NZ Payroll - Generate invoices from pay runs
Automatically generate payment invoices when creating payroll.
The current help article suggests creating spent money entries on the fly when reconciling.
It would be better to be able to generate accurate payment and separate code tax invoices when the payday is filed.
The advantages are that:
- the payment is reconciled to where it is created ensuring it is correct,
- the invoices are easily selectable into batch payments from payable invoices which correctly connects to bank batch payments,
- payments to IRD could be raised to different contacts for each payment type allowing the right references to be attached to payments to IRD.
- contacts and accounts are consistent for the payable invoices,
- At tax time the tax invoices can be easily selected and paid as a batch payment,
- Reports correctly show tax liabilities between raising and paying,
- Cashflow analysis system is more accurate.It could be added to the pay employees option drop down as 'generate invoices' or be a setting that allows these to be created automatically when the payroll is filed. While you are at it you could do the same thing for the GST payments.

Hello. Keen to have the Auto reply email address that is used for invoices to also be used for payslips. I use a different email to log in to Xero than the one I want staff to reply to.

Bank Reconciliation - Improve date recognition for auto-suggestion
Reconciliation - when you have multiple payments of the same amounts over several days... Always selects the Invoice to the newest payment.. even tho the invoice date is the same as the first payment? seem like the system allocates backwards?.. We get lots of the same payments and Invoice totals and we have to always manually select/search for the invoice as the Auto reconciliation seems to not factor in Invoice date to Payment date as an option.

Invoice reminders - Automatically send invoice overdue notification to designated email address
So far I know Xero only have features of sending overdue invoice reminder to customers, but in absence of the feature I mentioned. This feature is good for the operation.
The invoice overdue days could be set by us and automatically send the notification to our preset email address once the overdue day came. So that, our customer services staff can easily be notified all the overdue invoice and doing their followup tasks.3 votes -

When you are entering a Bill to Pay, the Creditor bank account number that you have stored on their contact comes up as a window at the top, so you easily compare with the bank account number with the bank account number on the invoice. This can prompt you to check if the bank account number has been changed and you can make a phone call or follow your company guidelines regarding changing of bank account details to avoid Cyber Crime. I believe this is really important for users and will save me a lot of time. I deal with supermarkets and they have a lot of change of owners.

Reporting | Groups - Option to sort in alphabetical order
In the old reports, once the account was added to a subgroup, the account code would automatically be in alphabetical order. However, this is manual for the new reporting.
A good function would be to automate this in the new reports as well (per the old reports) rather than dragging and dropping manually.

Contacts - Better explanation for BankAccountNumber when importing
Better documentation for BankAccountNumber needed.
The documentation for importing contacts is not clear, specifically how to include banking details.
First time users, such as myself, could be greatly assisted if the documentation for the BankAccountNumber was described as <bsb><space><account number>.
I did a large number of documentation and Google searches before it clicked that the BSB and account number are both specified in the BankAccountNumber field. This is not obvious.

Xero Projects - Charge out Rates by staff member not by Task
It seems like a ridiculous hack to have to duplicate tasks for various staff members or charge out rates. eg TASK1(apprentice), TASK1(trade assistant), TASK1(Tradesman)...TASK2(apprentice) ...and so on.
The inability to organise 'tasks' into groups/ headings within a project is another obvious flaw and means that 'tasks' could functionally only really be used as 'major cost centres' rather than granular tasks, but even at a very top level breakdown, having those 'tasks' would get unwieldy very quickly.
I know that Xero Projects is a light weight add on, but that is also part of its appeal. So many other offerings eg. WorkFlowMAX try to take over the whole management of the business and have certain limitations or lack of flexibility that make them not be a good fit for our business.
For the per user cost of Xero Projects which has a mobile app with a decent enough implementation of timesheets, it seems strange and somewhat illogical to not have the ability to easily on-charge labour at a specified rate or markup.
If labour was treated just like 'expenses' that would make more sense in most cases.
Why should a 'task' have a charge out rate that is unrelated to the labour cost of the staff member performing the task?
If a project is on a fixed price quote then all you need to calculate is the real labour cost of the staff member and if is billed as 'tasks and expenses' as it is referred to in Xero Projects it really should be 'Labour and Expenses' (which is all it is anyway).
For invoicing this could either be added in as a single labour line item against a task as an aggregate amount of the various charge out rates, or it would be useful to have the option to invoice it broken down by staff member.The only decent work around I can think of is to manually enter charge out rates at time of invoicing with the 'Display hourly rate time as: Time entries' option selected...
Each staff member just needs to have an attribute of a 'charge out rate' set up in the same dialog box as their calculated cost/hr. Then that can be used as a selectable option at time of invoicing.

