  1. For employees who use Xero My Payroll, if you are a Payroll Admin user, you can grant employees authority to approve leave. The option for Timesheet approval should also be there, it is available in other countries but not NZ.

    Hi everyone, thanks for your feedback on allowing authorised employees to approve timesheets. We appreciate you sharing how having managers approve timesheets without full payroll access could help streamline processes.

    Our product team is currently exploring more granular permission levels in payroll, so we’ve moved the idea to Accepted.

    Although this isn't currently on the roadmap, we'll keep you updated as things progress. Thanks for your continued input.

  2. Right now it’s not possible to have users automatically assigned to tracking categories.

    We are investigating the tracking scenario, but it looks like additional work having to go into making sure each user remembers to add the relevant codes/tracking categories each time they raise a new quote/invoice/PO.

    Is there a way to set this up so that Xero can automatically identify that a user belongs to a particular department (e.g. Sales / Accounts ) and the relevant tracking codes will be applied? Similar to how when we set up a new contact on Xero with particular defaults (re. currency or…

  3. I’d like to be able to use Google drive on the app and be able to share links to any given file.
    For example: Unit (apartment units) turnovers require multiple pictures (before and after).

  4. Can the magnifying glass search for anything entered so you can see where an item has been entered before, at present it only searches the information in the reference box. Sage & Quickbooks already do this and its very helpful as a book keeper.

    Is there a specific field of an item that you'd generally search for, Janie? 

    Being open, we don't intend to allow for the ability to search 'any field' that data can be entered in Xero. 

    However if you can be more detailed in the terms you're searching this maybe something other in community want to see too and we can share with the team who develop Search in Xero. 

  5. Xero has a gap in handling Fx gains/losses.
    It is great at both Realised and Unrealised on bills and invoices but it drops the ball on Cash at Bank. It treats it all as Unrealised, which is where the flaw is.

    You can have an empty currency bank account which has a residual functional currency balance and has movements on the TB every month due to revaluation. This is clearly nonsense.
    I have also been told to ignore the exposure column on the Fx report as it is meaningless.

    For Fx gains/losses Cash is a document in exactly the same…

  6. Currently you can only see new notifications when they pop up in the menu. As soon as you click x, they disappear and cannot be accessed any more. It is useful to be able to look at old notifications - particularly for tax codes so that changes to tax codes can be double checked

    It'd be great to understand when you say "dismissing" notifications, would this be by clicking the "x" icon in the top right hand corner of the notifications pop-up, or within the notification feed? Thanks 

  7. It could be helpful to have the functionality to be able to copy and existing company in Xero in order to create a new one with the same details. This would make setup of the new one much faster particularly when companies have multiple entities that do the same thing just in different states / Emirates / countries even. You can pretty much copy anything else within Xero so it would be beneficial to be able to just clone the company itself.

  8. Currently, it’s not possible to assign a invoice only-Purchases (orders and bills) user permission and not be able to see bills paid or to have the Invoice Only create drafts user role and see purchase orders approved by other users. Can you include this option in Xero?

  10. When posting conversion balances, you have to post balances at the end of the month. If you could select a day, i.e. 5th of April, it would make posting conversion balances a lot easier

  11. When setting up a new Xero organisation, in Organisation Settings we are being asked for organisation type and registration number. it should be possible, especially for Limited Companies, to pull their details which are stored on statutory register via the API by reference to registration number.

  12. It would be really useful to be able to give users (dept. managers) access to Xero, but purely for their department, so they can view real time reports (profit & loss etc) of only their department, without having access to the company as a whole, or other people's departments.

  13. We need to give a user the 'Invoice only (sales)' permissions but do not want them to view invoices created by other users or ANY sales figures such as 'total awaiting payment' or 'total overdue'.

    It would be incredibly useful to have tick box options for main permissions when setting up a new Invoice Only user. These permissions should include:
    - View sales totals
    - Approve invoices
    - View invoices created by other users
    - View Invoices awaiting payment tab

  14. There is a role setup for Invoices Only (Purchases). This is useful if you want to have a User process Accounts Payable Invoices, but without providing access to Sales Invoices.

    However, if you login with this role, you can see 'All Contacts' as well as the list of all 'Customers' and the billing amounts outstanding. Surely this is inappropriate if the role is for Invoices Only (Purchases)?

    The suggestion is that a user with the role 'Invoices Only (Purchases) can see Supplier contacts, but cannot view Customer contacts (which is really what most people would expect if this role is…

  15. When raising client invoices, it would be good to be able to submit the invoice to a Manager for approval.
    When processing supplier bills, it would be good to be able to submit the bill to a Manager for approval of payment of that expense.
    In both cases, this would mean that approval details of "who" and "when" would be noted in the History of the invoice/bill without needing to attach a file showing the approval or tracking this outside of the system.

  16. Ability to completely remove from the My Xero homepage cancelled Xero organisations. Currently, you can list no fewer than 10 items per page, so if you have say 4 active organisations and 6 cancelled organisations, you are 'forced' to look at the list of cancelled organisations every time you log in, even if the entities have long been deregistered and there is no chance that you will resubscribe to them.

  17. As the Standard user role is required to send a customer receipts for invoice payments or receive money transactions (https://central.xero.com/s/article/Send-a-receipt-to-a-customer), clerical staff assigned this role can view all bank account balances. As most business owners would prefer that bank balances remain confidential, adding the ability to generate customer receipts to the Invoices Only role would alleviate this concern.

  18. We would like to be able to hide certain bank accounts on the dashboard so our employees who reconcile our bank accounts don't also see our payroll bank account (same with loan accounts, savings accounts etc) where the wages get paid from. I.e. the ability to edit the dashboard and 'hide' a bank account for certain employees/ Xero users. Currently as I understand, editing the dashboard is unique to the logged in user.

    Hi Heiko, even if you were to hide the bank account from the dashboard, if the user has permissions that enable them to access bank accounts they would be able to view this information somewhere else. 

    It sounds like you'd be interested in the idea across here asking for the ability to restrict access to bank accounts. Would this be correct? 

    If so, I'll merge to keep this feedback altogether. 

  19. There should be the option to overwrite or set 'default' descriptions when using the Xero app to upload receipts. When it says 'What was it for', a list of suggestions appears. At present it only shows the following options, none of which are applicable for a lot of businesses. Even a small adjustment to show 'Purchases' or 'Materials' would be useful
