Contacts - Different default email addresses for different transactions in Xero
Ability to allocate different transactions to different email addresses.
Purpose: Because it’ll make users’ workflow easier when they’re dealing with the contacts that have different departments.
Hi community, we appreciate your continued feedback on having different default email addresses for various transaction types in Xero contacts, and the manual steps involved to ensure you're communicating with the right person for different purposes.
Currently, one way of managing this in Xero would be to include every additional person on a contact record in emails, and then removing those that aren't required when sending each transaction. However we totally get this isn't the ideal solution.
While being able to set different email addresses for differing transaction types is something we want to address longer term, like the idea for multiple addresses work for this feature requires cross-collaboration between teams in order to achieve.
Once the multiple addresses feature is live this is something we'll be able to consider more closely and provide further updates on.
We do regularly review all ideas here, and your input is vital. We'll update you if anything changes. Thanks

@lorinotman Yes, so ridiculous that my idea has 731 votes so far.
Suggesting users “just include everyone and manually remove recipients each time” ignores how these workflows actually work.
Purchase orders, remittances, invoices, and statements are often sent in bulk, by different staff, and at speed. Expecting people to manually audit email lists every time is inefficient and increases the risk of sending the wrong document to the wrong department.
Suppliers don’t want remittances, AP doesn’t want POs, and users shouldn’t need to memorise who gets what. That’s exactly what defaults are for.
Good software removes repetitive decisions and reduces human error. Requiring manual fixes every time isn’t a workaround. It’s evidence of a missing feature.

I looked through the 75 updates and couldn't find a single one that will help me in any way - not one!
Yet, something we all desperately need, like assignable email addresses... we're still waiting.

Like we have the time to read every email address when sending like purchasing, remittances etc. Not every person in a business knows who the contacts are for different departments. Suppliers do not want to receive remittances & accounts departments do not want purchase orders as examples.Only a person who doesn't work in these kinds of roles would suggest such an non plausible option. Xero is supposed to make the work easier not more time consuming. Come on please implement this option as matter of urgency.

Vital user features are continuing to take a back seat while we visually update Xero and make it more difficult for users to use productively.
While you may be an accountant needing a functional tool to conduct business, please look at our new dashboard that looks very pretty. It may not be really useful, but we've now now buried search, tracking categories, and other features back behind several menu settings with the hope this will distract you from doing your job! If you fail at that, it should make things more difficult!

P.S. this feature has been routinely requested for over a decade. We're hoping global warming makes an even more solid dent before you can send emails to your customers as they request! See you in 2036 to ensure you're either a pensioner or still slaving away, because you will still need to send these emails yourself...in 2046!

As far as I am concerned, this is a total waste of the programmers time. It is being touted as "See your business performance at a glance and take action faster, with a more intuitive, insight-rich Xero homepage."
It might be faster once payments are received etc, BUT It does not address functional issues of invoice emails being sent to the wrong contact, and therefore not getting paid on time, or the issue of invoices going to SPAM because Xero cannot get it's head around companies needing to send invoices from THEIR OWN DOMAIN, and not from a domain which has become widely associated with MASSIVE amounts of SPAM, PHISING and FRAUD.
If the update is required as PART of the necessary upgrade to the system to fix these issues, then SAY SO - Don't pretend that 70% of users think it is a MASSIVE improvement over the previous perfectly functioning sand usable homepage.

I agree with you 'Karen Lovegrove' my dashboard has been updated over the XMAS (2025) break and yet I would far rather that Xero spent time implementing the things that users actually need rather than playing about with the look of everything.
Wish the XERO support team would reply on this chat to give an idea of timescale to implement our request - or why they can't (if it isn't possible)

Ability to have this function should rate higher than multiple addresses since all communication with clients and suppliers is by email and they often have specific email addresses for invoices, statements, PO's, remittances to align with how they are processed in their system and who manages that.
Also, the fact this has been an issue for over 3 years and has a high volume of comments just shows how important it is to your users - does that count for anything?

Currently this can be done manually when selecting emails for remittances, but its not very efficient when you've got 100 payments to make

Have separate supplier emails for orders and remittances. When placing a PO you'd want the email to go to the supplier sales team, however when sending remittance you'd want that to go to credit control.

It would also be fantastic if Xero would retain the email address each invoice was emailed to when you copy to draft invoice.
We deal with hundreds of Gov departments and it is all one contact for invoicing but each division is emailed to a different person.
(This used to work in Classic invoicing) -

Now that we've celebrated a decade of Xero ignoring this request, maybe they can pick it up? I'd love to know what drives the decision making on the product team. Pretty sure it's the colorful pictures being drawn by the marketing team. It helps cement my decision to not buy your stock at least.

As many contacts have separate email address for invoices (usually an automated scanning email) and statements or enquiries, it would be very useful to have an option to nominate which document goes to which address rather than just sending to all

I built a solution for sending via smtp (planning to add M365 and Gmail). We can support sending from multiple email accounts to support A/R, A/P and Sales, for example.

Ability to select which "people" on a contact record will receive specific e-mails from Xero
For example i would like to be able to have the primary contact as the MD of the business BUT not for them to receive any general accounting communications.
I would like invoices to be sent to my clients purchase ledger department who have a shared e-mail box as well as the companies autoentry e-mail address for invoices and Statements to go to a specific lady that deals with statement reconciliations and payment runs. And none of these accounting documents to go to the primary contact.My Xero integrates with Bright Manager and that needs the the Primary contact to be the real contact NOT an accounts contacts.

The work-around of setting every additional person to appear in emails only works for the initial transaction. For the automated invoice payment reminders, that would mean that everybody would receive these.
The other thing with setting every additional person to appear in emails, is that their job title doesn't appear. Unless the Accounts person knows who all of a client's contacts and their position within that client, this suggestion adds no value.
Large organisations are moving towards having an automated email address for receiving invoices, and only invoices, with statements needing to go to a different email address. Again, setting the default person to the invoicing mailbox creates issues when the automated reminders go out as they are going to the wrong address and causing issues in clients' automated systems.
