  1. Currently leave requests must be approved before the relevant pay run is commenced.

    If we discover that leave needs to be added at any point after the pay run is commenced, the entire pay run must be deleted, along with any progress made.

    When processing payroll for businesses, I occasionally discover leave should be included only while I'm actually processing the pay run.

    I'd like to have a clone of the leave creation UI as an option while within the pay run process itself. This would show leave balances for the employee, and only have an option to Approve or…

  2. Allow casual, one off, expense claims WITHOUT needing to purchase the "Expenses" subscription.

    I am the treasurer of a Men's Shed and, occasionally, members use personal funds (either card or cash) for Shed expenses, generating an expense claim. These are rare, usually one off, and might not occur again.

    Could an exception be allowed for this, within the software, that would allow a one off expense to be recorded? This could then then trigger the need to purchase the "Expense" module if that person had any future expense claims within, say, 12 or 18 months.

  3. Recently XERO changed the Make Payment Button so that it now contains two payment steps ABA Download, and payment of superanuation. This is great but I am finding that because both processes take you away from the wages screen,(one is to the bank and the other to the SUPER approval process) the work does not flow easily. Is it possible instead to separate the two buttons so we would have PAY WAGES as one button and PAY SUPER as separate buttons?

  4. Re-introduce Vendor Auto-fill in New Expenses to Save Time & Prevent Data Duplication. The new Expenses experience is missing the vendor auto-fill/suggestion feature that existed in Classic Expenses. This is a critical time-saving tool that also prevents the creation of duplicate vendor records due to minor spelling variations or typos. Re-adding this feature would greatly improve efficiency and data hygiene.

  5. Link the holiday group, working pattern and leave entitlement so it automatically deducts the relevant number of hours taken off for a bank holiday. Our contracts stipulate 28 days including bank holidays pro rated. The holiday group deducts the bank holidays on the pay slips but doesn't reduce the annual entitlement so the leave allowance is always higher than it should be. If you don't use the holiday group so you can circumvent the allowance being incorrect you then have to manually add the bank holidays for each user to ensure the pay and holiday allowance is correct which is…

    Thanks for sharing your idea and highlighting what matters most to you. Currently you don't need to process a leave request for public holidays.

    If an employee is assigned to a holiday group in their Employment information, Xero will automatically add a Bank Holiday/public holiday earnings line to the payslip and reduce their ordinary hours by this amount.

    If you want a contract that’s “28 days inclusive of bank holidays,” you can set this up by either:

    • Entering a reduced annual leave entitlement (for example, 20 days if 8 bank holidays are included).
    • Not assigning the employee to a holiday group and treating bank holidays as part of their regular annual leave.

  6. I have moved a clients payroll from Sage to Xero. They have weekly wages and pay holiday in advance. In Sage it would calculate the week wages plus week holiday to allow for the tax free allowance for both weeks. In Xero the tax is higher in the week and the following week when a payrun of zero is processed then a tax refund would show to compensate. Is Xero able to replicate this process in Sage.

  10. At the moment, if an employee allocates their hours to the wrong cost centre (i.e. the incorrect Xero tracking category) and the payroll has already been posted, there’s no way to correct the allocation — even if the pay run hasn’t yet been submitted to the ATO.

    This becomes problematic for organisations like ours that rely on accurate tracking of labour costs by project or cost centre. In most cases, the number of hours worked remains correct — it’s just the cost centre allocation that needs fixing.

  11. It would be useful to be able to deselect employees form completing time sheets and therefore not appear on the time sheet screen. We have admin staff that don't complete time sheets but I still have to submit nil time sheets to ensure all are up-to-date

    We appreciate you sharing your ideas regarding timesheets.

    We've reviewed your idea and can see that the idea regarding notifications is an existing Xero Product Idea called Notification - Reminder to employee to enter Timesheet. This is currently in review with our product team.

    The ability to input weekly hours (rather than daily) has not yet been raised though. The idea is now available to the community to share their support. We'll keep you updated!

  13. The "Details" tab lists the employee's age under the "Date of birth" field.

    Having "Employed for # Years & # Months" below the "Start date" field would be handy. It would give a quick, "at a glance" look at how long someone has been employed by a business for estimating notice periods and anticipating imminent entitlement to LSL.

    Attached is what the "Date of birth" currently looks like (I've used my own name and birth year) and a mock-up of what I'm suggesting might look like.

  15. In service industries like hospitality salaried employees will work a different set of shifts each week across 7 days. Currently I have to set up a working pattern and if they phone in sick on a Saturday for example if that day isnt set as their working day (i.e we set them up as Mon-Fri for ease) we have to record the sick day on the Monday to ensure it is deducted. But in these industries the working days are different each week and they dont work on a set pattern. Need the ability to set that the employee works…

  16. It would make sense to rename "Mileage Claim" to "Trip KM's" or something like that.
    There are only 3 countries around the world that officially still use the IMPERIAL system (Miles). United States, Liberia, and Myanmar.
    It's a term that doesn't come naturally to the rest of the world.
    In the back of my mind, I feel that I need to do a "KM's to Miles" conversion calculation, for every trip entry. Even though I know that's not necessary.

Currently, all our tracking categories are available to those entering expenses, however, the majority are not relevant to expenses (although they are required for invoicing so we cannot remove them from the list). We would like to be able to chose which items in the categories are available and which are not, just like we are able to with the GL accounts.

  20. We have multiple employees that have various deductions from their wages. This is causing the pay slip to spread accross two pages which is concerning as they may miss important information like messages at the bottom of a pay slip.
    There needs to be the either:
    1. The ability to change the payslip layout
    or
    2. Have two or three template options to choose from.
