Contacts - Different default email addresses for different transactions in Xero
Ability to allocate different transactions to different email addresses.
Purpose: Because it’ll make users’ workflow easier when they’re dealing with the contacts that have different departments.

would be extremely beneficial - we have staff members from different departments all trying to use xero for their purposes - with only 1 email address per contact, not user-friendly. Purchasing needs a different email to quotes dept, then we have the accounts payable, and accounts receivable - all having to manually alter the email address numerous times a day.

This would be so useful particularly as we have different staff members who produce quotations and invoices and don't necessarily know which from those emails saved against the client who needs which document. Looks unprofessional to send all documents to all people and can cause confusion with our clients.

Separate email fields that link to different purposes in Xero. This would enable the purchase orders to be sent to one address and remittances to another. Having two email address options as it currently stands does not simplify things as each supplier's email address has to be checked every time I sent out large batches of remittances.

I need the ability to send a bulk remittance to different contacts, however, am unable to do so, as they won't go to accounts, but to the sales departments. Not Good for business - makes us look extremely unprofessional if emails continuously go to the wrong department.

This is critical for us wanting to send PO's to the Sales team of the Customer, and then send Invoices/Remittances to the Accounts team of a Customer. Some Customers do not want to receive Invoices into their Sales inbox, and same goes for their Accounts team not wanting to receive PO's - clogging up their inboxes and creating confusion.

It would be useful to have a dedicated email address/es for sending invoices, reminders & statements to without having to load another contact each time. For larger companies statements might need to go to another email address but maybe 2 email addresses can be set up (one for invoices & reminders, one for statements) and the statement address defaults to the invoice address.

We are finding that many clients have automated accounts systems that require the invoice to be sent to a separate email address to the statement. If we could load two email addresses & have the ability to select either invoice or statement that would alleviate having to manually change it each month.

Another duplicated delivery from a supplier meaning extra work for them and us in returning (and processing) the second unwanted order.
Why? Because both sales AND accounts received the purchase order we emailed (and accounts forwarded their copy to sales).
Yes- they should have remembered to check the order wasn't a duplicate.
Yes - we should have remembered to check the order was only being emailed to the correct email.
BUT systems based on everyone remembering to remember never really work. -

Clients have different email addresses for certain areas of their company for example we need to first send a quote out to one client to request a PO and then send the invoice to a different email address it would make life easier if this was implemented.

100% Agree, why isn't this an option!
Its very out dated to think only one person takes care of invoices and statements on one email.
I'd like to see an option in contacts for 'invoice email' and one for 'statement email'.
Each month we bill hundreds of customers so when it comes to statements I can't remember the emails for those people. This is so frustrating and time consuming, even writing this email having to mention something that should have been implemented long ago.

Hi Xero, You are Great however I would really like to add a suggestion which I think many Xero users would also like to see.
We have many customers who have multiple contacts for various functions example:
Quotes get sent to contact 1 and 2
Invoices get sent only to contact 2 and 3.Would like the option to be able to set up a contact/customer then add all the contacts on their account and then select/differentiate specific contacts for PO's, Quotes and Invoices.
Right now every time we sent either we always need to manually remove/add emails when sending to customers.

This is about having a setting for who can get draft invoices/statements etc. vs final versions.
Invoices and statements can be sent to people set up in the CONTACT profile to receive emails……this is very useful when we send out the final invoices/monthly statements as an example.
However, the way we do our process for invoicing is:
1. We upload our invoice file
2. We send these (from XERO) for review
a. HOWEVER, we only want the internal Malaspina team/staff to get them, so if there are any errors/issues/corrections etc etc that the client does not see these first, and we can amend before going final
3. The issue:
a. When I email these it brings up all the “contact to receive email” people based on the CONTACT profile
b. I need to go into each email box, copy the email of whom I really want to get it
c. Delete everyone else
d. Paste in the correct name
e. Do this across approx. 90 invoices
f. Send in draft
4. An awesome solution?
a. Have an option where you can set up in the CONTACT profile to receive DRAFT emails/invoices/statements or not (e.g. Harry can receive “FINAL” and “DRAFT”, Client X “FINAL” )
b. or something similar like when the mailing dialogue box comes up it shows the names and you can deselect all and then click on who you would like to get the email
c. I prefer 4a as you could have a lot of potential people in a CONTACT to get the final version so 4b is more cumbersome and it would be easier to manage via a “4a” process. -

I want to specify a different email contacts for sending invoices & statements
Working as an accounts person, I come across a common problem where systems only allow for one email address to be entered on the contact card. Xero doesn't have this problem, you can add extra emails in to the contact card- however I would LOVE to be able to tell Xero what I want to use each of the different emails for.
For example- for our debtors, I need to send the customer invoice direct to the sales team person we have been dealing with (so they can approve it before sending it on to theirs accounts dept), but at the end of the month, the statement of the account is preferred to go straight to the Accounts team for review.
I want to be able to indicate on the contact card what I want to use the email address for so the email field is filled correctly with the email I need depending on the action I am taking.
Would anyone else out there find this useful?

You have recently upgraded your system to allow us to choose which attachments to add to your quotes before, this is a very similar request, just give us a drop down box to allow us to choose from the saved email address, for when we send anything from Xero. It’s just background programming required from your IT department! It would make so much sense. But lack of response isn’t acceptable when we are paying Customers. How many people have to ask for this before it should be compulsory for Xero to act on?

Putting forward a feature request to be able to have a contact for the initial email sent out, then all future contact (email chasers) sent to a different email address.
We have several companies who want this process and we have to remember to do it manually.
All quite fiddly and time consuming.
