NZ Payroll - Timesheets - Approve and view next option
When entering information on time sheets for employees, the ability to hit "next" to move onto the next employee once you have approved the time sheet rather than having to go back out to the main timesheet menu, find the appropriate timesheet on the drop down list & go back in to enter the timesheet for the next employee.

AU Payroll | Payroll activity summary report - Select a group of employees
When generating the Payroll Activity Summary report, it would be good if I could select certain employees.
Currently you can only choose an individual or all employees.

Our product team has reviewed this and agree this is something they'd like to develop, though it isn't currently on the roadmap. We’ll update the status to Accepted, so that it’s formally put up for consideration.
In the meantime, Kelly mentioned the Payroll Activity Summary report lets you run reports by employee groups, though we understand this doesn't fully meet your needs with the two tracking category limit.
We'll keep tracking interest here and update you if there's progress.

AU Payroll - Ability for timesheets to not override Pay Template
When a Pay Template has been created for an employee, only the matching Earnings Rate should be overwritten by entries in Timesheets. Any other Earnings Rates that are set up in the Pay Template should still should still be available in the Payslip - they shouldn't have to be added back in again when processing the pay run. For instance, Fares & Travel Pattern Allowance needs to be paid over and above the Ordinary Hours recorded on the Timesheet. We appreciate you sharing how important this is for your payroll processes, to avoid manual payslip corrections.
Some members have shared alternative processes, such as keeping the timesheets in 'Draft' until after the pay run is posted.
We are moving this idea to Accepted to include it in a wider review of timesheets currently being scoped by our product team. Please note, this status does not confirm a timeline for development. We will update you here on any developments.

UK Payroll - change the standard password, set by Xero, when emailing payslips
Ability to change the standard Xero password when emailing payslips.
Purpose - if emails were hacked, the current standard password (initials & birthdate) set by Xero is easily guessed. It should be possible within Xero to change this standard password.

AU Payroll - Accrue Leave on Multiple Earnings Rate in Payroll
Streamlining " Multiple of Employee's Ordinary Earnings Rate" .
I have a client who has 14 employees and 4 Ordinary Earnings Rate for each employee as their business trades 7 days a week. Each Employee is on a different Ordinary Earnings Rate. The current system on Xero requires you to create and select Multiple of employees ordinary earnings rate in the payroll settings and calculate and enter the multiplier % for each earnings rate for each employee in order for the ordinary earnings rate to be calculated and for the annual leave and carers/personal leave to be calculated. While we aren't able to add this to our roadmap right now, we want to make sure you are aware that it is currently possible to set up leave to accrue on more than one earnings rate.
As mentioned in this thread, the key is to set the Rate Type for these additional items to "Multiple of Employee's Ordinary Earnings Rate".

UK Payroll: Reporting - Run a report to calculate holiday pay based on a 52 week average
It would be really useful for those of us in the UK if we could run a report to calculate holiday pay based on a 52 week average. Legally this has been a requirement since 2020.

We’re updating the status of this idea to Accepted to show it's formally on our radar.
While we’ve already explored several options to automate holiday pay calculations, for the time being this is not a feature we have planned in our roadmap.
We understand some of you are managing these calculations manually. We’d suggest running the Payroll Activity Summary or Gross to Net report over a 52 week period to assist with these calculations.

Xero Expenses - Ability to change 'How did you pay' through Xero Me app
Xero Expenses - be able to change an expense claim submitted by an employee through the Expense App as Personal money (reimbursable) to Company Money (non-reimbursable). Currently within Xero Expenses, you can change the 'How did you 'pay' on an employee's submitted expense only if it was processed as Company Money (non reimbursable). It would be good if we could also do it the other way round in that if an employee submits an expense on the app as Personal, it could be changed to Company.

AU Payroll - Tracking/Department Coding for reports
Payroll Department Coding - to be able to put a department code on all payroll categories and report to show employee name/gross wages/department coding assigned to payroll. The only way in Xero at the moment is through timesheets but this does not allow for all payroll categories to have a department code allocated. And when producing a timesheet report it does not show the $ gross wages for each employee only the hours. Need to include coding on allowances, leave and super.

In May 2025 we released an update which allows super and leave to be allocated to employee groups, which helps track full wage expenses across departments or cost centre.
As you’re aware, our timesheet reports can be filtered by tracking categories, however the reports summarise hours rather than a total wage breakdown.
We've shared this idea with our product team. We really appreciate the feedback however further payroll tracking features are not in the near term roadmap so we'll update the status to Not in Pipeline at this time.
We’ll continue to monitor your interest and feedback as we plan future improvements to Payroll reporting.

