    It's been a little while since this idea was raised & we wanted to touch base with an update. We can see that this idea has been steadily gaining support, so have updated the status.

    There is also a similar idea that is Australian specific called AU Payroll | Payslip - Change formatting of payslip file name so we've linked any Australian based supporters to the correct region and made this idea UK specific.

    Our product team are keeping an eye on this idea and if there are any future updates, we'll let you know!

  2. The ability to have the payroll week number showing on the payslip if it is a weekly payroll, rather than just the tax month it falls into.

    This is a clear idea that would help employees on weekly pay schedules better understand which specific tax week their pay relates to, rather than just seeing the tax month or the date range.

    We have marked this idea as Gaining Support so other users can vote and show the Community team how important this addition to the payslip is.

    In the meantime, as a temporary workaround, you could manually add the week number to the Payslip Message field on the draft pay run (e.g., "Week 12") before posting it. This message will appear at the bottom of the employee's payslip.

  3. Send a link to on board new employees info ie TFN, bank accounts, super account and all personal particulars to get them ready for a pay run.

    Hey team, me again. Apologies, getting a little ahead of ourselves with the status of this idea.

    I can confirm that self onboarding of new employees is live for Xero Payroll in AU, however this feature does not extend to NZ organisations right now.

    This will be something we continue to consider as we keep developing Payroll for NZ and I'll share any further updates with you all here. Thanks


  4. When entering an expense claim you can only assign it to a supplier if you paid with company money. If you pay with personnel money the supplier field is only free text and doesn't list suppliers to choose from.

    I would like it so that we can search for suppliers and see everything that has been purchased from them no matter if it was paid directly to them or from one of our team members' back pocket.

  6. Would be great if you could pay the IRD PAYE when you pay the employees in the same payroll batch. This is already a function with Flexitime Payhero and doesn’t rely on staff making the IRD PAYE payment manually. If Xero had this function there would never be any late IRD PAYE payments as its getting paid to IRD when the employees are paid.

  7. Please give us the option to split the base rate and casual loading items WHILE working with a timesheet. At the moment this has be manually done in every pay run if we want to show the loading separately.

  8. Ability to export pay items and update pay rates in a spreadsheet and then re-import when pay rates have been updated. Would save so much time each year when Fair Work increases pay rates.

    Thanks to everyone following this idea. We understand how being able to import and export pay items would positively impact your review processes.

    Though this isn’t currently in the roadmap, we see the value this’d bring in regards to pay award updates. We’ve updated the idea status to accepted and we’ll share any future developments, here. Your input in idea’s is always appreciated.

  9. Have the ability to set the relevant Award Rates and applicable grade so the pay rates gets automatically updated each year when the award rate changes, rather than having to manually make the changes.

    Hi everyone, thank you for your feedback and for highlighting how much Award automation would help your payroll workflow.

    While we don't have immediate plans to build this directly into Xero Payroll, there are fantastic tools available right now that solve this. We highly recommend exploring the Xero App Store, where several third-party integrations offer embedded Awards as part of their software. These apps are specifically designed to handle complex Award interpretation and can automate the manual matching process.

    We are moving this status to Not in pipeline, but we’ll be sure to update you if that changes.

    Hey everyone, thanks for all your feedback on displaying leave balances in days on payslips. We recognise that many of you are keen to see this feature.

    Our product team has reviewed this suggestion. While we understand the value it'd bring, it isn't on our foreseeable roadmap. As a result, we're updating the status of this idea to 'Not in Pipeline'.

  12. We need to pay two different groups of employees from two different bank accounts. Having to change the payroll settings each time I do a pay run (to change the bank account) leaves far too much room for error. Can there be an option to select which bank account you want to use for each pay group PLEASE!!?

    Hi everyone, thanks for sharing the time it takes to manage timesheets.

    Bulk approving timesheets is something we’d like to address in the future.

    While we aren’t in a position to start building this just yet, updating the status to Accepted ensures it’s flagged for consideration during future planning.

    We’ll continue to monitor the interest here and will provide further updates as they become available.

