  1. It is currently not possible to change the exchange rate used in the new invoicing screen, when invoicing in a foreign currency. You have to switch back to classic invoicing to correct it to the monthly rate we have entered in settings.

    Hi team, we have recently released the ability to set the exchange rate within new invoicing for organisations that use multi-currency.

    Just like classic, as soon as the invoice currency is changed to a currency other than the orgs base currency, the option to 'Set exchange rate' will appear which you can click to edit.

  2. Ability to have a ‘Print now’ option in Invoices, so the invoices can be printed in one click.

    Purpose: To save users time from having to open the PDF and click Print again.

  3. For the 'approve and pay' user the remittance function is limited. They should have the functionality to send remittances on a batch payment and also be able to access the remittance button at a later date. An admin member of staff needs access to the full remittance capability in order to complete their duties fully.

Some purchase contacts have requested that invoices be sent to an accounts email while statements are to be sent to a different email address, both of which are different from the person who is the actual primary contact. It would be advantageous for Xero to incorporate this to allow for the invoices and statements to be sent to the correct emails without the necessity of sending every document to the primary contact or to each other which is not required or desired.

  6. Currently trying to use the new invoicing, but I'll start typing a contact name then tab across before seeing the contact pop up, since I use this contact daily. Under the old invoicing, it would just find the contact once I hit tab. Under the new invoicing, a new contact is created. And since the invoice is saved immediately, this new contact is also saved, so once I finish with the invoice, I then need to go and archive the contact that was created.
    Can we change the defaults or something to fix this?

    Hi community, appreciate your feedback. Currently our team are working on some improvements to the To field in new invoicing and the contacts card that appears when selecting a contact. We understand some of our customers make use of the keyboard much more than the mouse and in reviewing the flow when using Tab the team will be making a change to make selection of a contact and movement to the date field smoother. I'll come back to confirm the detail of the change when this is released.

  7. When adding a new contact if you use account numbers (which is important to use as a primary key for records) it would be really good if a autogenerated number was assigned as a default (like it does with an invoice number etc.). Currently you have to remember/check what the last account number you've used was.

    Hi all, we appreciate this idea has picked up a good amount of interest. This has all been shared with and considered by our product teams.

    As the Contacts screen interacts with many other parts of Xero, this work can not commence until the modernisation of other, related systems is complete.

    Due to this, we do not expect account numbers to be automatically generated for contacts to be delivered in the coming short-term.

    In the meantime however, we're keen to continue collecting feedback and votes on this idea, and we will provide an update here when there's more details to share.

  8. Until very recently our staff with INVOICE ONLY permissions could add notes to contacts, not just view them. We are at a loss to understand why this functionality has been taken away as it is not a security issue in any way. Adding a note to say that you have telephoned and what the content of the call was was crucial for someone chasing payment and adding other pertinent customer notes.
    Please can we have this back?

    Thanks for raising, Jo - I can confirm this is something our team looked into and were able to restore quite quickly. 

    You should find Invoice Only users have access to add notes to a contacts record again now. 🙂

  9. I would like to be able to assign the 210 CIS labour account to a service for CIS labour. At the moment, I have a couple of services for CIS labour and some for non CIS labour.
    For the Non CIS labour, I can creat a service called 'labour' and add the account code to it.
    This can't be done with CIS labour at the moment as Xero won't allow it. This means that for each line item of CIS labour in an invoice I have to manually add the 210 CIS account.

  10. Fault on new contact page - when an invoice is paid using an overpayment is show £0 in the amount paid column! If an invoice is ONLY paid with an overpayment it therefore shows £0 paid £0 due. It should show the full amount paid by any payment method.

  11. We need to include delivery notes with orders. The current packing slip does not cover this requirement. I'd like to be able to select multiple invoices, and bulk print delivery notes for them all. The delivery note needs to be somewhat customisable.

    The notion of having to edit an invoice and change the theme in order to generate a delivery note is completely impractical!

  12. There are new options now under 'Approve' on the new Sales Invoice. The majority of my invoices are created post-purchase, so I create the invoice, approve the invoice, then usually need to go back to the Invoices overview. I want to see added 'Approve and return' or 'Approve and close'. Currently it takes me three clicks to get back to the invoices, because I need to click on Approve, then 'Invoices' from the breadcrumb, then to 'All' since it defaults back to Awaiting Payment.     Hi Trudi, while the Business menu option I mentioned in my last update remains the best flow for what you're after here currently.

    I thought it may be useful to share that we've recently released some keyboard shortcuts for common actions in new invoicing that may help improve your efficiency when invoicing. Our product team have added small prompts to highlight these in the product while our customers familiarise, and if you’d like to view the full list of options you can see them all on Xero Central

    We'll continue to track the interest in an approve & close option here, and share if there are any changes planned that may impact this.

  13. Ability to partially reconcile a statement line to one invoice and leave the rest of the payment unreconciled until the details needed for reconciliation are received, instead of posting an overpayment.

  14. xero to xero Invoicing

    We use the Classic Invoicing version on Xero to send Invoices to our inter-companies and clients who are also registered with Xero.

    On 02 Sept 2024 this version will retire and only New Invoicing will be available.
    We are not able to select "send via Xero Network" from the New Invoicing option (using our Xero Network Key).

    Are the technical teams still working on this to have the option available or will this option fall away?

    Hi community, thanks for on-going engagements with us about how you use the Xero network in this idea. As our team continue work on new invoicing, development for building the Xero Network within new invoicing is now underway, and we'll keep you updated of further news of this, here.

    In the meantime, if you've set up Xero network for your contacts you can continue to send these through the Invoices awaiting payments list. As mentioned in my last updated we still strongly recommend exploring eInvoicing as a solution.

  15. The Pay Now option is not visible on the online page of an invoice when the currency of the invoice does not match the organisation's default currency. This is especially annoying when Payment Services such as Stripe are set-up as they can easily process multiple currencies.

    Moreover, as it is not (or poorly) documented that Payment Services are not usable when using a foreign currency, it just seems to be a bug. I contacted support who responded with the following:

  16. Would it be possible to create a setting where users can be blocked from processing an invoice with duplicate reference numbers. There is currently a message displayed but some users click past it therefore creating duplicate invoices/bills. Perhaps the message can be made more prominent and displayed in Red to alert users.

    Hi team, as you might've noticed duplicate detection in bills is now available to everyone! 🥳

    We have a bit of detail on how this works in Xero central. Just to confirm outside of the Actions column If you need to view or edit a bill you'll need to return to the bills list to open the bill from here and make changes.

    Our team are considering future enhancements in this space to enable you the ability to access bills from this screen. 😊

  17. I need to create an invoice template that has free typing for the customer and address. We often have customers visit that are not our usual customers. We dont want to create a new customer every time someone comes in the door. We will allocate to Works (set up as a cutomer) but need a box to free type their boat name, address ect.

    Hi Andy, from your description it sounds like you may need to hold and track details of these sort of customers for a limited time? As you've found to do that atm you would need to create a new contact record. However, to keep things tidy you could look at adding a generic term or character at the start of the contact name and merging or archiving these every so often so you don't have too many contacts listed in your org? 

    While we'll get a sense of the interest surrounding this on the idea here I want to be open that we don't have plans for this sort of thing any time soon.

  19. Currently one can only post 50 lines in an invoice. It should be unlimited as some clients have at least 200 lines or more depending on their line of business.

  20. The filter right now only allows to select all or select/deselect some, but sometimes it would be easier to be able to just exclude something (an account, a group of accounts, a contact, an invoice etc).
