AU Payroll - Option for Time off in Lieu (TOIL) to be exempt from superannuation
2 TOIL options, TOIL accrued & TOIL Accrued in place of Overtime
We are unable to mark a Time in Lieu Leave pay item as exempt from accruing SGC, which is not how the ATO classifies SGC for TOIL.
We suggest having 2 TOIL categories, so that there is the option for a TOIL where SGC is required to be paid and one wit SGC exempt:- when super is accrued on overtime.
20 votesJust a quick update on this XPI. While it's not possible to adjust the TOIL leave pay item to mark it as exempt from SGC as suggested, we can suggest an alternative approach that may assist.
If you use the Cashed Out option when raising a leave request for TOIL, it will be reported as Overtime and SGC not accrue on the leave taken.
Let us know if there are any circumstances where this approach wouldn't be suitable for your situation.

Expenses - View draft expense claims before submission
ability to view and edit the whole teams draft expenses where all members can upload there expenses from devises and the one admin member can edit and submit for approval by the approver.

AU Payroll - Schedule superannuation payments
Add in ability to forward date when a superannuation payment is processed. I would like to submit the authority when I review the monthly super but have the payment not made until it is actually due, which would be a date in the future that I enter.

Whilst this isn't currently on our product team's road map, they've reviewed your comments and can see the value scheduling superannuation payments would bring. Xero Expenses - Customise the bill reference field
Expenses module: We want the ability to customise the Expenses Claim Reference.
All expenses under the Reference are set as "Expense Claims," which makes it impossible to search specific claims/events or others. Can this not be customised within the expenses Module ?
The recommendation from Xero is to revert to manual expenses, which defeats the objective of paying for the Expenses module. Any chance this can be added or will we need to remove the feature as there is no point paying for something we need to do manually?

AU Payroll - Ability for Business Owner/Payroll Manager to view & complete draft timesheets
We want to be able to open and complete the employees draft timesheet, if it has already been started. We have enough to do without starting again from scratch what the employee may have already done but just not clicked the submit button.
It is idiotic that, as the owner and payroll manager, that we cannot see an employee's draft timesheets.
As the business owner and Payroll Admin, we should:
- not have compromise our recordkeeping by putting hours directly into the pay slip.
- not have to rely on our employees being available to correct the timesheet at any point in…

Our product teams have carefully considered this, however we want to be upfront that developing this capability isn't on our foreseeable roadmap at this time.
The idea will remain open for votes so we can continue to gauge interest, as it will be important for when we next review our payroll priorities. Thanks again for sharing with us here, we really do value your input.

Global Pay Run - Hide Voided Pay Run from Main Pay run page
Hiding Voided Pay Run from showing on the Main Pay Run Page.
It will be great to have a functionality that allows you hide payruns that have been voided from showing on the main payrun list.
When approved payruns cannot be edited, the only option is to void and create a new one. If a functionality can allow editing approved pay run, then there will be no need. But now, we need to have a function to hide the voided payruns.

- From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date.
- Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run.
This means that we don't have any plans for further development of our Global Pay Run product, and will move any ideas related to this on the site to Not planned.

AU Payroll - Leave report with running balance
Be able to produce a payroll report for leave balances with a running balance. I want to be able to see all leave accrued, leave taken and the running balance in one report.

We appreciate that the current leave reports in Xero require exporting out of Xero and manual work to track running balances. We hear that this can add time to your workflows.
After reviewing this idea, we're updating this idea to Not in Pipeline. Whilst we can see the value to you for this particular report configuration, this isn’t an idea that’s on our product teams foreseeable roadmap.
We know this isn't the outcome you hoped for, and we value your input as it helps us understand what matters to the community. The idea remains open for votes so we can continue gauging interest. AU Payroll - Report to track uncompleted leave requests
leave tracking report for requests that have not been completed, it could fall in previous payroll periods or current or future. This could offer more functionalities for payroll officer to track leaves in a larger payroll.

UK Payroll - Allow leavers to access payslips after 14 days
Leavers can only access payslips 14 days after leave date. 14 days is not enough time as the final pay ay not have been processed at this time. So final payslips then becomes a manual process. If P45's could also be accessed that would be great.