  14. It would be beneficial for an employee to record all hours worked in the timesheet including hours to be allocated as TOIL Accrual
    i.e. employee works 35 hours, 30 hours ordinary and 5 hours to TOIL accrual?
    Then when the employees wishes to take the TOIL, they submit a Leave Request as per existing functionality.

    Currently the employee needs to separately notify payroll regarding hours worked to be allocated to TOIL Accrual. And this doesn't go through the Supervisor Timesheet Approval process.

  15. When adding a new employee's super fund, being able to add the fund by entering the USI number.

    If that can't be done, at least show the USI next to the super fund name so we can make sure we are selecting the correct super fund.

    Hi everyone, thanks for your detailed feedback on combining multiple images to a single receipt.

    We are changing the status of this idea to In Discovery.

    This means our Product team has recognised that combining multiple images for a receipt will be a more streamlined process for expenses, especially for events like business travel and is the initial scoping phase, but haven’t got to the point where it’s on their road map.

    We will continue to track your votes and comments as we progress, and we will update you all once we know more.

  17. It'll be good to be able to submit leave requests for the next year without affecting the current year's balance.

    Towards the end of the year for the holiday allowance, employees start to plan their time off for the next year.

    It'll be good for the system to recognise that the leave request is for the next year and only deduct off the balance once the new year starts and the balance is reset.

    Hi everyone, thanks for your feedback on this idea. We appreciate you sharing how submitting leave requests for the next year impacts current leave balances.

    A workaround in Xero is to delay submitting or approving leave requests until the next year. We understand this may require payroll admins to track future leave outside of Xero.

    We’ve shared this idea with the product team however we need to be upfront here, there are no plans to work on this in the near future, so we'll update this to Not in Pipeline.

    We’ll keep you posted if our priorities change. Thanks for continuing to share your feedback as this helps shape Xero.

  18. Currently, Xero lists a super accrual for employees under the age of 18 when they earn over $450/mth. However, it doesn't take into account how many hours that employee works per week. Under 18s are not eligible to be paid super unless they work over 30 hours per week (even if they earn over $450/mth), but Xero doesn't recognise this. Unfortunately this shows up a s liability for the employer, even though a liability doesn't exist. I know that it can be worked around in the pay run, but it just means extra work for the payroll admin - particularly…

    Hey everyone! Thanks for your ongoing feedback on this. We appreciate you taking the time to highlight how important it is to get superannuation calculations exactly right, especially with the specific rules around employees under 18.

    Our product team has reviewed this idea and agrees this needs to be addressed. The current workaround of manually adjusting each pay run isn't the seamless experience we want to provide, especially for businesses with multiple under-18 employees.

    As a result, we're moving this idea to 'Accepted'. While we can't give a specific timeframe for a solution right now, this status means it's on our radar and something we'd like to develop in the future.

  19. Ability to specify a set approver for a specific employee for when they submit leave requests.

    Employees who are nominated as a leave approver should only be able to approve leave for the specific employees who have them nominated as their approver.

    Alternatively, employees who have the "Authorised to Approve Leave" checkbox ticked should only be able to approve leave by employees in the same Employee Group.

    Only payroll admins should be able to approve leave for all employees.

    Thanks for the great discussion and all the votes on this idea. We know that without the ability to set specific leave approvers, it can be harder to keep governance clear, avoid self-approval and ensure requests go to the right person.

    While we’re not planning to develop dedicated approval workflows in the near term, we want to share a tip that many have found useful. You can help streamline the process by guiding employees to select their direct manager from the approver list. While all payroll admins and leave approvers are listed, this step helps make sure requests reach the right person and keeps oversight clear.

    Your feedback here is incredibly valuable for future planning and we’ll continue to keep an eye on this idea’s traction. We’ll keep it open for voting and will share any updates if plans change down the track.

  20. Could we include a notification when a staff member has a birthday? This has multiple benefits including allowing us to check if their award salary or benefits need to change and also be able to congratulate them on their birthday. Surely it wouldn't be a huge change to make but would be a unique and helpful change for many SME as I currently need to create a new Google calendar for staff birthdays, creating additional work especially when we have 50+ staff and low retention in hospitality. Thank you.
