  1. There should be a way we can change the email address that the files inbox accepts to make it more tailored to clients?

    For example for a client, their inbox files email could be: xero.inbox.owerthsgm56785.49n6356@xerofiles.com which is crazy!

    It would be so much better if it could be something like xero.inbox.clientname@xerofiles.com

  2. Currently when you want to add a contact to a group and you have a entire list of different groups, you can not search for the group you are looking for, you have to scroll through your list. It is very frustrating not being able to search for the group.

  3. Ability to add "description" column on the individual contacts page. We often need to look through a supplier/customer to quickly see what types of purchases/sales we make, so having descriptions on this page is needed. Currently we have to run a report which is an unnecessary long way around.

  4. When the transaction is reconciled to a Bill that's been uploaded from HubDoc in Xero, it should mark the document as Paid in HubDoc. (Google's AI-generated answer says that this happens, but it doesn't on my account). That way it would be much easier to see in HubDoc which items still aren't reconciled

    Specifically, if a document is
    1) published as "Purchased, Awaiting Payment", and published to Xero
    2) that bill is then reconciled to a transaction in Xero, so that bill is shown as Paid and linked to Hubdoc
    3) then when viewing the document in Hubdoc, "Mark as…

    Hi Mark, thanks for this excellent and clearly detailed suggestion.

    We understand the workflow you're proposing: when a bill from Hubdoc is reconciled in Xero, its status should automatically sync back and be marked as 'Paid' in Hubdoc.

    We're grateful for your engagement and for letting us know the changes that matter to you.

    We've reviewed your idea for the 'Paid' status to sync from Xero back to Hubdoc, and now it can gain support from other community members. Along with votes, others can now comment to share additional detail about how this two-way sync would improve their experience.

  5. A number of overseas entities, may be registered to charge GST to AU customers, particularly if they are selling digital services into AU. Many of these entities are registered with an ARN (ATO Reference Number), rather than an ABN.

    If registered with an ARN, they can charge GST, however the recipient of the service cannot claim the GST credits.

    For Xero users, it would be great to be able to include the ARN as part of the contact record - ideally in the ABN field, and potentially with a checkbox to indicate that this is an ARN instead of an…

  6. Move the Delete button away from preview in files attached to contacts.
    So many times, I have accidently deleted files attached to contacts. The delete button is right next to the preview. There is no way to restore once deleted..

  7. Hubdoc date format recognition is set at a global level, meaning when it processes invoices for US date formats, it can get it very wrong (e.g. 01-09-23 is interpreted as 9th Jan 2023 when it should in fact be 1st Sep 2023).

    This makes automating the process impossible and requires manual checking and adjustment of the date on all US date format documents before submitting to Xero. It can also lead to mistakes and significant additional time to rectify errors when reconciling.

  8. Right now, we see average days we pay or receive payment. It would be good if we can have another row that shows us the payment terms we have with the contact so we can benchmark against performance that way. The data is already in Xero, just need to show it.

  9. In the files inbox, when I want to rename or delete a file, I cannot do so while looking at the contents of the file. I must close the file and try to find it amongst the dozen or so files sent by a dozen different people, and then rename or delete it. I would like to be able to rename the file while I have it open.

  10. When a client uploads or emails a file to the Xero files area of their own subscription, it would be helpful if we, as their accountants, could receive a notification to let us know there is a file waiting for us.
    This should be an optional setting, perhaps even with limits (eg notify me for every 5 files uploaded).

  11. We use another software programme which exports all our customer details and invoices etc into Xero automatically. The other programme uses Google to create addresses. A lot of the addresses include te reo, so include macrons. When the text is imported into Xero the macrons cause non-recognition of the characters, so we end up with a mess.
    Surely in this modern world, Xero, an Aotearoa, New Zealand, developed programme, can be made to recognise our indigenous (Official) language, and allow correct te reo spellings.

    Hi Karin, would it be possible to get a few more examples of names that you've tried to import and not have show with macrons? 

    One of our team have tested creating a contact via import with the name Whakatāne (/mækrn, me-/) and this created a contact in Xero as shown in this image. 

    It'd be great to better understand and see if we can look into this a bit more. 

  12. Have the ability to set default settings for every new Contact you add to Xero.

    Our default tax will always be Tax Exclusive for example. We should be able to set this as the default to all new contacts added, as well as:

    Default account
    Currency
    Invoice Theme
    Invoices Due Date

  13. From the Files Inbox, there is a way to attach the file to a NEW transaction, but please allow it to be attached to an existing transaction too. This is especially useful when there are lots of files in the Inbox.

    Appreciate why you'd like to be able to attach a file to an existing transaction from the detail you've shared here, Hitesh.

    This isn't possible from the Files inbox atm, however as you may already be across - from the flip side you can attach a file from the Files inbox from within the transaction.

    Do get this means having to go to the transaction to perform what you're asking and we'll get a sense of the interest in being able to attach to an existing transaction from within the Files inbox, here.

  14. Stop dating in 1900s.
    Today I typed in the date 5/3/25. Click on the little calendar that appears, the month says March 25. Click on 5 March 25.

    Hubdoc interprets this as the year 1925.

    I dont think there are many people entering receipts from 100 years ago.
    Please remove those last century calendars from Hubdoc.

    While you fix that, since the Hubdoc file is linked to a Xero file can you also stop hubdoc processing into a closed year. It warns you AFTER it's been sent to Xero, then doesn't let you correct it because of the status -…

    We have a separate idea around the lock dates that I've just added your vote for across here. We don't have any plans for this but if any are made I'll let you know, there.

  15. Be able to set up default coding for the Document Type to always be Receipt, and Document Status to always be Awaiting Payment. This at present isn't possible within Hubdoc.

  16. EORI numbers are required for all European customers especially when invoicing/shipping goods. It is an extension of their VAT numbers. Please can XERO create a new field on the contacts for this. We are recording this currently in the new notes or "FAX" number so it shows quickly. Are Fax numbers still necessary?

  17. When you go into a customer and click View recent invoices report, currently it shows a list of all their previous invoices, which is clear and easy to read. When you click on the new report version it shows a list of approved sent and paid invoices for all customers, but only for the current month. This is totally useless as you then have to filter it to the customer, and change the date back far enough to show all the invoices. Can you please change this so it is the same as the old report.