Expenses - Automatically recognise and code expenses from repeat suppliers
It would be nice if expenses could learn and assign a specific account automatically to expenses from a regular supplier.
The process could be:
1) I take a photo of a receipt
2) The analyse feature reads the receipt and fills in the date, supplier and amountTHE NEW BIT:

Xero Me: Allow employees to update bank details
It would be great if an employee could update their bank details and pay disbursements on their xero me app.

We’ve recently released updates to Xero Me so that employees can view and update certain personal details directly from their app. This is part of our ongoing work to give employees more control over their information and reduce manual work for payroll admins.
However, the ability for employees to update their own payment details in Xero Me is not something we’re currently planning. When it comes to bank account and payment details, there are additional considerations we need to take into account. In many regions, employment legislation as well as fraud-prevention obligations mean we must be especially careful about how payment details are collected, changed and who can authorise those changes.

AU Payroll - Restrict which earnings rate an employee can select in timesheets
Ability to restrict which pay items an employee can view in Xero Me to only those that apply to that employee. Without this ability employees sometimes choose pay items that do not apply to them. Most often this is picked up at the authorisation stage but why allow the possibility for error in the first place.

Our product team is currently working on a wider project to improve the timesheets experience. We're pleased to share that very soon, employees will only be able to select pay types that have been specifically added to their individual Pay Template when creating timesheets in Xero Me.
This change is designed to reduce errors and ensure employees only see the earnings rates relevant to them.
We’ll be sure to post another update here as soon as this is ready to roll out!

Expenses - Submit expense claim without filling all required fields
Looking at the mileage and expense app in the demo company, I noticed many fields need to be completed each time, such as bank account, categorised to an account etc. This level of detail should be managed by an administrator rather than an employee who is on the road and needs to worry about what code the expense should be linked to and the tax rate, and so on. All they need to do is take an image of the receipt, type a few words explaining the reason for the expense and then send it. After which, it is up…

Xero expenses - Ability to create custom template
Many organisations pay staff tax free money when they work away from the office more than 24 hours. Currently there is no expense claim format that allows this type of reimbursement to be entered.
Is it possible to have flexibility to create our own expense templates?

Expense Claims - Edit once approved
Ability to edit expense code and tracking code after approval and payment.
This is to make up for there being no data validation capability for coding.
The workaround is to run the Account Transactions report and run 'query tests' in Excel.
Once the errors are found, you go back and edit the transactions for missing tracking codes, etc.
With Expenses there is no ability to subsequently edit the transaction, though whihc measn you need to create journals which is inefficient and hard to audit.10 votes -
AU Payroll | Add opening balance for Working Holiday Maker tax rate
Please add an opening balance for the Working Holiday Maker tax rate
When a Working Holiday Maker (WHM) reaches the earning threshold of $45000 they must be taxed 32.5% (instead of 15% prior to $45K per financial year). When an employee is set up in Xero as a WHM this tax calculation is automatic as along as the full $45K was earned with the current employer. If the employee has earned $45K prior to starting with a new employer Xero will calculate the WHM tax as 15% instead of 32.5% and there is no option to set an opening balance.…

NZ Payroll: Generate and send payslips before posting pay run
Ability to email payslip before the pay run is posted. This way the employee can come back to the pay clerk with any feedback on hours or allowances before the pay run is completed and filed through to myir. The reduces the need to revert the pay run before the "final" posting and payment made to employees. Reverting the pay run impacts on IRD when IRD have begun their processing as they have to do a manual amendment to pick up any changes once the pay run is re-posted. 5 votesHi everyone, I wanted to provide an update on this idea. As you're aware, In Xero it's not possible to email payslip to employees before posting the pay run.
As mentioned here, the workaround is to manually download the payslips and handle this outside of Xero.
We want to be up front, our product team don't have any plans to develop a feature to email the payslips from a draft pay run.
We know this isn't the answer you were looking for. Please continue to support ideas on this forum as it really does help drive the future of Xero.

NZ Payroll - Automate Sending Payment File to Bank
When payrun is done in Xero, the payroll payment file will be automatically sent to the bank (without authorisation). This could save the time of exporting payment files and import payment files to the bank.
1 voteHi Sung Tak, appreciate you raising this with us however we want to be upfront that we don't have any plans around this. This process requires user input as a means of validation. If automated it could cause issues when making corrections to pay runs, or if a pay run was accidentally posted.
