  1. We recently had an employee which had a leave type reinstated after a period of over 12 months of it not being used. There was a balance sitting in there for the duration of time that it wasn’t active, and therefore not showing on any payslips that were provided to the employee or filed. We are now in a position that we had to reactive this leave type to be in line with STP requirements and showing leave loading on a separate line.     Hey Amy, I know it's been a little while since you started your idea here. Taking another read through the situation you described, there are a couple of options which depend on whether you need a record of the adjustment.

    • If you do need a record of the adjustment you'd want to post an unscheduled pay run to reverse out the leave balance for the pay period in which it should have been paid out.
    • In the case you don't need a record, you could simply adjust the opening balance for the leave type within the employee's record.

  2. When downloading the individual payslip it would be nice if the PDF would say the persons name rather than the default filename of Payslip (1) etc
    Other payroll software such as Shape does this. Shame that Xero doesn't

    Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.

    This change reduces manual workarounds enabling you to enter more information employees’ working patterns to support accurate allocations of leave and earnings rates. You’ll find you can now;

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

    We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

    We really appreciate everyone who’s engaged with us on this idea and those who’ve been involved in testing some of the functionality with us through the journey.

  5. It appears that in the last two weeks (submitted 23/2/2022) Xero rolled out a change to payroll, which possibly has some unforeseen implications.

    It used to be that if you were only paying a small number of employees at one time, you could use the summary screen (capture attached) to copy and paste the net pay figure for each employee to your online banking portal to effect the actual payment(rather than exporting to a file, and then importing the file to the online banking which is a little clunky for small number of employees - there doesn't…

    Sounds like you're wanting to copy the employees net pay from the pay run overview screen, but it's taking you into their payslip, Tom?


    Instead you could download the payslips report by opening the required pay run, clicking 'View Reports'and selecting Payslips - This'll download a PDF with all the employees payslips included. From this, you can copy and paste each employee's net pays into your online banking. 🙂

  6. Ex Employees older than 5 years cannot be deleted. Data still contains payslips. Old data can be overwritten but payslips remain and employee cannot be deleted because Xero thinks it is in a payrun. This is a cyber security breach as old data of ex employees can still be accessed and cannot be deleted.

  8. When go in to view/approve timesheets have the ability to set a default pay calendar to use (currently all pay calendars including archived pay calendars come up). And the pay calendar for last week (defaults to the current week which means need to scroll down and repeat each time you view/check a new employee). Not very time efficient

  9. At the moment, we can only download the P45 and then email to employees by different software. It would be better if we can just email the P45 directly to employees from Xero.

It would be great if Xero Me would automatically blank out the approved leave, and public holiday hours, within an employee's timesheet (manually overwritable of course) so that they cannot (or are warned not to) double up their hours. e.g. they have annual leave approved, to have a Friday off, but they can also enter paid hours on their timesheet for that same Friday, thus enabling double pay for that day.

    Hiya community, thanks for your support in this. Totally get why you may want to set the default view to sort by surname in Payroll. Being open, with many of the teams resource working hard to fine tune payroll for STP phase 2 there are no direct plans for developing the option to set a default for sorting of employees atm.

    To confirm, right now from your list of employees you can click on the column header to sort ascending or descending alphabetically - So, once on the screen you can click Last name to sort your employees by this column.

    We'll update again if there's any change planned.

  12. I want to track certain yearly expenses. I wish to put a limit to the expenses. When they reach the limit,I wish Xero can alert me. Eg Setting a limit on staff benefit per employee as $1,000. Once $1,000 is reached, a message can be sent to me.

  13. Currently you can only view the official submission receipts and their associated IRmark via an XML file. It would be nice to see this in a more user friendly manner and without all the associated coding tags and data.

  14. It would be helpful when using XeroMe if staff could advise of earned Time in Lieu to be accrued for a timesheet. Currently they can only record the hours but not whether additional hours should be paid out or accrued

    Thanks for your continued support of this idea, community. Pleased to let you know that we’ve released further updates to time tracking in Payroll for Australian users.

    You’ll now be able to add notes to each new earnings line, providing a bit of extra context for the timesheet approver.

  15. This is not an idea; it is a requirement, Xero.
    At present, all pay types classified as commissions are being taxed as follows: "The method for Schedule 5 in Xero, calculates the PAYG withholding amount by averaging all additional payments made in the current financial year, over the number of pay periods in a financial year, and applying that to the average total earnings to date".

    If commissions are paid every month, they should not be taxed in this manner, as per this ATO web page which says "Do not use this schedule for payments for a single pay period".

  16. It would be very helpful if there were the ability to set up Reminders in Xero Payroll for certain dates such as birthdays and apprenticeship anniversaries so that you would know to change the employee's Pay Rate accordingly.

  17. The ability for an employee to be able to enter the number of kilometres travelled each day. This number being able to filter through to the pay run so the employer can pay an allowance of cents per kilometre.

  18. Be able to change an employee/director to be excluded from the pension at any time.
    At the moment, if a director is not excluded from the pension scheme straight the way, the payroll has to be rolled back to when the director was assessed. This is fine for small payrolls but would be very timely on the larger payrolls.

  19. Before we had start/stop times, employees were able to add different pay rates (ie Saturday Penalty Rate). It would be excellent if this option could be included with the start/stop time version in Xero Me.
