  1. Xero Payroll restricts the payment date to no more than 90 days after the end of the payroll period. This isn't a legal or taxation limitation, but does restrict the occassions where clients are paying payroll in less regular intervals (such as paying their entire salary annually).

Hi team, while we appreciate the request here, considering compliance requirements for payroll in AU we want to be upfront that we don't have plans for changing the ability to set the payment date beyond 90 days.

For any employees that you may pay on an annual salary basis, we'd recommend setting the payment date 90 days before the employee's annual pay date.

  2. A simple payroll report that shows the actual wages for a period for reporting for Workers Compensation as it is a legal requirement for AU businesses. Details would be split into wages paid including super, with the residency status (+country of origin for Working Holiday Makers) - with a split if an employee has changed employment basis (i.e., moved from Casual to FT) in the period.
And any additional details that are required by the majority of insurance companies who handle Workers Comp.

  4. AU - Compulsory Employee Super When a Employee Superfund changes ABN, USI number, merges with another fund.

The only solution at moment is to export the employee data into a file and save it. Then deactivate the Superfund. The problem is if you have a query on these past transactions you cannot do it through Xero. If you a subjected to an audit you cannot generate report for the data prior to the date of the changes made to the super fund. If you have been through an audit this creates a lot of work. Also, if you lose this…

  5. When closing a UK PAYE scheme in Xero Payroll, I struggled to locate the option to end a PAYE Scheme within the system but found guidance in Xero help resources.
I suggest moving the "scheme cease date" box to the "HMRC" Xero Payroll Settings tab for better visibility and less confusion.
Your step-by-step explanation was helpful, but some adjustments could enhance user experience.

Hi there, we're aware it's been a while since you've raised this case, so wanted to update you. We've reviewed this idea and whilst showing the number of employees allowed directly in the pay run isn't in the pipeline, we can suggest a workaround.

To confirm the number of employees included in a posted pay run within the current calendar month, you can run the Payroll Employee Summary report and filter it by posted date

The pay run’s posted date determines which month it falls under.

It's important to note that the plan limits for employees per month isn't set by the number of active employees, but by the total number of employees paid during the calendar month.

This includes any terminated employees paid during the calendar month and employees that have been included in a pay run with a blank payslip.

  7. It would be good to see the number of notes in the Notes Tab (perhaps in brackets, for example: 'Notes (2)'), so you can see at a glance, if there are any notes for the Employee and if yes, how many.

  8. Hi,

Our employees work standard hours each day, but in addition to this there are often additional items on their timesheets, such as overtime, trip and overnight stay bonuses.

The use of timesheet templates simplifies this process by automating the inputting of their standard hours, though due to the remote nature of their work timesheets are being submitted through the mobile application which does not allow the uploading of templates.

Can the ability to upload templates be added to the mobile app or a default template be added when creating a new timesheet?

  9. Leave Request emails to show Organisation Name.
Currently, leave requests that come directly from Xero for an employee does not show which organisation the employee is from.
I have multiple businesses that I have payroll access and it is quite hard to recall all staff names from all businesses.
The subject line should show Jane Doh from XYZ Pty Ltd has requested leave. This would make identifying the company much simpler.

Hi there, we appreciate you raised this a little while ago. This isn't something we have plans for in the near term.

Not getting a lot of support from other members we’ll soon remove this from Product ideas. If it’s still highly valuable to you, welcome to start it again and see if it gets renewed interest.

  10. It would be good if you could edit some fields in an expense after it has been paid, without having to undo the payment and redo. It would be the the same as for Bills where you can edit some fields after they have been paid.
We pay our bills in batches so to undo a payment means you have to undo a lot of payments and redo.
The fields we would like to edit (like a tracking category, or unassigning an expense as billable) do not affect the payment details.

  11. Please give us the option to make Tracking Groups a mandatory selection on the Employee tab before Xero users can save a new employee. This will stop users from setting up new employees & forgetting to assign the Employee Group tracking group which results in misreporting

Hi team, while we appreciate your feedback and why you'd like to make this field mandatory not all businesses use tracking for payroll. We want to be upfront that we don't have any plans for making the employee groups field mandatory.

  12. UK Payroll - allow employers who have received SMP advance funding to enter the amount received so that the SMP paid is not recovered, and the correct amount owing to HMRC shows on the Taxes and Filings page.

  13. There should be an audit trail in Payroll detailing when changes to an Employee record is made (for example: date an address was updated for an employee and what it was until that date, likewise for other details such as email address, bank account number, tax code etc). As an Employer we should be able to rely on the digitised Payroll system we are using to determine when changes to an Employee's record has been made. In terms of creating an audit trail, this doesn't necessarily only apply to Payroll only and should ideally be something that is normal and…

  14. Adding a feature in Xero that allows finance admins to designate specific fields on expense claims as mandatory or optional would ensure consistent data entry, improve financial tracking, and streamline the approval process.

    Key Benefits:

Enhanced Compliance: By making certain fields mandatory, such as business function or event tracking, admins can ensure that all necessary information is provided, reducing the risk of incomplete or incorrect submissions.

Improved Data Accuracy: Mandating specific fields ensures that critical data, like cost centers or project codes, are always captured, leading to more precise financial tracking and reporting.

Flexibility: Different organizations or departments may have…

  15. Leave types: why aren't these in alphabetical order on the leave request screen?
I have numbered them so that they should appear in the order I want them, but they appear last. It's the same in Xero Me - I want the most used leave types to appear first, but the leave types appear in a random order.
They are in alphabetical order on an employee's leave balance screen and when you assign a leave type

  19. If Reimbursements are meant to be used for certain allowances then we need to be able to set up units and unit rates in the same way as we do for allowances, otherwise the calculation becomes a manual one and leaves room for human error. It also means reporting is not clear on how the amount was calculated as even though you can enter a description on the payslip i dont beleive there is a report that summarises this.
ie for overtime meal allowances you should be able to show how many you have paid and at what rate so…

  20. Unallocated leave. The only leave an employee should be allowed to create is leave that has been allocated to them. Unpaid leave if it has been created is automatically an option for all employees despite them not having it allocated to them. And thus the employees choose that leave which also requires no approval, which should also be a thing, why can employees automatically give themself unpaid leave without manager approval? So 2 changes above that I'd like implemented
