  1. There is an issue in payroll where you will get a rounding error due to other pay items such as Leave/Holiday.

    e.g. Salary £12,570 per year
    Paid in May the calculations are as follows:
    1685.692935=£956.41308 Rounded: £956.41
    8
    5.692935=£45.54348 Rounded: £45.54
    8*5.692935=£45.54348 Rounded: £45.54

    Total = £1047.50084 Rounded Total: £1047.49 instead of £1047.50

    This should be corrected somehow to use the correct number before rounding as the final calculation. The rounding can either be ignored from the line items, added to the first line item (the total pay) or added as a new line item specifically for the rounding…

    Hi everyone, coming back to this idea I'm pleased to share that with functionality we delivered last year this is now possible!

    You can now set up an employee's leave policy to accrue based on a custom date of your choosing, so their entitlements will be accurate and accrue based on your companies leave year. We have more detail on setting up an employees leave entitlements on Xero Central.

  4. For clients we have with director only payroll, if we could schedule all the filings and pay runs to be done automatically and we just get a pop up box just before they go to confirm nothing has changed for a number of different clients rather than one at a time? I believe Sage Payroll are working on this and Keypay payroll system can already do this too. Just wondering if there's anything on the radar for Xero to to the same?

  5. Currently Xero is set up to nil off both the Employer NI Expense GL and Liability GL as soon as payroll is run because employers NI contribution is always setoff against HMRC allowances.

    However, it is important to have employers NI contribution cleared only when remittances are made to HMRC and when HMRC send allowances (which is always a month accrued). The allowances are setoff against the employers NI expense GL.

    This treatment will allow the accountant to respond to remittances made to HMRC in terms of employers NI and allowances received from HMRC accordingly.

  6. UK HMRC often carry out routine checks on compliance with PAYE and National Minimum Wage. In one NMW check we have been asked to provide them with a list of the names and NINOs of all staff employed by us between two specified dates. To make it easy they dont use tax years but calendar dates

    We need a standard payroll report that allows us to export a list with the employees name and NINO. The only way to create this at the moment is by a manual trawl

    Currently you can generate a Pension Contribution Report which includes the employees name and NINO 🙂 When creating the report - under Columns select the fields you'd like to include in the report as well as the date range. Once created, you can export it in PDF, Excel or Google Sheets. 

  7. Ability to change the standard Xero password when emailing payslips.

    Purpose - if emails were hacked, the current standard password (initials & birthdate) set by Xero is easily guessed. It should be possible within Xero to change this standard password.

  8. Old payslips should retain the correct postal address for the employee for that time period. Don't update the previous payslips, just move forward with the new address for new payslips. People use their payslips for various different reasons, and tracking/validating their address history etc can be one of them!

    Hi community we appreciate your interest and sharing how we could improve payroll for your business. Each regions payroll has been designed and built separately to meet regional requirements, and taking this into consideration development for being able to view future leave balances would also be worked on separately.

    We have an separate ideas that have been started for this in the AU version, another for NZ payroll, and I'll adjust the title of this idea for UK specifically. We will keep you updated on any progress of this on these ideas.

Notifications on xero to alert you that an employees age has increased due to a birthday, as they may have hit a new age bracket in the wage rates and they could be getting underpaid if not noticed. Example - employee goes from age 20 to 21 this would mean that if they are on the 18-20 year old wage rate and they are on the £7.49 once they turned 21 they should then be on £10.18. so notification of birthdays would help keep you aware of age changes.

    We've recently updated Xero Payroll(UK) and now a new NI category will automatically be applied to a pay run based on an employees birthdate, and if they are entering into a new NI category. Helping to save you time from manually tracking and updating yourself. 😊

Prior to the upgrade, if you were a labour hire firm and had contractors who were not a company but used their TFN, you could select the box to allow additional tax deductions for HELP / HECS debts. With the new Phase 2 STP, Xero have confirmed that if you have labour hire using TFN's and they have a hecs debt you cannot check the box and will need to manually calculate the hecs amount to deduct each payrun.   20. Add a template another file option for payroll. HSBCnet allows file uploads with a SUN however as Xero does not have this template it means only options is to apply for a SUN and increase costs of paying our payroll. We need a file that accommodates ACH CR BACs (non-SUN) files. Requirement is Xero payroll ERP configure the file without a SUN then please ask them to do so, as it should be identical to the one we have tested for supplier payments, meaning the word ‘HSBC’ should be quoted on the VOL1 line and the areas where…
