  1. NZ Payroll. Contractors invoicing us on piece of work basis, we need to deduct WT and to do Payday filing with IRD. In Xero Payroll, can Xero split "Contractors" from "Employees" clearly in all reports (I see many others have asked for that already) and add a "bill feature" to Contractors in Xero Payroll similar to that we use in Xero Payables so we can copy/edit them in future? This will enable saving contractor's bills in each pay run and use bill layout document vs timesheet. Otherwise, if contractors bills that include WT are processed in Xero Payables, can Xero…

  2. When you view a payrun, the breakdown at the top shows: Earnings, Taxes, Superannuation, Net Pay, Status & Payment Date.
When you view the details for any of the employees there is an additional field for Reimbursements at the top of the screen.
It would be great if the reimbursements total was also shown on the pay runs summary screen to quickly review and identify the total.
Especially when the clients run their own payroll and we are just reconciling.

  4. The original post is closed, and I need to address the solution provided: https://productideas.xero.com/forums/940636-for-accountants-bookkeepers/suggestions/48187811-au-payroll-employee-summary-filter-by-employee-g

The solution provided for the removal of filtering by Employee Group in the Payroll Employee Summary report now includes all employee groups ever in existence, including the multiple spellings which have since been fixed, groups deleted after never being used, and archived groups which have not been used in years and will never be used again.

I have provided both a screenshot of the current Payroll Employee Summary filter by Employee Group dropdown, and the same on the Payroll Activity Summary. (The latter shows what I…

  5. Currently when we are submitting expense claims we have to scroll through all our past projects to find the project we need to assign an expense to. We would like a simple search bar placed at the top of this list so we can start typing and the relevant projects will come up as an option.

  6. Apparently this functionality is enabled on the AU payroll system, but not NZ!

Essentially, it would be great if an employee's annual salary figure could be displayed on their payslips. Given that this is already an option within Xero Payroll for Australia, surely this is an easy addition for Xero Payroll for New Zealand.

  7. Timesheet - Earnings Rate viewing space needs increasing
Why is the space so small to view the earing rate selected, most earning rates are much longer than the space provided, which is creating issues to clarify if the rate selected is correct. And creating additional time required to check the correct rate has been entered or pulled through from scheduling software.
Please widen this space, there is plenty of room as there is excess room in the Tracking area or the page actually widened.

  8. When you invite an employee to xero me for the purpose of submitting their timesheet, there is a drop down menu for the payrate. In this drop down, it shows 'Self' payrate (the payrate of the person submitting the time sheet) and also 'Team' payrate, a list of all the different payrates of the company. Why would you want an employee to be able to see the different payrates of the team?

This seems like a flaw in the system to me and an employee should only be able to see the payrate that applies to them.

  9. We have had the unfortunate event of an employee pass away whilst still employed.

I would like to suggest that Xero make it easier for companies to be able to process a death benefit payment (ETP - type D) within the system rather than having to process this manually and then having to do journal entries for the system to balance correctly. And to then have to process paper copies of PAYG payment summaries to report this to the ATO.

  10. Australian Payroll - sick leave on payslip - want to show balance without accrual in the payrun, and to be able to do this after employment has commenced. Currently this is only possible if you allocate the full balance to employee's at the start of the employment. Historically this has not been done and it needs to be changed to avoid staff confusion and having to reset the leave each payrun.

Hi team, being open we don't have any plans around this atm. Currently to do this you would set the leave type calculation to 'No calculation required'. This will allow you to set the balance and have any accrual column showing.

  11. It would be helpful to edit the layout of the Overview payroll dashboard, as you can do with the normal Xero accounting dashboard.

I can't understand why the 'pay employees' widget is at the bottom, surely running payroll is the primary function so why isn't that at the top? Not all business use the leave and timesheet function, they should be considered secondary.

  12. Could the user have access to the calendar in payroll to allow them to manually input other dates that are important but not automatically fed into the calendar and also set up reminder alerts?

Sage allowed you to this which was really useful if you had to remove/add a benefit on a certain date.

  13. AUSTRALIA PAYROLL - Can we PLEASE have a separate Lock Date for Payroll. I have had many incidents where I have prepared an Activity Statement ( PAYG), and the client reverts a pay run to draft, makes a change AFTER THE ENDOF MONTH AND IAS CREATION, and then we have to re-calculate and re-submit IAS for signature.

The lock date is unable to be added as the ACCOUNTS are still being reconciled, but the payroll is complete.

This will also be extremely helpful at EOFY.

  14. At this stage Xero doesn't recognise if an Employee is on Unpaid Leave.

Xero's default behaviour when an employee (that is assigned to a holiday group) submits a request for a period of Unpaid Leave spanning one or more public holidays, is to exclude those Public Holidays from the calculated Unpaid Leave hours.

This has the effect of allocating those Public Holidays as paid hours in a pay-run rather than as unpaid hours. This is not consistent with the Fair Work Act (https://www.fairwork.gov.au/employment-conditions/public-holidays/not-working-on-public-holidays)

If this is not picked up and adjusted before finalising a pay-run it can result…

  15. Please automatically revert to the "Pay Employees" page after a payrun has been filed. At the moment after a payrun is filed with the ATO we are taken back to the "Post Payrun" / "File" page. You then have to click on "Close" to be taken to the "Pay Employees" page. Why the extra step?

  17. When posting a pay run, Xero should automatically create spend money transactions with all relevant details and links to the pay run.

Currently, this is done manually by creating spend money transactions for each transaction and there is no link to the payslip.

This will save a lot of time in reconciling a pay run and improve the connectivity within Xero.

    Hi community, you might've heard that we’re making changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date.

    - Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run.

Considering that we'll retire this feature we want to front-foot that we have no plans (as requested in this idea) to develop Global Pay Run.

If you're in AU, UK or NZ there's our Xero Payroll product that's been specifically tailored to your regions unique requirements. Find out more about the pricing plans this is available through on xero.com, or connect with specialists if you need a hand. Alternatively,…

  18. In the Payroll software, we can only allocate Direct wages to the cost of sales. Unfortunately, that doesn't include Employer NI nor Employer Pension cost in the cost of sales.
Such coding would be useful, as we now use Birghtpay to do such coding.
Without this feature, the gross profit margin and overheads are incorrect.

  20. Xero have added an automatic journal which credits salaries with the amount recovered from the government. This is great except we use tracking categories for all transactions in the P&L and the automatic journal leaves it blank. We have to post a manual journal to correct the posting. It would be useful for the automatic journal to include tracking.
