Hubdoc - Add a discount field to supplier invoices
Hi Hubdoc Support,
I’d like to suggest a feature that I believe would benefit many users working with supplier invoices.
Currently, when capturing invoice details, there’s no option to enter a discount before the total amount is calculated. It would be incredibly useful to have a field above “Total Amount” where we can input a discount value—either as a percentage or fixed amount—and have Hubdoc automatically adjust the total accordingly.
This would:
Reflect real-world supplier practices more accurately
Reduce manual edits and errors
Improve audit trail clarity
Streamline publishing to accounting platforms like Xero or Sage

Hubdoc - App Face ID
Could you make the app more user-friendly by reducing the need to log in every time or Ideally, Face ID should be an option for quick access.
Also, when we receive invoices from Xero, could they be sent as PDF attachments rather than just links? This would make it easier to forward them to Hubdocs via email. Thanks!

Hubdoc - Attach multiple documents when publishing from Hubdoc
It would be fantastic to attach more than one file when publishing from Hubdoc to Xero! Often bills come with supporting documentation, such as contracts and/or receipts. It would be great to be able to attach these, as well as the original bill to be published.

Contacts - Default cursor to search
I'd just like the cursor to already be IN the search field when I open Contacts please.
Thanks15 votesWe understand why this idea is quickly gaining traction. Being able to start typing in the search bar as soon as the contacts page loads would be a small but meaningful improvement.
Right now, the cursor doesn’t land in the search bar by default, so it’s an extra click each time.
This idea's now in the Gaining Support stage. If it’s something that would make a difference to your workflow, adding your vote or comment helps us understand the wider demand—and gives our product team more to work with when prioritising updates.

Contacts - Bulk Archive option if inactive for an extended time
Bulk archive option for any contact either supplier and customer with no activity after 2 years or at least being able to run a report for the same inactivity (Smart list does not offer the options needed)

Hubdoc - Warning if supplier bank account in Xero is different
Hubdoc could read bank accounts and a warning pop up if they differ from that in Xero.

Hubdoc - Mark purchases as Paid once reconciled in Xero
When the transaction is reconciled to a Bill that's been uploaded from HubDoc in Xero, it should mark the document as Paid in HubDoc. (Google's AI-generated answer says that this happens, but it doesn't on my account). That way it would be much easier to see in HubDoc which items still aren't reconciled
Specifically, if a document is
1) published as "Purchased, Awaiting Payment", and published to Xero
2) that bill is then reconciled to a transaction in Xero, so that bill is shown as Paid and linked to Hubdoc

Hubdoc - Apply payments to customer sales invoices (AR)
Please add the ability to enter payment details when posting invoices via Hubdoc.
At the moment, if an invoice has already been paid (e.g. by cash or a personal card), I have to post it in Hubdoc and then go into Xero to add the payment manually. This is especially common for my café and restaurant clients who pay many invoices in cash, and it creates a lot of extra work.
Being able to record the payment at the point of upload would save a huge amount of time.

Contact - Ability to customise columns on Contact Activity
On these top level menu layouts, like Invoices, Bills and Contact Activity list we really need to be able to add/remove columns. Eg. to see the net total for each Bill/Invoice, not just the gross amount including VAT.
We use these menu layouts a lot, and have to copy and paste to Excel when we want to send that data, because there seems to be no export on Xero that can produce a neat one row per invoice layout. The exports produce a massive report that displays every row from every invoice - not much use.

4 votesAppreciate your feedback, Maggie. However it is unlikely that this change would be made across all areas of Xero at once. It would help to get an understanding of the desire for this in each area to share with our product teams.
We have an existing idea for customising columns in the Invoices list, and one around the ability to view total and tax amount columns in the bills list that I have added your vote to, and I have adjusted your idea here for the customisation of columns in the Contact Activity. Contacts | Files - Change the location of View button
Under Customers Accounts, File Attachments - Move the View button for the attachment to the LEFT side and keep the Delete button on the RIGHT side of the attachment. NOT next to each other.
Multiple times, we have accidentally deleted important files from the customer contact account.

Tax number validation - The ability to verify VAT/GST/ABN numbers of contacts directly with the country Tax Authority
When setting up suppliers in "Contacts" within Xero, it would be great if Xero could perform a VAT check from a link to the HMRC website. There could be a button next to the VAT number box called "Check VAT" and then the supplier's VAT details (as per HMRC) would show.
Furthermore, it would be great if there could be a VAT report that you could run each quarter to check whether all VAT numbers are correct. It might involve a bit more work for the bookkeeper to ensure they set up the supplier correctly in Xero, but it would…

Enhanced Contact Categorization
It would be extremely helpful to have the ability to manually designate a contact as a Supplier without being required to create a bill first.
Currently, contacts default to being labeled as Customers unless a bill is entered, which can lead to confusion and disorganization — particularly when dealing with vendors that don’t issue traditional invoices.
For example, when recording a Spend Money transaction (such as a business purchase from Amazon), the payee appears as a Customer, even though they are clearly a Supplier. This makes it difficult to maintain accurate contact categorization and reporting.

Hubdoc - Keep email text with the receipts.
When emailing receipts to Hubdoc, anything written in the email title or body should stay with the receipt. Currently, Hubdoc turns one email into 2 uploads. One upload is the email. One upload is the receipt. It is nearly impossible to know which email matches which receipt. The result is that important documentation is lost. For example, my clients often email a receipt to Hubdoc for meals and they write who was present at the meal and the business purpose into the email's title or body. Those details are required by the IRS but the current Hubdoc system does not…

Navigation - Hubdoc shortcut
Shortcut to Hubdoc - First thing I do when I open Xero in most clients is click straight into Hubdoc. With the BETA layout the shortcut has now been lost right down under 'do more with Xero'. I want to move the shortcut so it is the first thing I get to when I click on the client name. I'd also like the hide the Syft, I don't plan on using it yet and don't want it on my dashboard

Hubdoc - Detect Bank statement when publishing to Xero
Currently hubdoc suggests that a document is a Credit Note and to check before proceeding. Can this be the same when a document has Statement written on it. I find that statements are often processed as invoices causing duplicate payments within Xero

Contact Name - Name Field Allow non-unique
The contact name field is coming up as "Contact name must be unique", which is limiting when it's entirely possible there's more than one person with the same name.
Can Xero find a solution to this? If other attributes, such as email address, are unique?
How do other people get around this scenario?

Hubdoc - Add ABN field for suppliers
I would like a field in Hubdoc to enter the supplier ABN number, that would then pull through to the ABN Field in the Contact in Xero please. This will be a huge help when bulk reviewing ABNs and GST Registration status. If the field could be clearly seen when processing documents it would be helpful so we can just double check against the document when processing.

Thanks for this fantastic suggestion. We can definitely see how an ABN field in Hubdoc that syncs to Xero would be a huge help.
Having that ABN visible while processing documents would make it much easier for accountants and bookkeepers to confirm supplier details and apply the correct GST.

Include Contact ID in CSV Export
FINTECH requires Xero’s Contact ID for integration, but the Contact ID isn’t included in the contact export. They must be manually copied from the URL, which is slow and error prone.