Xero to Xero - Send the attached files on the invoice
When sending invoices from Xero to Xero it doesn't attach the actual invoice in the draft bill as an attached so we don't have this invoice for record keeping purposes and can't even see if there's VAT or No VAT charged on the invoice as it is not attached to the bill. This needs to be added.

As we're developing new invoicing, our product team are looking at development to build the Xero to Xero network into new invoicing as well as considering enhancing it's functionality by allowing customers to include attachments when using this feature to send invoices. Right now we'll move to Under review and I'll be back when there's more news on this to share with you all.

Organisation Settings - Allow seperate branch codes for STP and TPAR
Xero provides for only one ATO Branch code to be recorded for an organisation in Settings / Organisation details. Also, Xero does not require a branch code to be recorded for Single Touch Payroll (STP) which would be resulting in a number of cases where the ATO is contacting clients and practitioners regarding incorrect branch codes for STP and requiring correction of STP filings which is time consuming and complex.
Some businesses have different branch codes for different ATO reporting obligations. For example, a business may have a branch number of 001 for Single Touch Payroll but 003 for Taxable Payments Annual Report. I recommend Xero:
- Provide organisations with the ability to record different ATO branch codes for different reporting obligations
- Make it mandatory for STP branch code to be entered when setting up STP

Bank reconciliation - Find and Match transactions to show Minor Adjustments variances
A setting in the backend to turn on/off to find and match transactions within a certain amount (i.e.-/+0.05).
These are usually (if not always a rounding adjustment). It's currently a 4-step process to add a minor adjustment.
Also, selecting minor adjustment or bank fee, can the difference auto populate in the amount field?!!

Xero Expenses - VAT on mileage claims through expenses
Many are complaining about no VAT option on mileage claims through expenses. I can see why this would be timely to implicate as the fuel element changes and is different depending on fuel type and engine size.
But think for those that want to, we should at least have a VAT drop down. We could then create a new tax rate for each rate or even employee using expenses.
For example I have a director with a vehicle >2000cc Diesel I believe using the HMRC company car fuel rates this equates to 19p inclusive of VAT. Using the 45p for the first 10,000 miles the VAT is 3.1667p per mile. So I have created a code '7103 Mileage RK 45p' in the chart of accounts and added this to mileage under expenses so that RK knows which code to add to his mileage. Under code '7103 Mileage RK 45p' I have shown a default VAT of 7.037% of the 0.45p to give me the VAT of £3.1667. Obviously we could ask the employees to put in the fuel amount at 20% inclusive and the balance of the 45p at zero but not sure too many employees would do this.
The problem is with doing all this, still no VAT gets posted because there is no drop down for VAT and/or the VAT isn't coming through from the VAT default for the new code I have set up. I can't even adjust VAT via the bill option. Only option via the bill is to void it.
There are so many ways in which XERO could get this to work but to have no options but to make a manual adjustment via the VAT returns or journal seems a little wrong.
Also I have noted that I can't seem to run a nominal and add in columns 'Quantity' and 'unit price' so that I can create an excel download and easily work out the VAT without having to drill down to in to each transaction to see if 45p was used 5p for passengers or 25p. Can we have this added also to nominals? Thanks

AU Payroll - Payroll Activity Summary report to show unused annual leave paid
just like overtime wages, it's important to separate unused annual leave paid from regular annual leave paid because this will enable accountant to quickly cal-check whether super guarantee has been calculated/set up correctly. it's impractical or inefficient if we have to check all the pay item settings.

Xero Expenses | Labels - Enable filters and reports
Would love for Xero Expense Admin to be able to see Expense Reports listing the Labels, and being filtered/grouped by Labels.
For background, Xero Expense allows employees to put a Label. The Labels can even be pre-set in the organization's settings. But the Xero Expense Admin's don't have a way to report on on expense claims by Labels.
Reporting based on Labels would allow users to tag Xero Expenses for projects for instance.
58 votesThanks everyone - It's good to know how we can enhance Xero expenses for our customers. While we'll consider how we can develop labels in the long term, we don't have any plans for adding filters within expenses or reports for Expenses labels right now.

Reports | VAT201 report - View total per transaction
I am looking for a way to view a value for the supplier or customer transaction as a total value not as individual lines in the vat201 report. For example. I have 3 line transactions in 1 customer invoice, so it shows these three separately. I dont want to view it like that, I want to view it as a complete value, so we can double check the whole invoice as opposed to going to the invoice and looking line through line, which is extremely time consuming

Fixed Assets - Add tax depreciation for NZ
At the moment, only the Australian version of Xero offers a tax depreciation function. We hope that this feature can also be added to the New Zealand version, which is where Xero was originally incorporated.
