Xero Expenses - Combine Expenses into a single claim
Currently Xero Expenses creates a single expense claim for each individual item.
Normal practice for an expense claim is it contains multiple lines (different expenses), such as parking, a restaurant bill and a hotel.I would like to have the ability to group individual expense lines into one expense claim.
I would then have a single bill to pay (an expense claim with multiple lines) appear in my Bills to pay, rather than one for each line.

We recognise the value in creating a more streamlined process for submitting and approving multiple expenses, especially for events like business travel.
Our product team are currently reviewing this functionality and are in an initial discovery phase, but it isn’t set in their product roadmap yet. We’ve moved the status to In Discovery to reflect this.
We’re continuing to monitor feedback on this idea and will keep you updated.

AU Payroll - Leave requests for part time workers that dont work standard hours
When multiple days are requested the ability to adjust the hours for leave application so it matches the ordinary hours for particularly days.

We understand the value of shifting the task of adjusting hours to employees, freeing up payroll administrators’ time for other priorities and we also appreciate the points raised around accuracy and compliance.
While we don’t have current plans to deliver exactly what’s been suggested here, our product team is continuing to focus on developing working patterns within AU Payroll. Based on what we’ve seen in other regions, this'll likely address many of the needs discussed here.
We’ll move this idea to Not in pipeline for now, but we’ll keep you posted on any updates that could help achieve what’s being asked.

AU Payroll - Super maximum contribution base
Employers are only required to pay superannuation guarantee up to a quarterly threshold (maximum contribution base). At the moment Xero doesn’t cap the super at this level, and will allow super above the cap to be booked. (In fact, to limit the super at the cap requires a work-around adding 2 lines, one with 0% super and another with the fixed amount up to the cap.). Employers can easily overpay their employees’ super. This functionality needs to be built into Xero.

You're correct in that the responsibility outlined in my response is relevant to the concessional contribution cap. Seeing your responses today, we now appreciate that the idea here is specifically around the maximum contribution base.
I want to assure you this is something our product teams are paying close attention to and though we don't have any immediate plans we can share, we will consider this request as we continue to plan our roadmap - We encourage you to share any further details on your experiences related to managing the maximum contribution base as these will be helpful to the product team as they assess this feature.

NZ Payroll - Ability to export Leave Liability report to excel
That Leave Liability Report is able to be exported to Excel. This would avoid double handling when I am creating graphing for the CE

UK Payroll - Pension enrollment and calculation to occur prior to posting the pay run.
Payroll doesn’t calculate pension until after you submit the payroll/RTI, so you don’t know what the actual net payments are until submitted. Try explaining to a client that what they signed off isn’t what they actual pay.
40 votesThanks for this feedback on how pension enrollment currently works in Xero payroll. It’s been a little while since you raised this idea, so we wanted to check in. We can see this idea has been steadily gaining support. Our product team are keeping an eye on this idea and we will continue to share updates as things evolve.
In the meantime, here's a tip to trigger pension assessment before posting the pay run:
- With the pay run in draft click Post.
- When the Automatic pension enrolment pop up displays, click Confirm.
- On the Complete Pay Run pop up, click Cancel.
- You can now open the draft payslip or download pay run reports with the pension deductions included.

Lloyds bank doesn't accept .txt format. It would be great if we could download a csv payment file to upload the employee pays to the bank.90 votesHi team, we'd like to share another update as work for allowing direct wage payments via open banking with Crezco is well underway.
We look forward to updating everyone on this idea as soon as this is released.
As previously mentioned - we want to be upfront that we don't have any plans for extending the payment file export format to CSV, however direct payments will eliminate the need for a manual export saving you a few steps in this process. 🙂

Ability to attached files to a pay run and employees
991 votesHi everyone, we'd like to return with an update for all who've supported the idea for attaching files within Payroll.
As we develop foundations of payroll to enable us to consider new features like this, we're beginning discovery of how we might build this capability and when this could be planned in our roadmap.
This is just the initial stages of diving deeper into this work, but steering in the right direction.
I'll be sure to share any progression around attachments within payroll with you all, here.

I've checked in with our Payroll team where this detail is saved.
We appreciate wanting more options for gender when entering personal details, and in some regions such as AU & NZ this is optional.
Currently, in order to ensure successful payroll filings with HMRC in the UK, we need to match the schema they provide. That said, our team are reassessing how this fits in Xero so I'll shift this Idea to 'under review' and can share any updates that come. -
UK Payroll reports - Format that can be imported to Now Pension

AU Payroll - Include date range in exported version of Payment Summary Details report
When running the Payment Summary Details report for a previous financial year, the report does not show the dates of the financial year the data belongs to. The report is titled Payment Summary Details as at Today's Date. For example: it should show Payment Summary Details reporting period 1st July 2017 - 30th June 2018. For audit purposes, there is no way of determining the date range the reported data relates to.

AU Payroll - Timesheets for Employees on Salary
Ability to see timesheet function for employees who are on salaries.
Purpose: To make the employees can keep track of their hours without affecting the pay runs.
64 votesHi everyone, thanks for sharing how important it is for your business to have monthly salaried employees complete timesheets for tracking and reporting purposes, without impacting pay run calculations.
Some of you have found workarounds like approving timesheets after processing pay runs, although this may create challenges down the line.
Our product team is currently undertaking a wider review of timesheets, and this idea will be included in that process. Therefore we're updating this idea to Accepted. We'll keep you updated if there are any developments on this.

AU Payroll - Employees - Emergency Contacts and Emergency contact report
Ability to add employee’s emergency contacts and export it.
Purpose: Users can have their employee’s emergency contact in case they need to contact them.
66 votesHi everyone, thanks for sharing how important accessing emergency contact information is for your team's wellbeing. We understand your desire to include emergency contact details in payroll reports.
This isn't something on our current roadmap, however our product team has reviewed this and moved it to Accepted status for future consideration.
In the meantime, some members mentioned valid workarounds such as reviewing the details directly in the employee record or creating an emergency contacts list outside of Xero.
We'll continue monitoring community interest as we plan future updates to Payroll reports.

Expense Claims - Duplicate expense claims flag when there are potential duplicates.
Ability to have a flag feature when potential duplicate expense claims are uploaded.
Purpose: To make users easily noticed when the same/similar expenses are already uploaded.

Expense claims - Recurring expenses
Ability to create recurring expenses in expense claims area in Xero.
Purpose: To save users’ time from entering their regular expenses in Xero manually.
58 votesHello everyone, thanks for the detail and support shared for this idea. We understand how recurring expenses would enable efficiency when you have frequent expenses of a similar nature (like subscriptions), so have moved the idea to Accepted.
Currently there is work needed within expenses to enable us to develop this capability. Once we're in a better position to be able to dive deeper into this work, we'll review all of your suggestions and share any progress with you here.
