NZ Payroll - leave requests and approval while processing pay runs
Currently leave requests must be approved before the relevant pay run is commenced.
If we discover that leave needs to be added at any point after the pay run is commenced, the entire pay run must be deleted, along with any progress made.
When processing payroll for businesses, I occasionally discover leave should be included only while I'm actually processing the pay run.
I'd like to have a clone of the leave creation UI as an option while within the pay run process itself. This would show leave balances for the employee, and only have an option to Approve or…

NZ Payroll - Customise descriptions on payslip
It would be beneficial for clients who pay commissions to be able to customise the description on the pay slip (rather than showing just 'Withholding Income') or having to set up various 'Pay Items'.

UK Payroll - Ability to customise pension letters on Xero
For some clients we use Xero's Postponement and Eligibility letters. This has proved very useful but currently the letters cannot be customised.
We have a client for example who pays a higher employer contribution percentage than the standard. The letters however, only show the standard percentage's despite the settings being different to the standard. We also have a client who has asked for their company logo to be added to the letters.
After speaking with Xero Central I was informed that the letters currently cannot be customised and don't pull from the pension settings.
If this could be looked into…

UK Payroll: Include employer pension contributions in employee opening balances
Have the ability to enter employer pension contributions in the opening balances when adding a new client to Xero. At present the resulting payslip is incorrect as the YTD employer pension figure only shows the current month and not YTD.

UK Payroll - Track the table based DEA Deductions
There is currently an option for a DEA to be table based when setting it up, however this doesn't do any of the calculations for the DEA. Instead, they need to be calculated manually & entered as a fixed amount. There is also no way of keeping track of the amounts deducted until the total has been paid within Xero, this also has to be done manually. This can especially be difficult if the employee's pay varies each period.

UK Payroll - Automatically update Employee salary
If a pay increase is implemented across the board then currently, the only way to amend employees salary amount is to enter each record manually. If you have a large number of employees this is extremely time consuming.
If a salary scale was used and assigned to employee records, it could be uplifted by a percentage and all records would automatically update.

UK Payroll: Record send dates of pension eligibility letters
The Pensions Act 2008 requires all employers to enrol their eligible employees into an auto-enrolment compliant qualifying workplace pension scheme, if they are not already in one, and pay specified minimum contributions. At the moment there is no way to check if and when the letter was sent to the employer. As this is a point on our audit checklist for all our clients would it be possible to add a field showing the date when the letter was sent out to an employee or ideally add it to a pension report.

UK Payroll - Adding Employee Group data to reports
You can enter a group for an employee on the employment information but this function cannot be used on the reports.
If the information of which employee is in which group, then surely its not a huge leap to add this function to the reports. Using the gross to net report, you could select a group rather than an individual, saving a lot of time.

Fixing issues with holidays and making pro-rata holiday calculations automatically
Calculate starting holiday allowance from the starting date of the employee for new employees joining throughout the year.
Calculate final holiday allowance based on the end of employment date when employees leave.
Since Xero knows the holiday hours per year and the working patterns, it has everything it needs to calculate this.
If an leaving employee has taken too many holidays before they leave, it is important to ensure the leave is negative.

However, I also wanted to highlight with differing needs and regulation our payroll products are developed separately for region specifically. We try to keep the ideas regionally separated in community here as it helps when feeding back to the team and also in keeping customers updated.
That said we have a separate idea for this similar feature in AU Payroll and I've added any voters from AU to that idea to keep updated there.

with the new functionality of adding start end times and notes, we are not able to print or download this data in any reporting. the only way we can SEE this info is in the individual timesheet by person.

UK Payroll - Exclude employees/directors from pension at any time
Be able to change an employee/director to be excluded from the pension at any time.
At the moment, if a director is not excluded from the pension scheme straight the way, the payroll has to be rolled back to when the director was assessed. This is fine for small payrolls but would be very timely on the larger payrolls.1 vote -

We must be give an option or some kind of template to upload hours in Xero if there are hourly employees and number is huge. Doing manually is quite a challenge and time wastage.

UK Payroll - Select file type for batch payments
At the moment Xero only produce standard 18 format files for paying employees electronically. There is very minimal banks that accept this kind of format. I I think it would be of great use if we could upload a template file to Xero of the format our bank accepts and it then produces this type of file for us.

UK Payroll - Add pay reference period calendar for Nest pension
Not sure about other pensions, but when using NEST, Xero doesn't currently link up how you would like it to.
Whether you pay staff monthly or weekly, you are bound to have a cut off date for calculating hours which is before the date you send payment to employees.
The info that gets shared when filing the pension records is the "payment date". This physical date falls under the following pay period meaning when the info is transferred to NEST it comes up as the wrong period.

UK Payroll - Allocate Employers NIC cost to more than one account
A number of my client are service businesses and as such all of the payroll costs should be posted either to a Cost of Sale account for Operational staff or Overhead for support staff. I can achieve this for all costs except for Employer NIC cost, which has to be manually moved. It would be beneficial if the NIC could go to an NIC GL dependent upon the type of basic pay chosen.

UK Payroll - Ability to add bespoke pay frequencies such as 445
Add an additional pay frequency of 4-4-5 which is a very common pay frequency in the UK for service based businesses with hourly payrolls. Payroll is process in 4 week, 4 week and 5 week intervals over a year meaning essentially 4 x quarters of 13 weeks.

NZ Payroll - Support for voluntary employer Kiwisaver contributions
With the current financial climate, employees are suspending their KiwiSaver contributions. The Inland Revenue (IR) allows the Employer to continue with the company's contribution voluntarily.
At this stage, it is not 'officially' possible for the employer to contribute to KiwiSaver if the employee is on a Savings Suspension in Xero.The employee is on a Savings suspension, then the company cannot contribute either. Also, when on a savings suspension Xero requires an expiry date, IR does not always provide a date; instead, advising us when to recommence the KiwiSaver.
