  1. Xero - in employee section and only those with payroll admin rights can upload notes/documents such as medical certificates/TFN forms/super choice forms etc in the notes section to be able to track this better and with relevant payruns as well

    Hi everyone, we thoroughly appreciate all the interest and detail of where and why you'd like to attach files to employees in payroll.

    As many will be aware, the team have been making a lot of changes across Payroll to accompany local regulation & compliance such as STP phase2.

    With much of this work still on-going, we want to be open that there are no plans at present for this development. It is top of mind for the team, and will be reconsidered when resource becomes more available however we wanted to share and set expectation for the near term with you all, here.

  2. Create a report to show all payslips for an employee for a given time period. Currently these have to be downloaded one by one.

    Hey community, 👋 thanks for all your support on this idea, I’m pleased to let you know that this has been delivered for UK Payroll initially! It includes the ability to select the date range you’re interested in, and check boxes to either select all results or multiple. Then you can download your selection as a single PDF of multiple payslips.

    For users in AU and NZ we know this is a highly anticipated feature, however to be open this is not any immediate plans for those teams so we’ll leave this idea open. While we appreciate it doesn’t help employers needing bulk downloads, employees can be invited into the Xero Me portal to self-serve payslip collection.

  3. Currently, Xero does not have the feature to assign certain working days for part time employees. This becomes very frustrating when doing payroll.

    For instance, an employee works Wednesday to Friday and when a public holidays falls on a Monday, Xero will allocate either all or some of the employees ordinary hours to this date incorrectly. This means we will have to manually adjust it each time.

    A simple resolution would be to set up employees to certain working days, then the public holidays would assign correctly and there would be no need to manual adjustments.

  4. Ability to specify a set approver for a specific employee for when they submit leave requests.

    Employees who are nominated as a leave approver should only be able to approve leave for the specific employees who have them nominated as their approver.

    Alternatively, employees who have the "Authorised to Approve Leave" checkbox ticked should only be able to approve leave by employees in the same Employee Group.

    Only payroll admins should be able to approve leave for all employees.

  5. Ability to send and generate online commencement forms from Xero Payroll.

    Appreciate your input here, everyone. This is a feature that our team have looked into and would like to develop for AU Payroll, however there are a few other key pieces of work lined up before they get a chance to explore this further.

  6. Show leave balances on payslip in days and hours and not just hours. Easier for staff to understand their leave balances in days than only in hours.

  9. It would be great if Xero could implement an automatic change/suggestion to change to category A after an H-category employee doesn't meet the criteria anymore.
    One of our employees just had his birthday and I noticed the category doesn't automatically update and there's no flag to say they might now be ineligible for a certain code.
    I imagine there are more companies with the same problem where it's gone unnoticed that the National Insurance Category hasn't automatically updated as nearly everything else does and it's easy to miss a birthday!

    Hi team, we're pleased to share that this is something our team are working on a solution for atm!

    Once available Xero payroll will automatically update the NI categories of employees who are transitioning out of their current category. Ensuring that the calculation of NI contributions in the Pay run is accurate, and the correct amount is paid to HMRC. 🙂

    We expect to have this to you in the next few months and I'll be back to share when it's delivered.

  10. We want to be able to open and complete the employees draft timesheet, if it has already been started. We have enough to do without starting again from scratch what the employee may have already done but just not clicked the submit button.

    It is idiotic that, as the owner and payroll manager, that we cannot see an employee's draft timesheets.

    As the business owner and Payroll Admin, we should:

    • not have compromise our recordkeeping by putting hours directly into the pay slip.

  11. Currently, Xero lists a super accrual for employees under the age of 18 when they earn over $450/mth. However, it doesn't take into account how many hours that employee works per week. Under 18s are not eligible to be paid super unless they work over 30 hours per week (even if they earn over $450/mth), but Xero doesn't recognise this. Unfortunately this shows up a s liability for the employer, even though a liability doesn't exist.   12. Would be great if Xero could trigger an automated (email and/or text) reminder to the superannuation payment approver 10, 5 and one days out from the superannuation due date each quarter.

    A similar reminder feature already exists in XPM for Activity Statement Lodgements - reminders can be turned on.

    Xero also has the ability to automate reminders to Customers around bill payment.

    Xero has the email and SMS of the superannaution approver already on file.

  13. When a leave request comes in for approval and the employee can take leave in advance (the box is ticked), it should show you how many hours the employee has available. This amount should be the number available minus the leave balance that has already been approved in the system. The leave balance report is only useful when employees can't take leave in advance in their first year. Notifications on xero to alert you that an employees age has increased due to a birthday, as they may have hit a new age bracket in the wage rates and they could be getting underpaid if not noticed. Example - employee goes from age 20 to 21 this would mean that if they are on the 18-20 year old wage rate and they are on the £7.49 once they turned 21 they should then be on £10.18. so notification of birthdays would help keep you aware of age changes.

    Hi everyone, we're currently working on a feature that will automate the process of updating employees' NI categories. When released Xero payroll will automatically update the NI categories of employees who are transitioning out of their current category. This ensures that the calculation of NI contributions in the Pay run is accurate, and the correct amount is paid to HMRC.

    Rather than having to notify, and then you needing to update this yourself Xero will save you this step and do it for you!

  15. Offering a simple update to the Xero system which would dramatically improve one grey area:

    I had a discussion with my team and it's a common topic that keeps coming up - we find it very awkward having the 'Time Off' allowance displayed in 'Hours'.

    Just like some other tracking systems, they allow you to see your 'Time Off' as 'Days' which is much easier to glance at - instead of having to continuously calculate hours, which takes time and can cause confusion on some occasions.

  16. Xero checks employees age against pay rate and that of the National Minumum Wage so it does not get missed. It's doesn't have to change it, just highlight thsat the employee's rate needs to ber changed

  17. When operating tracking income and expenses in two areas, payroll allows for the primary tracking category when setting up the employee and the time sheet allows the secondary tracking option to be selected.

    Currently the timesheet option only allows for the 'hours worked' to be allocated to the secondary tracking option. Any allowance can only be added at the pay run which means it cannot be added to the secondary tracking category.

    Can we have the ability to add allowances as an option in the timesheet?

  19. It would be very helpful if there were the ability to set up Reminders in Xero Payroll for certain dates such as birthdays and apprenticeship anniversaries so that you would know to change the employee's Pay Rate accordingly.

    Hi everyone, we have just released the Leave Requests report in UK Payroll. As mentioned earlier users with the Payroll Admin role will be able to access this report from the Reports Centre. This report lists the details for leave requested, approved and taken, for all employees or can be run for a singular employee. We appreciate while it addresses some needs here it is not the equivalent of the Leave Balances report and we'll keep this idea open and share if there is any work planned toward this specific report. We have also created a new idea to track the interest in a Leave Transactions report and I encourage those interested in this here to also join and support the idea for this.
