  1. To create a credit note from an invoice without applying it to the invoice.
    Currently the only option is ‘create and apply credit’.
    We refund first then generate the credit note. So we need to allocate the invoice to the customer receipt, then allocate the repayment to the credit note.

    Hi team, as mentioned in my last update. In the way credit notes work in Xero today, generally this is a time saving mechanism, so you don't have to take extra steps to apply the credit to the invoice.

    However we understand from the feedback here why this doesn't match your workflow. We are continuing to track the interest from community through this idea but don't have any plans for this at present.

    Currently, from the Awaiting Payments list, if you don't need to open the invoice, you could use the 'New Credit Note' option.

  2. AU - Compulsory Employee Super When a Employee Superfund changes ABN, USI number, merges with another fund.

    The only solution at moment is to export the employee data into a file and save it. Then deactivate the Superfund. The problem is if you have a query on these past transactions you cannot do it through Xero. If you a subjected to an audit you cannot generate report for the data prior to the date of the changes made to the super fund. If you have been through an audit this creates a lot of work.   3. It would be great if we could search from within a customer or supplier record for a specific invoice or bill number.

    It is difficult at the moment to search as
    1) there are always notes in the way that can't be hidden
    2) you have to exit the customer/supplier to find the screen where a search is available.

    Having used other accounting packages, I was shocked to see this wasn't available within Xero.

    Hi team, sorry we've not returned to this idea sooner. You'll find with some of the updates we've made to the contacts record it is now possible to view transactions in separate tabs within the Activity of a Contact, and are also able to search transactions in the tab by amount, reference or invoice number 🙂

  4. Sales Overview Improvement Request: Add "Send Date"

    To enhance our efficiency and reduce time spent looking up invoice details, it would be beneficial to add the "Send Date" to the Sales Overview page.

    Reason for the Request:

    Clients sometimes claim they have not received an invoice and ask when it was sent. Currently, to answer this, we must navigate into each individual invoice and check the history, which is time-consuming.

  5. Exchange rate on bank reconciliation report
    For foreign currency bank accounts, the old bank reconciliation report used to include a note stating that the exchange rate per xe.com that was used to translate the bank balance to the home currency at the report date. This was very useful information to include, as it confirmed the rate and the source of where that rate was obtained. This is not included on the new format bank reconciliation report pack. Please could this note be brought back on the new format reports?

    Is there any way you could integrate the photos I put on my Starling Bank account of receipts I receive for purchases for my business account, so that I don't have to enter them twice, once on Starling and once on Xero.
    I realise this is not an option, as it's not happening, but the notes I add do come through, so could the photos too?
    In this new digital paperless world, it would be good not to have to keep every receipt and have to remember to photograph it twice. Hubdoc doesn't help, because you still have…

    Hi Lynda, thanks so much for taking the time to share this excellent suggestion. Automatically importing receipt photos from your bank directly into Xero is a great idea, and we can certainly see how much time that would save you.

    As you've pointed out, you can also import your receipts into Xero by using Hubdoc.

    For transparency, the direct bank feed for Starling Bank was developed and is maintained by the team at Starling. This means they control the type of data—like the transaction date, amount, and notes—that is sent through the feed to Xero. For that reason, the best way forward is to make this feature request directly to Starling Bank, as they are in the best position to add this functionality to the feed they provide.

    We’ll keep this idea open on our forum to continue gathering interest here.

  7. Allow to change user name for a specific email, without changing the name on 'ALL" historical notes on profiles.
    Currently, if i have a new user/employee doing the same roll and a previous user/employee, with the same email/log in; if i change this user name, ALL of the notes for that email account log in get changed to the current user name, so it is difficult to make out who actually made that/those notes without looking at the dates to work out when that person/started or left the role!

  9. Some larger companies with automated systems do not want reminders going to the same email address that the invoices go to. Doing this results in a duplicate invoice going into their system, which stops the payment going through as they then need to manually sort out what's going on. They have one email address for the invoice and another for reminders, to avoid that duplication.
    Currently, we need to leave the email address on the contact, then turn off invoice reminders and make a note to manually send reminders.

