  1. Have the ability to set default settings for every new Contact you add to Xero.

    Our default tax will always be Tax Exclusive for example. We should be able to set this as the default to all new contacts added, as well as:

    Default account

    Purpose | Steps are currently involved to include files that are on an invoice when sending the invoice to a customer, an option like this would ease the process of including files that a customer needs to have access to and see when they received their invoice

    Thanks so much for sharing your feedback on this idea, community. We appreciate that having to manually select attachments on every invoice can feel a little fiddly. We get that you want a smoother workflow, that saves you time.

    As noted by others in the idea, one option for now would be to add standard files, like your terms and conditions, directly to your invoice template. That way, they'll be included automatically when you send out your invoices.

    To confirm how this functionality currently works - this is based on the user and driven by the last invoice that was sent. Where you have files attached, and you had selected to include files as an attachment when emailing the invoice, the next invoice you send with file attachments should have this selected by default.

    A caveat to this is when you are working in incognito mode, or refresh your browser…

  4. Recently found out that draft invoices are assigned a number once created, even if they are eventually not approved and deleted.
    For accounting reasons in Spain, the numbering on all invoices presented has to be consecutive and the fact that draft invoices are assigned a number from the same sequence causes a problem. So basically if a draft invoice ends up being deleted, then when presenting the invoice list to the tax authorities, there is a number missing, which could cause a problem.
    My suggestion would be that the sequence number is not assigned until the invoice has been approved…

    Thanks for everyone's support in this idea. We understand the strong feelings expressed in your comments, where an invoice can be accidentally approved when still needing to go through a review or remain in a draft status. 

    As suggested by some users in this thread, if this has already occurred an option for now would be to add a note to the history of the invoice so other users are aware of the action and what needs to be done, or alternatively Void the invoice and copy to a new Draft invoice (consider if you need to change the invoice # before voiding the approved one, so you can use this on the new draft invoice). 

    While not a resolution for this idea, to avoid mistakenly approving an invoice an option could be to make use of the keyboard shortcuts that are now available in invoicing such as Save &…

  6. As the new invoicing is no longer optional. I believe this issue must be addressed for all customers in the United Kingdom.

    When adding a new contact upon invoice creation, allow us to search for the address via postcode like we used to. This could be achieved by postcode search ABOVE Billing Address, then auto-populate the billing address based on the input post code.

  7. Recently half of the emails I thought I had sent were 'unable to be sent'. I had no idea until I became worried why my usually reliable clients had not paid me on time. After looking I saw this message on the 'History' trail.

    My suggestion is that where an error occurs like this there is a significant error message signal e.g. a box comes up or things are highlighted in red and bold.

    Cashflow is the lifeblood of any business and if the system is unable to send an invoice this could have serious ramifications for Xero clients.

    Hey everyone, thanks for all the votes and feedback on this idea! Our product teams have definitely taken note and understand the effort involved in automatic report generation and sending.


    While it's something we see as valuable in the long run, it's not currently on our development roadmap with a specific timeframe. We're still keen to hear from those of you who would find this feature helpful, so please keep the conversation and votes coming. We'll be sure to update you if our plans change.

  10. When using the old reports, when you opened them up they would show the current month. Now they show 12/31/22 which is useless now that we are into March. They should either default to prior month (which is what QBO does) or current month (which is what Xero used to do).

  11. Delivery Address:

    To have the ability to add a delivery address when raising an invoice that can be printed onto the invoice. This would need to permanently save the delivery address to that invoice. When a new invoice to the same customer is raised then have the ability to enter another delivery address if required without effecting the previous invoice delivery address.

  12. In due date fields (and why not other fields), allow Excel formulae with invoice fields as variables into the formula to drive the default value. The existing constant value is a valid excel formula so would be backward compatible.

  13. In invoice reminders you do not have the option to add the original invoice as a PDF. My customers accounting teams do NOT follow links in emails (against security policy), but can read an attachment (as long as it is PDF). I would like this added as an option on invoice reminders.

  15. Had to switch back to Classic INVOICE again... Because new INVOICE does not work...

    Auto tax rate for us in the US can be a good feature if implemented with smarts... That seems to be a big IF... Some of us do business internationally. So not all our invoices are for US based customers.

    Creating an invoice for a customer in Germany... !!!Unable!!! to complete the INVOICE because Auto tax rate insist I have to have a state for it to work???

  16. We have had a number of issues relating to modified invoices / documents within Xero. It would be great if there is a way we can setup alerts or email notifications each time certain documents are modified such as invoices or figures on forms etc. This would allow our Financial Controller to oversee all changes made on a global level.

    Thanks for all your feedback around being able to issue progress payments on sales invoices.

    Right now as noted by others in the idea, one option for processing progress payments in Xero could be to use a draft invoice to keep track of the total amount, and using Copy to create new invoices for each progress payment, linking them back to the original project or quote in the description. It’s not a perfect solution, but may help manage the process.

    We've been listening to your feedback and know there are multiple ways businesses operate - and we're exploring solutions for these workflows such as progress payments, and additionally, the ability to accept a deposit from a single invoice.

    While we're unable to provide timeframes around this just yet, please know that this is a priority to us and we'll keep you updated on the progress through this idea.

  19. Hi all!

    I'm a one man band IT business, and I've just started being put on retainer by a company which is great, however I'm finding accounting for the retainer to be a bit burdensome.

    Currently, my plan is it add the retainer's ammount as a credit note at the beginning of the month, and then somehow nullify any remaining credit at the end. However, I was wondering if it would be possible to add a way of managing retainers separately and more efficiently from credit?

    Or even just having the option to add an expiry date to a credit…

    Great to hear how you're currently using Xero with Credit Notes to manage this process for yourself, Joseph. I've slightly amended your idea for being able to set an expiry for a credit note as it's quite unlikely that we'll look to create a completely new feature for managing retainers. 

    Having a quick look at some of the other ideas raised in community, it looks like some people maybe using SimPro as a means to manage these, alternatively you could explore apps in the ecosystem that may meet your needs. 🙂
