the full account name can be seen.

    Our new line item grid is now available! Thanks for sharing and supporting this idea for being able to see the full detail of your Account.

    With this release, all fields within the grid will wrap so if the contents spill over more than 1 line you can still read the full account within the field. Along with this, our product team have optimised padding, font size and column width to improve visibility and reduce the need to scroll when viewing your invoices. 

  18. We use the search facility when trying to locate a previous invoice from a customer but the search doesn't show a summary of the items ordered (the "description" column) so could you perhaps add the "description" column listing into the search results when the down arrow is pressed that currently only shows the date and payment total. We find we need to go through so many invoices just to find the one which has a certain "product" customer ordered.

  19. I would like to ask if there is a possibility of having on suppliers' and customers' activity bar (please see attached screenshot, what I mean) and one more column - bill/invoice description? I used to work with QuickBooks, and they had this feature, which was very helpful.

  20. Xero expenses has been with us for 5 years. There have been no significant feature upgrades despite us all paying extra for the privilege.
    Basic functionality like searchability, proper alignment with bill functionality to search suppliers and see total engagement with suppliers, ability to include attachments (e.g. bill documents from expenses) to pass through to customer invoices, ability to add a markup to expenses (e.g. for common cost plus models) etc. - NONE, not a little, nothing, zilch, nada of this has been actioned by Xero and nobody seems to be available or interested in discussing it.
