  2. It would be good if you could hide leave balances on individual employee payslips. The hide/show leave balances on payslips is a global setting applying to all employees. For example, employee moved from part time to casual and had leave balances zeroed out, or hiding Long Service leave from employees that are accruing but not yet eligible.

  3. As you’ve found, right now it’s not possible to submit timesheets using the casual rate during the weekday and then also to be able to submit timesheets for the casual rate that applies on the weekend.

From your idea it sounds as if you'd like employees to be able to submit timesheets with start & end times and different earnings rates, Nathan? This isn't possible atm.

    However, an option here where you're dealing with multiple earnings rates for an employee is to get them to submit timesheets using the 'Total hours worked'. This'll let them;

    • record the number of hours worked per day, including partial hours
    • record time spent at different earnings rates and tracking categories if used.

Your employees may need to edit the timesheet setting, by opening Xero Me, going to Timesheets > Settings and selecting 'Total hours worked'.

  4. Ability to draft future payruns - ie more than 1 darft payrun. Especially at Christmas time. I would like to draft up future payruns before Igo on leave, but still have the ability to adjust this week payrun for overtime etc. At the moment I can't move forward until I complete current payrun. or i have to do un unscheduled payrun to fix it. Very time consuming

Thank you for your feedback in product ideas, everyone. With our payroll products being regional changes are generally developed in each separately.

We have slightly changed the idea here to reflect the desire for this in AU Payroll, and have created a separate one across here for NZ Payroll.

While there are no plans for developing this within our AU Payroll product right now, we'll continue to track the interest from you all here, and update if there is any change planned.

  5. In Xero payroll, when pay runs are posted before the pay date there needs to be a delay in the employees accessing payslips

  7. Currently Xero is set up to nil off both the Employer NI Expense GL and Liability GL as soon as payroll is run because employers NI contribution is always setoff against HMRC allowances.

However, it is important to have employers NI contribution cleared only when remittances are made to HMRC and when HMRC send allowances (which is always a month accrued). The allowances are setoff against the employers NI expense GL.

This treatment will allow the accountant to respond to remittances made to HMRC in terms of employers NI and allowances received from HMRC accordingly.

    It will also allow the…

  8. The Payroll History Report needs to be available as a customizable report for which you can choose the reporting period and include all employees in one report. Currently only available for one employee at a time.

  9. A company we work with here in UK was recently a victim of an elaborate but simple fraud, resulting in the loss of around £5,000 from the payroll.

    The scam went like this:-

    1. Scammer fakes an email to HR from an employee requesting the bank details for their salary be changed.
    2. HR fails to spot the "EXTERNAL EMAIL WARNING!" and forwards this email to the person who updates the payroll. They also didn't spot the fake email address, or double-check with the employee.
    3. Bank details for the employee are updated in the payroll and bank payments.
    4. Some weeks later, the…

Thanks for your idea here, Rob. I've made sure to share this back with our Payroll product team. We appreciate your desire to prevent fraud, however there are also employee laws that implicate this process. It's something we're keen to track demand in here, but want to be upfront that there are no immediate plans for developing this.

  10. Could a similar function that UK organsiations have to "deep archive" employees be rolled out to AU organsiations? This will assist to adhere to legal requirements of retaining employee records for 7 years.

  11. When posting a pay run, Xero should automatically create spend money transactions with all relevant details and links to the pay run.

Currently, this is done manually by creating spend money transactions for each transaction and there is no link to the payslip.

This will save a lot of time in reconciling a pay run and improve the connectivity within Xero.

    Hi community, you might've heard that we’re making changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date.

    - Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run.

Considering that we'll retire this feature we want to front-foot that we have no plans (as requested in this idea) to develop Global Pay Run.

If you're in AU, UK or NZ there's our Xero Payroll product that's been specifically tailored to your regions unique requirements. Find out more about the pricing plans this is available through on xero.com, or connect with specialists if you need a hand. Alternatively,…

  12. When I review payroll I want to know if the employee is casual, part-time, full time or contractor.

I want to know the typical hours worked in the payslip cycle so as to determin whether overtime entitlements apply.

  14. There needs to be a feature to turn off automatic notifications when an employee changes their bank account,
Every time this changes in our system our Accountant gets an email.
Apparently there is currently no way to turn this feature off.
A bit irritating for him to say the least...

  15. In the Payroll software, we can only allocate Direct wages to the cost of sales. Unfortunately, that doesn't include Employer NI nor Employer Pension cost in the cost of sales.
Such coding would be useful, as we now use Birghtpay to do such coding.
Without this feature, the gross profit margin and overheads are incorrect.

  16. Location and time tracking, as it stands you can only enter start and finish time. Be good to have a login and logout to track worked hours in real time not just estimating. Location tracking through the timesheet would also help with when switching jobs.

  17. A number of my client are service businesses and as such all of the payroll costs should be posted either to a Cost of Sale account for Operational staff or Overhead for support staff. I can achieve this for all costs except for Employer NIC cost, which has to be manually moved. It would be beneficial if the NIC could go to an NIC GL dependent upon the type of basic pay chosen.

  18. We are wanting to create a report for timesheet information for hours worked submitted by employees, that have been reviewed by their managers, i.e. rejected and unapproved overtime worked. The timesheet report only lists the paid hours. We would like to know the hours submitted by employees on their timesheets, versus the hours that were eventually approved and paid for. Are we able to create a custom report for this, to work out unapproved (as revised by the approver) overtime hours per employee, for a specific time period. This information is needed to do the BOOT test each year for…

  19. I have a number of clients that have employees that are paid a daily rate rather than an hourly rate. We currently can't use Xero payroll for them as the payroll needs to use hours rather than days to pay. It would be great to use Xero if there was an option to pay a daily rate rather than an hourly rate.

  20. We have grant funding so wages as well as super needs to be applied with the tracking code to acquit grant correctly. Presently, there is no availability to apply tracking codes against the superannuation, as well it is only available through timesheets for the wages.
It would be very helpful if tracking codes could be applied directly with pay items in employee template (similarly like other software) so this can be applied when leave is taken also
