  2. You should be able to edit any payrun that hasn't been 'filed' regardless if it was the last one or not. I enter several unscheduled payruns and I've noticed an error in one but I can't fix it because it wasn't the last payrun posted. The "work-around" Xero recommends is to File it and then re-post a counter fix. This feels redundant and unnessary extra work. Essentially its saying I can post an inverse of the original to cancel it out which isn't a tidy way of doing work.

Hi Jamie, just coming back across your idea here. In Xero Payroll as of right now if you've a posted pay run that you need to make adjustments to, you can revert this to draft and make the required changes.

The only time we wouldn't recommend doing this is if the pay run's been filed with the ATO.

Once it's been filed we'd recommend using unscheduled pay runs to make any changes. This is because reverting a filed pay run to draft will cause issues in the reporting to the ATO.

  3. Xero defaults to full pay period hours for a new employee in the 1st payrun even if the employee start date (already entered into Xero) is part-way through a payrun. This doesn't make sense and is too easy to overpay a new employee in this way, if a manual override has not been done. Ideally, Xero would calculate the expected hours for a salaried employee based on the start date, but another idea would be to flash up a warning before finalising a payrun with employees that have a start date listed within…

  4. It would be great if we could pay our employees similar to how we can process a batch payment in XERO for bills. At the moment I am having to go into the bank account at the end and pay each employee individually.

Is there another way to do this ? I may be missing something.

    Thank you

  5. At the moment, inside an individual's payslip/pay run, the button options are 'save', 'save and next' and 'close'.

A button for 'save and close' would be ideal when only one or a few employees (not the whole batch) need to be manually viewed and edited. Instead, we need to click 'save', wait for the page to load again, scroll down and click 'close' to return to the pay run employee list.

Thank you for your contribution and support on the idea.  We understand that the ability to easily save and close in one click would benefit your workflows, however to be upfront we don't have direct plans for making this change within the payslip in the foreseeable future.

We appreciate this is not the news you’d hope to hear, but we'd like to be open and transparent with you on this, here.

  6. We have hourly paid employees who get paid 12 x per year with either a 4 week or 5 week pay period. At present, Xero doesn't give this option to change a pay period within payroll calendars. There are only set pay periods.

  7. Ability to export pay items and update pay rates in a spreadsheet and then re-import when pay rates have been updated. Would save so much time each year when Fair Work increases pay rates.

  8. I want a negative Reimbursement line item in the Employee Template.
This can be done in a Payrun, but cannot be done in the Employee Template screen.
With STP 2 we have some payroll reimbursement entries that need to be processed every pay. They need to be positive and negative entries so that the Wages Payable account does not go out of balance. This can be done in a payrun - why not in the Employee Pay Template. Please see the screenshots.

Hi team, while it isn't possible to make a negative reimbursement line in an employees pay template, you could set up a deduction pay item.

A deduction item would function the same as the negative reimbursement line, as well as being able to be added into the employees pay template.

It'd be good to understand more if there's a reason using a deduction wouldn't be adequate here.

  9. When using the final pay function and annual leave is in negative, please flag with a "check with your bookkeeper, accountant or Fair Work before processing negative leave on a final pay." Some business owners are unaware that this may be contravening Fair Work laws.

  10. Given that there is already a link between Pay Runs and Timesheets, it would be very helpful if the Pay run could recognise what days have time entered on the timesheet then it would recognise if an employee worked on a Public Holiday and then by default record 1.5 times and add the lieu day to alternative holidays.
This is something that my clients miss regularly as they expect Xero Payroll to do this for them.

  11. Under the employees deductions sections during payroll, if one has salary sacrifice, child support, and any other deductions, you have to process the pay run initially. And then you would have to manually do a separate payment to a payee

Is it possible to have a payee that can be linked to the payroll deductions. Meaning when you run your payroll, the deductions will go against the payee and when the payroll aba file is created, the payee will be included in that aba file

  12. it is very difficult to manually add a " pay template " every time when a new employee is added, so is there any shortcut for that? because when we have more joining every day then it is very difficult to manually add every time ordinary rate and overtime rate and other things again and again in a pay template. please update XERo as soon as possible.

  13. I have one employee that is paid the same amount every week, it would be great if I could set the pay run to post and file itself every week until further notice. I have an automatic bank payment set up so this would make it so easy - and more importantly it doesn't rely on me remembering.

Hi community, while we appreciate you sharing this idea with us here, and understand the interest for being able to automate pay runs, we want to confirm this is not in our plans at present.

  14. Add total hours to the Pay Employees screen to make sure hours entered are the same as hours worked when Timesheets aren't used.

  15. Add a second email address for an employee, for their payslips to be sent too - i.e. if payslips need to be sent to an employment agency each pay run, their email address can be added and payslips automatically sent here each pay run, rather than manually downloading payslips to send outside of Xero.

  16. When adding new Pay Items in Australia, Reportable as W1 should be ticked as a ticked as the default as the vast majority of Pay Items in Australia are Reportable under W1.

Every time the award changes and we import pay items from Deputy, the new items have Reportable as W1 turned off and we have to manually change them.

Changing the Xero default may or may not fix that problem but it should be the default nonetheless.

  17. Ability to switch between payroll calendars for an employee with multiple roles eg Jane is on the weekly payroll for her role as studio manager. She is also paid monthly super only for her roles as a sub-contractor yoga teacher.

So far we have managed this by posting Jane's weekly pay, and then switching the payroll calender to process the super and then switching it back again. The problem is that if Jane is already in a draft weekly payrun the calendar can't be switched until the draft payrun is processed. This makes the process fiddly.

  18. For clients we have with director only payroll, if we could schedule all the filings and pay runs to be done automatically and we just get a pop up box just before they go to confirm nothing has changed for a number of different clients rather than one at a time? I believe Sage Payroll are working on this and Keypay payroll system can already do this too. Just wondering if there's anything on the radar for Xero to to the same?

  20. Customisation of ETP preferences to allow drop down menu for rate of pay as only lump sum payment is currently available. Example: terminated employee to receive 2 weeks pay in Lieu of notice. It would be helpful to have the option for Rate per Unit rather than a Fixed Amount only
