  1. While importing bills from QB in bulk, it would be a great time-saver if Xero could automatically Approve the bills while being imported. Currently they go to the Draft folder.

    Hi team, coming back across this idea, and with quite some time since it's last interaction we're going to, move the idea to delivered with the previous option suggested the best options here.

    Xero Partner's have access to a Conversion toolbox when setting up a client orgs which'll allows them to import invoices and bills as any status.

    However if you're not a Xero Partner, while bills import as draft, it's quite easy to bulk approve imported draft bills from the list view of the Draft tab - Just select all the bills you'd like and click the Approve option

  2. When you open the calendar to input a date (e.g., expense claims), the calendar box changes shape/moves around when you click the arrow to go back over previous months because the number of days in each month varies. The calendar shouldn't move around because you must keep repositioning the cursor to find the arrow again.

    As someone mentioned in another comment, allow the ability to use the mouse scroll to go back and forth.

  3. URGENT!!!! The new invoicing is quiet frustrating. It doesn't remember past settings when emailing the invoices. So now I need to remember EVERYTIME I send an invoice to click 'send me a copy', which I know I'm going to forget especially if I'm in a rush.

    ANNOYING!!!! There's an added step now to attach a pdf. I now need to click add files then drag the pdf, instead of simply dragging it and clicking to send with invoice or not.

    It would be good if the Save & Close button had and 'Email for Approval'. I email invoices (unapproved

    Hey community - the team have been working on the ability to include repeating transactions in Short-term cash flow, and I'm happy to announce that it's being released today 🎉

    Since this idea was updated to reflect the first point in the description, I'm switching it over to delivered.

    I can’t see any other ideas about the ability to review past transactions but can confirm that's not currently planned. If it’s still important to you feel free to start a new idea for it.

  5. In the Bills approved and awaiting to be paid - it would be good to have a field for notes. There may be a reason why the bill is being held or delayed and a note section here for additional information would make it easier for all involved to understand why a bill might be delayed from the current payment run.

    Hi Nerida, there is already a feature where you can add notes to bills.

    If you scroll to the bottom of the bill you'll find Add Note, which opens a text entry field for you to enter and save your note.


    It'll only be visible on that bill. Alternatively if the hold is for the contact, you could look to use the Notes field in the details of the Contact record. When you Edit the contact you'll be able to add notes that can be seen to the left of the contact record screen once saved. 😊

  6. Please can we have the product enhancement for the LOCKED DATES, whereby the Advisor role can LOCK THE DATES to stop other employees/departments posting entries, but the Advisor can OVERIDE the lock dates to post month end/year end journals.
    This is critical !!

    Hi there

    There are two Lock Date settings in the Financial Settings screen; one for all users except advisers, and one for all users.

    To do this, you could leave the 'all users' date blank, and set a relevant lock date for 'all users except advisers'.

    This would allow Adviser users to bypass the Lock Date, while still leaving this restriction in place for other users.

    Alternatively, you might leave the 'all users' setting in place to prevent Advisers unknowingly making an change prior to the Lock Date.

    If the Adviser does need to override this, they could temporarily delete this date, or move it forwards.

  7. I would like to add information such as the date their bank details were changed on Xero and whether independent verification of the new details has been done (and how). This is becoming more important as the number of phishing invoices increases. If possible, the capability to attach a relevant document (eg notification from supplier of bank change) but if not possible, then a decent character length text field (as a comparison, the current Reference field is way too short and doesn't allow puctuation).

  8. There are some new features that I like about the new invoicing, like the ability to immediately a new contact. However this is limited to name and billing address, please add the ability to add email address here too!!!

    Other classic features that need to be included so I can use the new invoicing:
    - the ability to delete the Date and Due Date for a draft invoice. I draft invoices for the entire duration of a project once a contract is signed. The dates are not known at this preliminary stage however it is hugely beneficial to have…

    Hi everyone, we have now made a change to the Contact card in new invoicing which allows you to enter more contact details from the invoice screen. 

    You'll find you can both add details for a new contact as well as edit an existing contact. The fields available from the Contact card include Contact name, Email, Billing address, the option to add a Delivery address, and phone number 😊

    Cairns, I know there are a couple of other ideas you've mentioned in your initial post here too. While we'll mark this idea as delivered for the primary request you may also like to join these ones below for any updates. 

  9. Record deposits on a quote or future invoice sale without raising the invoice value against a customer.

    We manufacture a product and then install for a customer - with a deposit of either 50/50% or 30/30/30/10% at the point of approved sale. We are happy to create an invoice number but with a deposit on each sale this creates a "negative balance" and we do not want to create a sale until the final invoice has been agreed at installation. ie. a negative receivable.

  10. When sending an invoice to a new customer using the new invoicing you can only add one address line before the Town/City field. With the old invoicing you could add multiple address lines before the Town/City field (as you can also do with their Contact page and clicking edit).
    With new invoicing this is difficult. Every time you need to add an address to a new invoice going to a new contact within the invoice screen then you only have one address line above the town/city field.

