  1. Can you please have the function to place a customer 'on stop' until payment has been made.

    Credit controller needs the visibilty to see that a customer has been placed on stop pending payment and show in the history date went on stop and why

    Perhaps a colour visual like a red on stop button for instant awareness

    We understand why this idea is quickly gaining traction. Being able to start typing in the search bar as soon as the contacts page loads would be a small but meaningful improvement.

    Right now, the cursor doesn’t land in the search bar by default, so it’s an extra click each time.

    This idea's now in the Gaining Support stage. If it’s something that would make a difference to your workflow, adding your vote or comment helps us understand the wider demand—and gives our product team more to work with when prioritising updates.

    We’ll post here with any changes or progress.

  3. Could you make the app more user-friendly by reducing the need to log in every time or Ideally, Face ID should be an option for quick access.

    Also, when we receive invoices from Xero, could they be sent as PDF attachments rather than just links? This would make it easier to forward them to Hubdocs via email. Thanks!

  4. Be able to see a list of contacts, showing which groups each contact belongs to at a glance. Who are donors, who are equine related, who attend camp, which are organizations/business/church, who take lessons

While Xero currently allows documents like Certificates of Insurance to be uploaded to a contact, it would be much more effective to have a structured compliance tracking feature similar to how W-9 information is managed. This would allow users to input and track key insurance details—such as policy type (e.g., General Liability, Workers’ Compensation), coverage limits, and expiration dates—directly within the vendor or contractor profile. With this data captured in a structured format, Xero could provide automated reminders for upcoming expirations and visual alerts for missing or non-compliant coverage, helping businesses better manage risk and ensure vendors remain compliant before…

  6. Bulk archive option for any contact either supplier and customer with no activity after 2 years or at least being able to run a report for the same inactivity (Smart list does not offer the options needed)

  7. Shortcut to Hubdoc - First thing I do when I open Xero in most clients is click straight into Hubdoc. With the BETA layout the shortcut has now been lost right down under 'do more with Xero'. I want to move the shortcut so it is the first thing I get to when I click on the client name. I'd also like the hide the Syft, I don't plan on using it yet and don't want it on my dashboard

    For now, we'll get a sense of others that'd find a shortcut to Hubdoc useful, too.

  8. The new Smart Capture feature in Xero Files is a great step forward, but one key limitation is currently preventing us from fully moving away from Hubdoc.

    At the moment, when Smart Capture creates a bill, it can only be published as a draft. There doesn’t appear to be any option to choose the bill status during the creation process.

    In Hubdoc, we can choose the status before publishing, for example:
    • Draft
    • Awaiting Approval
    • Awaiting Payment

    This is extremely useful for workflow management and automation.

    With Smart Capture in Xero Files, every bill has to be manually…

  9. To be able to create an approved bill directly from the file inbox, rather than only being able to create a draft bill which then needs to be approved. These extra steps increase the time taken to create and approve bills and increases the risk of draft bills being missed.

  10. From the Files Inbox, there is a way to attach the file to a NEW transaction, but please allow it to be attached to an existing transaction too. This is especially useful when there are lots of files in the Inbox.

    Appreciate why you'd like to be able to attach a file to an existing transaction from the detail you've shared here, Hitesh.

    This isn't possible from the Files inbox atm, however as you may already be across - from the flip side you can attach a file from the Files inbox from within the transaction.

    Do get this means having to go to the transaction to perform what you're asking and we'll get a sense of the interest in being able to attach to an existing transaction from within the Files inbox, here.

Can't highlight select specific text within the Contact Details - Notes Box to edit Contact information - when attempting to select part of the existing text to highlight so I can copy or delete this, however all the text below is highlighted and the screen rolls down or up when attempting to do this... it's so frustrating & annoying as the only work around for this is to copy the entire text & paste to Apple Mac text notes on another screen, so I can then edit the text and copy back into the Client Details - Notes Box in…

  12. Xero already scans invoices to create drafts, which is a huge time-saver.

    Extending this capability to receipts would add even more value.

    Specifically, if receipts sent to a Xero mailbox could be scanned and automatically matched to the right transaction, it would save significant manual effort, reduce errors, and streamline reconciliation. This small enhancement could have a big impact on efficiency for businesses handling large volumes of receipts.

  13. Dear Xero Team,

    It would be very helpful to have a separate "Statement" tab for each contact to upload statements received from suppliers or contractors for accounts payable.

    I recommend adding this tab under the existing Contacts section, alongside the current tabs for Bills, Purchase Orders, Receive Money, and Spend Money.

  14. adding in an additional field where a job title can be put with a contact. Having multiple contacts for one company, it would be helpful to put who is the contact for finance / quotes / receptionist etc

  16. It would be great if there was an extra prompt to confirm when deleting attachments from purchases/sales. Currently you only have to press the 'x' and the document is removed and there is no way to undo this if it is pressed accidently. If it prompted you to accept the delete you could say no and avoid this issue.

  17. The new xero files screen is awful and it takes me double the time to do anything.

    I enter the invoice red in file screen and it doesn’t pull through to the draft so I need to do it again, I have to catergorise every line on a small bill whereas previously it would have been block entered if it was for the same nominal, no option to copy from purchase order so that now has to be manually marked as billed, having to go through the additional step of approving a draft takes longer and no option to code…

  18. Would be great to be able to assign a special rate to a particular client so that rate generates each time you invoice that client and also add tick box to mark as bad debtor which flags them up.

    Hi Denise, thanks for sharing this idea! We can see how a “Bad Debtor” flag could be a really useful tool for managing risk. When your business is busy, you don’t want to accidentally extend credit to a customer who’s already significantly overdue.

    Right now, the absence of an automated alert means staff often have to double-check a customer’s payment history or risk raising an invoice for someone who should be on a stop-credit list.

    As a short-term option, you can use the Contact Notes field. Adding a note to a contact makes it visible when viewing their details, though it doesn’t yet “pop up” during invoicing.

    Regarding your idea on default rates, you can already assign a default discount rate to contact records. You can also use the Untrack Items feature to make data entry faster and reduce manual effort.

  19. Allow customer's company and/or contact name changed as of an effective date. Retain original customer's company and/or contact name prior to effective date and future business is recorded post effective date with new customer's company and/or contact name.

  20. We're experiencing issues when an invoice is emailed in - Smart Capture adds any images in an email signature to Xero files as a document. These .png or .jpeg files are logos or social media buttons in the email signature.

    I've emailed in 2 invoices to test the function and now have 14 files to review. If I ask my client to email in receipts these additional images will need to be reviewed and deleted one by one to check they aren't an invoice or receipt; this wastes time. We also use Dext for invoice processing and don't experience this…
