  2. Suggestion for Enhancing Note Visibility in Xero

    When writing notes for any invoice, bill, or manual journal in Xero, the notes are typically placed in the History column. However, this makes them less visible to someone new who might review these documents. If these notes could be added as sticky notes at the top corners of the page, they would be more prominent and could help avoid potential mistakes caused by missing information. Audit trail of logins to Xero - there seems to be a series of different visual aids and short screen reports showing when a user last logged in, however from an audit perspective, it would be ideal to have a report that can be run for set periods showing when users have logged in. The information to run this type of report is there from the History and Notes report and the Assurance Dashboard. However a report that shows a time/date stamp would be ideal as evidence in cases of fraud/performance management

  4. Ability to go into the contact/client and see all notes under history and notes also the notes that are made under an invoice for the client. So ALL notes are in one place and users don't need to run a report to check a note. The former Xero layout had this. Invoice notes showed up under history and notes for the client in the old Xero layout before July 2023.

    Hi team, we appreciate that with different places in which notes can be added within Xero right now, you'd like one place you can go to view all history related to a contact. Though we don't have plans of surfacing the individual transaction history & notes on a Contacts record, you may find the History & notes report useful for getting a wider lens.

    You'll find with the report you can filter, search and view history and notes across all areas of Xero.

    We are continuing to watch the engagement and support for this idea, and will share if there are any updates.

  5. Sometimes time entries change, and there's no record of when or how..
    please includes history notes on time entries - or capture in the advanced activity section, history and notes, information on when time entries are entered &/or changed.

  7. Can the new invoicing template show the address like the old templates used? Now if you go into edit the addresses have disappeared and to check if it is correct you have to click on the contact and fix it in a new tab.
    Also the notes section has removed the time stamps and the email address the invoices get sent to. Can the new invoicing have the same notes and history function as the old one.

    Hi team, I can confirm we have released another update for the history of new invoicing where now you'll see an entry when the invoice is sent and the email address it has been sent to. 🎉

    We appreciate the interest we've seen around this. We still have a few more pieces of work we're doing around the history in new invoicing and you can stay updated on this progression on this idea. 

  8. Can we drill down into the history lines by date to see the actual changes/edits or whatever was done for individual invoices? This would enable a clearer picture for future scrutiny.
    My client couldn't work out what had been done and neither could I . All the history said was 'edited' by an employee.

  9. I'd like an easy way to make a note on a transaction or other unique information without it having to be "found" in the notes and history at the bottom. I'm trying to give a bookkeeper/advisor a bunch of notes at once, and it would hugely helpful if somehow there was a way to send her something or have a "log" of some kind that showed my recent notes, with easy links to the transactions, so I don't have to do screen shots and send outside of Xero etc.

  10. In the classic invoicing history, we can see the date and timestamp, this is not available in the new invoicing - see attached screenshots.

    We use this time stamp a lot for trouble shooting - like what time or XPM and what time was the invoice approved. This helps if there is an integration problem or double up, or payment query.

    Well that was quick! 😉 It turns out along with an entry when an invoice is sent, our product team also managed to release time stamps 🎉

    In history & notes of new invoicing, next to the date you'll now see a time stamp of when an entry occurred. Thank you all who voted and shared with us on the idea, here. 

  11. Exclude new auto save updates from History and Notes. It made sense to save these when it was manual but now it just clutters the history so badly with every auto save creating a new entry.

  12. Transaction "History and notes": show in the title how many notes exist. This will avoid having to click the drop down arrow head to check every time. e.g. "History and notes (3 entries)".

  15. It would be really useful to see the contact name on the History and Notes report.
    We use this report to track bank account changes but we also check newly added supplier bank account details. Seeing which contact each line relates to would help us group them and know if an 'Edited - Bank.....' relates to the same contact as a 'Created' so we don't need to go into each line

  16. It would be nice to be able to give access to the History and Notes to Standard users. Right now it's only visible for Advisors while I believe this is a feature that could be useful to Standard users as well.

I use the History/Notes section to keep track when I'm doing credit control- when I've chased the customer etc, and I now have to copy and paste the email I've sent to them-however, I will often need to send a long communication email which ends up being more than 2500 characters, which means I then have to copy and paste half the email and then the other half, so that they run together-it would be a lot easier if the notes section was able to take more than 2500 characters.

  20. We use multiple Statement templates, each of them containing different stages of Credit Control progress. When sending these the Contact Notes are only updated with 'Statement', and not the Statement template name that would give historical context to a Contact on how we have progressed debt.
    Can you update the Notes to include the Statement Template name, and include an option to make further notes against that activity?
