Notifications on xero to alert you that an employees age has increased due to a birthday, as they may have hit a new age bracket in the wage rates and they could be getting underpaid if not noticed. Example - employee goes from age 20 to 21 this would mean that if they are on the 18-20 year old wage rate and they are on the £7.49 once they turned 21 they should then be on £10.18. so notification of birthdays would help keep you aware of age changes.

    We've recently updated Xero Payroll(UK) and now a new NI category will automatically be applied to a pay run based on an employees birthdate, and if they are entering into a new NI category. Helping to save you time from manually tracking and updating yourself. 😊

  2. We have up to 100 employees at certain times of the year, and it would be easier to unselect employees we are not paying, than select employees we are paying. A "select all" option would be good.

  3. Ability to draft future payruns - ie more than 1 darft payrun. Especially at Christmas time. I would like to draft up future payruns before Igo on leave, but still have the ability to adjust this week payrun for overtime etc. At the moment I can't move forward until I complete current payrun. or i have to do un unscheduled payrun to fix it. Very time consuming

    Hi team, we want to be upfront that we don't have immediate plans for enabling the ability to create multiple draft pay runs in NZ Payroll.

    If this is something you'd like to see developed for NZ Payroll please add your vote here and we will continue to get a sense of the overall interest from community, and can share if there are any plans made.

  4. We need the ability to see how many miles an employee has travelled within the tax year. This is so that we can follow HMRC guidelines in respect of the pence per mile that is paid to the employee. Currently the rules state that up to 10,00 miles can be reimbursed at 45p per mile and thereafter this rate is reduced to 25p per mile.

    This could also include the ability to set a default rate to avoid any errors made by the employee and to then generate an alert once the employee exceeds 10,000 miles and …

  5. It would be really helpful if there was a report that showed the actual amount of hours worked per month per individual and as a total. Our company has busy seasons, as well as quiet seasons and having a report like this would help us in planning our staffing situation.

    The Payroll /Or Payrun system can also be currency optional

    Companies are becoming more international. The online office model is not limited to the workplace, and salaries will be paid in different currencies. This is probably going to be a trend.

    We appreciate the input and interest this idea has received overtime. However as you may have recently received word - We’re making some changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date. 

    - Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run. 

    This also means that we don't have any plans for further development of our Global Pay Run product, and will move any ideas related to this on this site to Not planned.

  9. To import individual time entries from projects to payroll timesheets, at the moment this only comes through as a bulk time for the day, you then have to manually add the time to the particular pay item if you use more then one pay item. Very frustrating and time consuming, would be nice to have this automated.

    Thanks for sharing with us here, community. While your idea has been reviewed by our product team we want to be open that we will not develop the ability to delete old pay runs. Instead, there is the mark as inactive option.


    We have rolled out new functionality in NZ payroll for timesheets, and while inactive ones are in the list, these are grouped together at the bottom, meaning you don't have to scroll through them, but can still view any old timesheets linked to that calendar.

  11. Timesheet entry for hours in previous payrun. This allows employees who missed an timesheet entry to add their hours in . Quickbooks has this ability and it saves the employer from having to do a manual entry on the employees behalf.

  13. Payroll functionality around multi day leave requests.

    A number of employees work 4 days , and xero divides the days into 5.
    The problem is when a leave request for lets say a day and half sick leave - they cannot manually enter 12 hours (8 +4) or 10.5 (7 + 3.5) unless they do Seperate Leave requests per day.
    I have a collegue doing 2 weeks of working 6 hours and taking 2 hours each day on annual leave. I ended up having to make his leave request because I am admin.

  14. Have automatic superannuation payments be able to be paid via credit card, through xero. Currently there seems to only be the ability to make automatic payment via direct debit but it would be good if it could be made by a credit card.

  15. I need to be able to approve super when I am travelling and do not have access to text messages. It is most inflexible that there is only one method for doing this! Can the Xero Verify App not be used for auto super approvals too? Then I only need wifi.

  16. I want to be able to archive or delete old, previously processed timesheets. In the timesheets section, processed timesheets from 2018 continually rise to the top and it is annoying and time consuming to always change the sorting order to find the most recent, or filter via a start date. This is all annoying. I want to remove old or previously processed timesheets from this list, or at the very least, have recent timesheets/those waiting to be processed automatically listed at the top.

  17. Fixing issues with holidays and making pro-rata holiday calculations automatically
    Calculate starting holiday allowance from the starting date of the employee for new employees joining throughout the year.
    Calculate final holiday allowance based on the end of employment date when employees leave.
    Since Xero knows the holiday hours per year and the working patterns, it has everything it needs to calculate this.
    If an leaving employee has taken too many holidays before they leave, it is important to ensure the leave is negative.

    Hi everyone, appreciate the feedback on the idea here. Being open we don't have any immediate work planned for this.

    However, I also wanted to highlight with differing needs and regulation our payroll products are developed separately for region specifically. We try to keep the ideas regionally separated in community here as it helps when feeding back to the team and also in keeping customers updated.

    That said we have a separate idea for this similar feature in AU Payroll and I've added any voters from AU to that idea to keep updated there.

  18. At the moment there doesn't seem to be a way to pay a monthly employee a basic monthly salary without the hourly rate changing to reflect the number of working days in the month. Please can there be an option to pay a monthly employee a basic 12th of their annual salary each month and the hours per month are set to the average of a 12th of their annual hours so that the hourly rate for overtime etc stays the same each month.

    Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.

    You can now enter more information about employees’ working patterns to support leave and earning rates calculations and save you time. You’ll be able to:

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

    Being able to set up to 13 weeks in a template means you’ll be able to accurately reflect employees’ that may work differing hours through weeks in a month like you’re after here. We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

  20. Please can you add a fix so that you can amend someone's regular earnings with the same start date if that pay-run hasn't yet been run.

    You used to be able to do this, but recently you cant make a correction - instead you have to put the correct data on the next available date. This creates a second line on the payslip - which looks messy and clearly displays the fact you've made an error. Not something I'd choose to share.

    Hi Georgina, the salary line will only lock once it's been included in a pay run. Is it possible there is a pay run in draft? If so, you'd need to delete the draft pay run in order to edit the salary line.

    If you're having any issues with this we'd recommend raising a case through Xero Central where our specialists can investigate this with you.
