  1. If I want to see all invoices for a customer, I have to go to invoices and filter in various ways to get the results I want. This seems counterintuitive. I would expect to go to the customer under contacts and be able to see all information relevant to that customer including invoices.

    Hi Nicola, you can see all invoices for a customer from the Activity tab of their Contact record. There are options to either view all, or just Invoices or Bills. From the tab it's also possible to filter the invoices by Status or other options.

  2. When you open the calendar to input a date (e.g., expense claims), the calendar box changes shape/moves around when you click the arrow to go back over previous months because the number of days in each month varies. The calendar shouldn't move around because you must keep repositioning the cursor to find the arrow again.

    As someone mentioned in another comment, allow the ability to use the mouse scroll to go back and forth.

    Hi Amy, although discount column may not be visible when you first use new invoicing, you can use the Show/hide fields option to choose which fields and columns are displayed - including Discount, and Save your preferences.

    Next time you create an invoice for a customer using new invoicing you'll see your field preferences from the last invoice should be in the new one. 

  4. It would save a lot of time if it would be possible to edit the VAT code on paid and reconcilled invoices, just like you can change the nominal code. The VAT return is done at the end of each quarter, which means that the majority of invoices and expenses have been paid, by the time you are running your VAT return and double checking that all invoices and expenses have been correctly coded for VAT. At the moment, if an item is miscoded I need to go to that item, unreconcile the paymemt, go back to…

  5. Show mandate status and progress: In Sage one of the Customer fields is their mandate status. You can see when the mandate was sent, whether it has been submitted, is being processed, is now active or has been cancelled. These are crucial for us. We are finding it very hard to get even a couple of mandates set up due to the way that first invoices are processed (on their invoice date rather than as soon after as practical). Then we have no way of knowing whether a mandate has been sent or is being responded to. It's guesswork.…

  6. New Invoicing - Add last items

    The new invoicing interface currently being rolled out does not include this feature. This feature is fundamental to my use of Xero for invoicing.

  7. Can you make the VAT amendable on the new invoicing system. We link with the Clover till system and the vat is always a few pence out, but the new invoicing doesn't allow us to change the vat amount.

    Hi Lindsey, you should find that you can add a Tax Amount column within new invoicing which will allow you to change the tax amount of the individual lines so you can correct the cents between your other system and Xero.

  8. Product/Inventory - Template Parent Item Line.
    Would hugely time saving to be able to add multiple item lines with one click.
    Clicking on a parent item which has selected item lines attached.
    These multiple item lines are the items that would be used on every invoice, creating an item line template so to say.

  9. If I use the Receive Money option from the menu: when selecting the customer I would like Xero to give me an option to SELECT INVOICE to apply money to OR create a new transaction. Much easier than going to customer - add payment etc. Again look for some inspiration from other products.

    Hi Hennie, if an invoice already exists related to a payment receive money should not be used. Rather than having to add a payment to the invoice or bill, you can simply use the Find & Match tool within the Reconcile tab to locate and match with the statement line.

  10. It would be great to have the functionality for Partners/Accountant to be able to view Xero Go files as you would in a cashbook, ledger or business edition organisation, by seeing a preview of the document without having to download it.

    This was the case when Xero Go was initially came out and only an odd invoice needed downloading, now it is all of them, across various clients.

    I would take a guess there may be an issue with the app and photos it takes, these are jpeg and should just come up automatically when we view them. A fix…

    Hi community, thanks for engaging with us here on Xero Product Ideas. As you'll have recently seen in our communications - We have spent the last year testing and refining Xero Go and after completing a careful review to understand the future of the product, we found greater investment was required to meet the changing customer needs and expectations around the product.  As a result, we will be retiring Xero Go on 12 September 2024, and will move this idea to not planned.  We really appreciate the support from you all who have been using the app during this free period.

  11. KEYBOARD ACCESS IN ALL FIELDS IS CRITICAL
    Xero users know how a keyboard works and I'm sure many find its use preferential to having to continuously move a hand to the mouse to engage dropdown menus. This needs to be available in all areas of Xero.

    Hi team, from the payments window when you're on the Account field if you press 'Enter' on your keyboard this will open the field. From here you can type to search and select the bank you'd like.

  12. Extend the search function under bills to pay to include creation date to help elevate duplication when exporting data to csv file.

    I want to export invoices from Xero to import into a CRM platform to use as a job cost analysis as this is not a function Xero currently has.

    All invoices dated the 01.09.22 will not be input on the same date so there is no way to ensure you have exported all the invoices for the 01.09.22 unless you delay the export. This is not a practical solution for me as I want to…

    Hi team, returning to the idea I wanted to highlight that you can currently run the History & notes report which could be filtered for Type = Bill, and type 'created' in the search bar.