    Hi team, we’ve made and released some recent enhancements to the ‘Contact’ field and contact card within new invoicing.

    Hearing your feedback here, we added more address lines to the contact card within new invoicing so you can add your full customer’s delivery or billing address on the fly. You’ll also see you can quickly look up and select addresses for your contact, as well as edit or add the Attention to without needing to go to the contact record.     Hi Paul, if you're not using all your invoice reminders atm, you could set up a separate Invoice Reminder for Invoices overdue versus those due by - You can use up to 5 Invoice reminders.

    When you set up an invoice reminder you'll be able to set the email template that is used to send that reminder and it will only be used when that reminder is triggered.

  12. As a NFP receiving multiple donations from multiple donors, we require summary of donations/purchases made by the donor/client as a single receipt including each donation/payment's invoice number, date paid, individual amount paid, total amount paid. The summary will need to include the NFP's logo, ABN, etc.

  13. Can the transition period for change in financial year date be added to companies that are non UK organisations as well. we have a group of companies that all extended their financial year but i have only been able to use the transition period in UK organisations. Why is this not an option in non UK organisations?

    Hi Claire, thanks for raising this. We appreciate you sharing the want of having the transition period feature across all the regions while it is only currently available for UK organisations. Your idea is now in Gaining support status, meaning our community team have reviewed it and it's open for community support through votes and comments. We encourage others who would benefit from this to add their votes and share their use cases to help us understand the broader need.


  14. There should be a way to input dates when we want to split the payment to multiple items (invoices/bills) when we reconcile (e.g. cash code or find and match).

    Right now, if I want to input multiple invoices/bills that is linked to a one payment, all invoices/bills will need to have same date as the payment date which is technically incorrect.

    Hi all, returning to the idea we're going to shift this across to delivered. As noted i my earlier response you can manually enter a payment amount and date of payment on an invoice or bill - Meaning if you need the payment date to differ to the date of the statement line imported this could be manually entered on the invoice or bill pre-hand and matched to the one payment when reconciling.

    Alternatively, when reconciling a transactions through find & match in Xero you have the option to 'split' where you can apply a set amount of the payment to the transaction rather than the full amount.

  15. It would be fantastic to have the ability to add a web link or QR code to a Googe review page or other external link (website, facebook etc).
    When an invoice or receipt of payment is sent it would be great to follow this up asking for client to give feedback on service provided or to have them follow along on social media etc.

  16. W9 link for contractors to enter information needs to be extended beyond 7 days. In addition it should be a generic link that can be sent to multiple people.

  17. I've always felt like your software was created by people who have never used the software themselves because some of the pathways and defaults just don't make sense. Note: I access Xero using the Chrome browser.
    Here are some changes that could be made that would really improve the user experience with Xero:

    1. When I'm entering bills, some date fields want me to enter the date like this: date/month/year and other times it wants me to enter it like this: month/date/year.  It's very frustrating having to switch back and forth randomly.

    Hi Jenna, we appreciate your feedback and the detail you've given is great. However, it's best that strange behaviour or performance issues are shared with our specialists at Xero Support who have tools to be able to investigate and escalated with our team if something isn't working as it should.

    There are a couple of your points I wanted to confirm here;

    • Bills to pay - you are able to set a default page for this. It sounds like it may currently be set to Paid bills in your org. You can set the default by clicking the 3 dots in the top right of the page where you'll see 'Default bill page' to select your preference
    • Default for bills due date - From the same place you can go to for invoice (Invoice settings) you can set a default Due date for your bills.

    I'd recommend raising a case…

  18. For manual reconciling, the bank statement file can be generated using a CSV template and requires inputting details like the Date, Description, and Reference. However, users, especially those with high monthly transactions, may want to change/edit the descriptions after the file has been uploaded and reconciled.
    Currently, to do so, the bank statement needs to be deleted and re-uploaded, which means unreconciling previously reconciled items and repeating the entire process.     Hi team, with the new Bank Reconciliation report you can now enter a Bank statement ending balance.

    This means, if you don't have an imported statement balance or this doesn't match your actual bank statement balance you can enter the balance yourself, update the report and Xero will show the Calculated balance out by amount.

  19. When filling the GST to ATO through Xero and selecting to Lodge and save bill as draft, I can't find any billing information in the draft bill (nor approved bill) .I don't know where to pay this bill, I need the billing details which have not transferred with the bill.
    I have to do this manually, save the pdf to desktop then attach to draft bill (do it the old way like 20 years ago)???
    This should not be a new idea. It should be a minimum to have a draft bill with the related bill attachment.

    Hi there, when lodging directly through Xero, payment details are displayed at the top of the statement page once it's been lodged, including various payment options such as Bpay, credit card, and others.

    Please note that these payment details are only available when you are connected to the ATO in Xero and lodging directly through the platform. This is because the payment details are provided directly by the ATO and are specific to your entity. 

  20. Contacts due dates to be set as a standard company wide setting unless changed within the individual contact.

    For example as a company we work on the basis that all payments and receipts are due 30 days from invoice, this should be able to be entered within the company settings and should already be filled in when creating a new contact.