  10. Set the calendar to Sunday to Saturday for everything, including Invoices. - Xero recently changed the Calendar for only the invoices. The week day now starts on Monday. I was informed this change was intentional and is currently not going to be changed back. Credit Notes, Recurring payments, quotes, bills, reports, literally everything else has the week starting on Sunday. This is very cumbersome for our business.     Hi team, we appreciate all the feedback we've received on the invoice calendar here. I want to confirm that our team have released an update and you'll find the calendar now runs Sunday - Saturday consistently with other areas of Xero. Thank you again for feeding back with us, here.

  11. When viewing a Contact's record, the activity can appear cluttered with every single change made, including adding planned payment dates, removing planned payment dates, adding invoice notes, editing the contact's record etc.
    It would be good to be able to filter this page to look at say Bills Paid and Invoices Paid only; or Invoice Sent only.
    As it works now, for a very active contact, this can quickly become difficult to navigate.

  12. I have voted for the idea "Switch Rules - Notes to Financial Accounts" but would like to also propose an idea that may be of benefit if that one is too complex to implement.

    Enable a rule that allows an account to be shown/hidden depending on the balance.

    For example - if Accounts Receivable is a credit balance then it will display, if it has a negative balance it is hidden.
    That means that the Accounts Receivable account could be added to two schedules in the report, but will only show in one, which should align with switch rules in…

    Appreciate you thinking of other ways to solve something, Jessica. With a lot of the reporting teams concentration on elements to redevelop the most vying features from older reports in the new before their removal later this year I want to be open that we don't have this in pour plans at this stage. 

    We'll start to get a sense of the interest for this here, and let you know if there are any changes. 

  13. Classic invoicing feature missing from new invoicing format

    Some of our clients like to prepay so there are often credits to use. Upon approving an invoice, the classic used to say there was a credit available on that contact, click here to use it. There is no such feature on the new invoicing to indicate there is a credit available you have to go and manually check.     Hi Claire, when you approve an invoice for a customer that has available credit, you'll receive a prompt. If you choose to 'Skip for now', you should see an option to 'Apply credit' on the approved invoice. I've attached a screenshot of these in new invoicing. 

    If you're not seeing either of these options, I'd suggest double checking the name of the contact the credit note has been created for, and raising a case with our specialists at support to take a deeper look into things with you.

    Right now, we don't have plans for developing the ability to edit Credit Notes within the mobile Accounting app which is where functions like adding files would come in, too. 

    It's good to begin tracking the interest of this here, but want to be upfront with this atm. 

  15. Many are complaining about no VAT option on mileage claims through expenses. I can see why this would be timely to implicate as the fuel element changes and is different depending on fuel type and engine size.

    But think for those that want to, we should at least have a VAT drop down. We could then create a new tax rate for each rate or even employee using expenses.

  16. When looking at the notes of a batch payment, it says "remittance advice emails were sent to 16 suppliers" - but I can't see anywhere that will tell me which 16 suppliers & which email addresses they were sent to. It would be great if I could see that.

Please provide bills allocation to purchase order option. converting purchase order to bills is not that useful as we received multiple invoice from different suppliers. sometime some supplier send us wrong invoice and without P.O allocations to bills we were unable to catch that kind of mistakes. which result in wrong payment.

    benefits of that option:

    it will be easy to see if trade/supplier invoiced more than our purchase order (agreed price). as right now there is no way we can see that information in xero.

  19. Feature: I'd like to be able to format the [Due Date] field when it's included in email templates.

    Use Case: My standard emails include a line which reads "This invoice will be due for payment by 09 Oct 2023". I have to reformat the date to a more readable style every time.

    Basic Outcome: Using standard date formatting you should be able to express the date as "Monday 9 October, 2023" - note that the leading "0" on the date number has been omitted, and also the inclusion of a comma after the month.

  20. I think the invoice customisation in Xero needs a major overhaul. Many of my clients have spent considerable amounts on graphic design, but the customisation process (downloading a Word doc, editing, and uploading) is a nightmare. The standard Xero invoices are really dated (such as the Mastercard or Visa logos, the payment slip footer, font choices etc), which means the better option is to upload a customised invoice. The problem I have is that most of the fonts I've tried seem to be unavailable once uploaded to Xero, with most reverting to Times New Roman, and that's an issue that…