UK Payroll - Multiple workplace pension contribution levels
UK payroll - Have the ability to fully process 2 workplace pension schemes. We have 2 contribution schedules, one basic minimum level, one at higher levels. Sage can process both of these and send the correct contribution amounts to NEST. XERO is unable to do this and requires manual intervention in XERO and at NEST. This is crazy, surely I am not the only one with more than one set of contribution schedules?????

If you’re using the pension filing report in Xero, only the workplace pension scheme will populate the report. We understand some of you have created additional pension pay items, which require manual adjustments with your provider.
The product team have reviewed this idea and, after looking into what would be involved, have confirmed that adding a second workplace pension scheme isn’t something we’re planning to add to Payroll in the foreseeable future. We know this isn’t the update you were hoping for, and we’ll continue monitoring community interest. The idea remains open for votes.

Xero Me - Notifying employees that they have a new payslip uploaded in Xero Me
I feel it would be very useful that once a payroll is processed and the system uploads payslips into Xero Me that the employees either get an email from the system or the associated app notifies the employee that there is a new payslip available to view.
I understand that Xero can securely email payslips, but I think that it would be useful for Xero had the ability to be able to automatically notify employees of uploads into Xero Me

The ability for the expenses claimant to process a negative claim where they have purchased something using their company card and subsequently received a credit for part or all of the original payment amount e.g. over charge or returned goods.

We've reviewed this suggestion and agree it’s a need that we’d like to address in the future.
While we aren’t in a position to start building this just yet, updating the status to Accepted ensures it’s flagged for consideration by our product team during future planning.
We’ll continue to monitor the interest here and will provide further updates as they become available.

AU Payroll | Payslip - Change formatting of payslip file name
We would like the ability to change the subject line of the payslip email. It would be useful for example to add a date to the end of the payslip PDF file name. eg payslip_20220519 That way easy to save and file each slip without having to rename. It may also be useful to add information such as the word "Confidential" for compliance reasons.

Xero Expense report - Ability to add column for user that created the expense
To produce a report that shows all expenses entered via the expense claim feature for a specific period, which also shows who entered the expenses and details of the claims?
This is a useful feature required for comparing budgets and forecasting future cash flow expectations.

AU Payroll - Automatically accrue RDO hours
Automatically accrue RDO hours after a certain amount of hours logged.
Job management systems push 80 hours over as a timesheet in Xero.
We would like the total combined hours logged (ordinary hours, annual leave, RDOs, personal leave and public holidays) in excess of 76 hours to automatically be converted to RDO hours.
E.g: If I log 80 hours ordinary time, I accrue 4 hours RDO.
E.g: If I log 78 hours ordinary time, I accrue 2 hours RDO.
E.g: If I log 80 hours annual leave, I accrue 4 hours RDO.

Please can the ability to calculate attachment of earnings deductions be built into the payroll module?

As you’ve found, the existing Earnings Order pay item requires deductions to be manually calculated, which we understand impacts your workflows for employees with variable earnings.
We want to be upfront that there aren't any current plans to develop this in Xero payroll.
While automated calculations for Earnings Orders aren't on the foreseeable roadmap, we will continue to monitor interest in this space. Thanks for continuing to shape the future of Xero.

UK Payroll - Add reimbursed expense to gross to net report
The gross to net report currently doesn't include reimbursed expenses, and possibly other things we haven't found yet so the net pay doesn't agree to the payslips! Please can we have a gross to net report that agrees to payslips? Failing that even a report that shows reimbursed expenses per employee would be better than nothing.

UK Payroll - Ability to process prior year employment allowance claims through Xero payroll
At the moment this isn't an available feature, and HMRCs basic PAYE tools need to be used. It would be good to see this as an option in Xero.

We understand this would save time and provide a more complete payroll solution.
As noted by others in this thread, the current workaround is to process prior year claims using HMRC's Basic PAYE Tools.
We've reviewed our upcoming development roadmap, and at this time building the functionality to process prior year Employment Allowance claims is not in our immediate pipeline.
We will keep this idea under consideration for future development, and should our plans change, we will provide an update here.

AU Payroll - Include DOB & start date in Employee Contact Details report
Ability to generate a report with start dates for all employees as well as birthday dates reports.

In 2024, this report was updated to include date of birth and age. We’ve noted the suggestions to include start and end dates as well.
Adding further details to this report is not on our current roadmap. As a result, we are moving this request to 'Not in Pipeline.'

Xero Expenses - Easily add expense to employees next payslip
Once expenses are approved it would be fantastic to have an option to "send" this to their next approved payslip rather than having to manually add this to the payslip.
Seems madness this isn't implemented already - what is the point in doing everything in Xero if you need to faff around making adjustments for details that are already in the system.
Employee's submit expenses - so you know who needs reimbursed already.
