User Role - Restrict access to specific Tracking categories
Ability to restrict access to specific tracking categories for some users in Xero org.
Purpose: To help users hide the incoming and outgoing transactions from some users within the Xero org. Some organisations (e.g. not for profit) need this to protect the privacy of their donors and departments.

UK Payroll - Allow Xero users permission to authorise employee timesheets
Allow Xero users permission to authorise employee timesheets. At the moment only the payroll administrator or specific employee has the ability to do this. Payroll permissions under settings/users should be expanded to be more granular, with an option to allow users permission to authorise timesheets. Alternatively, under the employee details in Payroll, an option to select authorised Xero users whom may sign off timesheets for that user.

User Permissions - History recorded of role changes and ability to add description
There is currently no record of changes to User registrations in the xero file. This is a failure of audit processes.
A description for each user would be handy to identify the role of each person within the Organisation.
A start and End date would allow for Temporary access arrangements.48 votes -
NZ Payroll - Allow timesheet approval for employees with authority
For employees who use Xero My Payroll, if you are a Payroll Admin user, you can grant employees authority to approve leave. The option for Timesheet approval should also be there, it is available in other countries but not NZ.

MFA - Move cursor to code field automatically
When I login to Xero, I enter my email address and password and am taken to the second page (MFA).
I'm then asked for the authenticator code, but I have to click into the field to enter the code.
Xero knows that there is an almost 100% likelihood that the first (and only) thing I am going to do on that page is enter the MFA code.
Xero should automatically have the cursor in that field so that I can type the code without clicking into the field.

User Access - Restrict Invoice only role to Customer list
There is a role setup for Invoices Only (Purchases). This is useful if you want to have a User process Accounts Payable Invoices, but without providing access to Sales Invoices.
However, if you login with this role, you can see 'All Contacts' as well as the list of all 'Customers' and the billing amounts outstanding. Surely this is inappropriate if the role is for Invoices Only (Purchases)?
The suggestion is that a user with the role 'Invoices Only (Purchases) can see Supplier contacts, but cannot view Customer contacts (which is really what most people would expect if this role is…

Login - Single Sign-on (SSO) across Xero Products
Would be nice when moving from Xero to Xero HQ and Xero Central to have it retain your login so you do not have to login to each site separately.
45 votesThanks for sharing your interest in single sign on across Xero's products. This is available currently across many areas or Xero. For example if you are logged in and working in Xero, then move across to Xero Central(our support hub) you may need to click the login button in the top right of the screen but if you're session hasn't ended you should find the page should refresh and automatically log you in.
We appreciate wanting a smoother login experience that's recognised across all Xero products and will share if there are any improvements planned around this with you all, here.

Permission - Ability to choose either or both Sales, PO, quotes and Invoice for Invoice Only user
Invoice only user role that allows you to pick and choose either or both Sales and Purchase orders. quotes and invoices. At the moment you can only have Sales or Purchase IO otherwise you have to make standard user which is not helpful.

Conversion Date Mid-Month
When posting conversion balances, you have to post balances at the end of the month. If you could select a day, i.e. 5th of April, it would make posting conversion balances a lot easier

User Permission - Ability to give both Invoice only and payroll access
I have clients whose bookkeeper does the payroll and also processes accounts payable/receivable invoices. Currently we can't have submit/draft only invoice access AND payroll access. This means that if they want to do payroll, they also get access to approval of invoices. Can we please create a user role where draft/payroll access is combined?

Permissions | Ability for Manage users to assign Payroll Admin
If a staff member has Manager User access to a client file this doesn’t allow them to add users to a file with Payroll Admin unless they have Payroll Admin permissions.
It would be good if people are allowed to MANAGE the access without necessarily having themselves.
Can this idea please get implemented as it will avoid adding administrators with Payroll Admin permissions to our large client list when it isn’t required.40 votes -
User role permission: Invoice Only Purchases - Assign user to see bills paid
Currently, it’s not possible to assign a invoice only-Purchases (orders and bills) user permission and not be able to see bills paid or to have the Invoice Only create drafts user role and see purchase orders approved by other users. Can you include this option in Xero?

User role | Invoice Only - Send receipt for payment
As the Standard user role is required to send a customer receipts for invoice payments or receive money transactions (https://central.xero.com/s/article/Send-a-receipt-to-a-customer), clerical staff assigned this role can view all bank account balances. As most business owners would prefer that bank balances remain confidential, adding the ability to generate customer receipts to the Invoices Only role would alleviate this concern.

User roles: Restrict access to Invoice Settings
For internal control reasons the 'invoice settings' section should be only accessible for certain access types. Anyone with Xero access (excl read only) can go and adjust the bank account manually entered on the invoices sent to customers.
It would be great to have this locked the same way bank account admin is for supplier payments.

Xero Me - Payroll Authorisers to NOT include advisers
Please adjust the Leave Authorisers in Xero Me to be the employees in the business with Payroll Admin &/or the Authority to Approve Leave.
Currently all user with PAyroll Admin are available for selection - which includes ALL advisors.
As an accountant - we are having to revoke our access to a client's payroll to ensure that the staff in the client's business cannot select the accountant's staff members to approve their leave.35 votes -
User Role: Invoice Only - Ability to add tick box options for setting up a new invoice only user
We need to give a user the 'Invoice only (sales)' permissions but do not want them to view invoices created by other users or ANY sales figures such as 'total awaiting payment' or 'total overdue'.
It would be incredibly useful to have tick box options for main permissions when setting up a new Invoice Only user. These permissions should include:
- View sales totals
- Approve invoices
- View invoices created by other users

Multi-Factor Authentication: Support for third party push notifications
With the recent changes to MFA dropping the remember devices from 30 days to 24 hours, the MFA prompt is now far more often (which is of course more secure) however it does slow down login.
Could you please look at updating the MFA configuration to allow push notifications to the mobile authentication app, or better still the number match, which is far more secure. Examples from Microsoft is below, but the priciple would apply in most major platforms.

This would improve the user experiance over the token, but also improve the security overall.

User Permission - Separate approver roles for both Invoices and Bills
When raising client invoices, it would be good to be able to submit the invoice to a Manager for approval.
When processing supplier bills, it would be good to be able to submit the bill to a Manager for approval of payment of that expense.
In both cases, this would mean that approval details of "who" and "when" would be noted in the History of the invoice/bill without needing to attach a file showing the approval or tracking this outside of the system.

User Roles & Permissions - Ability to suspend users
It should be possible to suspend users without deleting them. This should cut off all accesses but should preserve the account /username itself. This is a basic functionality of user access control which is surprisingly absent from Xero. This preserves the user ID incase someone suddenly leaves the company or is suspended from duties for whichever reason.