    Relating to the ability to identify duplicates - our team are currently working on aa duplicate detector that'll further help with this process, so you'll be able to review bills that have been identified as duplicates and take needed action before exporting - You can stay up to date with work for this on this idea. Just add your vote to receive updates 🙂

  14. Create a task list for new users of what they need to set up or complete in order to start working. Include links to the learning material for those tasks. New small business owner and I was not sure what exactly I had to set up or edit before just jumping in so I learnt when doing the tasks that I needed to set up a default invoice as example

    Hi Phil, thanks for raising this with us. Luckily I cna let you know that Xero has indeed set up certain tasks when you first set up your new Xero organisation, adding bank accounts and bankfeeds, invoice templates, adding users. Im sorry that this wasn't clear to you when you started your organisation. We also have options to set up calls when you hit certain milestones if you need more help. But thank you for letting us know this would be helpful and I hope we can be helpful when needed.😊

  15. Ability to see aged debtors' balance in the currency the invoice was generated in, not just in your base currency, otherwise, it is difficult to calculate how much a customer owes. The same is true when you view the balance for a contact. It shows the issuing currency for each entry, but the total is only shown in the base currency, which is not helpful if you need to inform someone of the balance outstanding.

  16. Link to invoices on issued Statements - Custom Clients

    It would be beneficial to have a "review" type option on statements issued where clients can click into the review and see which invoices show as paid or unpaid. From there they can see in a single screen view what they need to attend too.

    This is already possible within Xero Nicole!. While not specifically as described but your customers can click on a link when they open an invoice or a statement emailed to them, and this will take them to their outstanding invoices in Xero. If you'd like to try this out you can email a statement to yourself and follow the link. 🙂



  17. Old invoicing you used to select your "to" contact, then tab across to the date where the date would be highlighted so you could start typing a new date straight away. New invoicing no longer selects the date & takes longer if you want to manually type a date rather than having to use the mouse.

    Hi Shannon, we made some changes toward end of 2024 to improve the entry and selection of dates in new invoicing. Having just done a test I can see that when you tab from the To field it'll move across to the Issue date field with the date highlighted and you can easily start typing the date you need just like you've mentioned.

  18. Keep the Xero Classic Look everyone preferred.

    The design of the New Invoicing, Bills and Fixed Assets pages are sadly reminiscent of an excel spreadsheet.

    One of the enjoyments of the Xero software compared to its competitors are the fresh, clean pages that make it inviting to use. When changing to new function, Xero has changed its design elements and is missing the 'attractiveness' that has been part of Xero's signature branding.

    Specifically black text, flat checkboxes, grey cell borders and grey column headers makes it feel like an outdated 1990s program.

    Appreciate your feedback here, and I've shared this back with our teams at Xero. We want to be upfront that as we continue to develop Xero products and features and update technology, this will ultimately result in some change to designs, actions and flows.

    Product ideas here is a great place to share what improvements we can make in specific features or how we could develop new features that would enable you to grow your businesses.

    As we make decisions around new experiences we're keeping customers front of mind. Our product teams regularly review feedback and consider asks from our community in product ideas. We also do thorough testing before changes are released, to try and make transitions as smooth as possible for our customers.

  19. Wouldn't it be a good idea to develop a professional version of XERO for those of us who use this for bigger concerns or who are professional bookkeepers? This one size fits all approach is not ideal, we don't require pop ups telling us how to create a copy invoice every time when it is something we do on a regular basis. Not the only thing that slows us down but there are too many to list

    Thanks for your feedback, Michelle. When you say a professional version are there other things out side of the notifications in product that you'd be looking for within a product of this kind?

    Being open we don't have anything like this planned, however understanding your needs can help when sharing your feedback with the team.

  20. Hi. We are an International company with various subsidiaries in the UK and overseas. We are using a bespoke accounting system which is not even cloud based. In fact all on the spreadsheets. Designed to serve the purpose. However, It took me a while to persuade our managers to move onto something more advanced, user friendly, that would create all accounts on the platform, not on manual spreadsheets. 
    There are a few downsides I am facing on Xero. This software doesn't have any built in accruals and prepayments invoice system, that could do the accruals and prepayments for you usins the dates…

    Hi Svetlana, thanks for sharing your feedback and thank you for trying Xero. We appreciate you explaining how this could support your international operations. While Xero currently supports managing multiple organisations separately, consolidation of the reports is currently done outside of Xero. With regards to the accruals and pre-payments, we recommend raising a case with our support team as they would be able to look into it a bit more.
