  1. Why do we have to switch back to classic to apply and over payment - This feature needs to be in the New Invoicing System. It creates a massive amount of clicking to get all the features needed.

    Hi everyone, we have now released this within new invoicing 🎉

    You'll now see that when you apply a payment within new invoicing, if the amount entered exceeds the invoice total Xero will note this and offer the option to create an Overpayment.

    Thank you to everyone that voted on this idea and shared the importance of this in your workflow.

  2. Kelly, the procedure to copy an invoice was improved, but it is still erroneous. We have tracking category (department) recorded in customer's settings. But for some customers we issue invoices with the other department tracking category.

    New invoicing does not copy that "other" category. When the invoice is copied, all customer's default settings applied to it. In my particular case, it is wrong. I do not want customer's default tracking category; I want a copy of the INVOICE with the correct tracking category. In short, the new invoice is to be an EXACT copy.

  3. For when creating an re-occuring invoice, there is occasions, where invoices must be sent at specific times of the month, for example...

    • Last Day of the month
    • Every 2nd Tuesday
    • Last Thursday of the month

    The reason behind this, is because some companies who you are invoicing operate specific payment cycles, and in order for a small business to get paid within the terms of their invoice ( Late Payment Act 1998 & your own article on [ https://www.xero.com/uk/guides/invoice-payment-terms/ ] - Payments terms are getting shorter )

  4. On classic invoicing, when you click the account category space or the tracking category it would fill in from the contact default, or account default or some default. But on new invoicing it only fills in if you tab.

    Thanks for the added detail, Becky. This is good to know when sharing back with the team. While this may be something we look closer at down the line, I want to be open that we don't have direct change planned in the near term.

    Understand it's a few more clicks at present, potentially to save tabbing 8 time clicking on the Tax Rate column and then tabbing once may save a little time atm. Completely get it's not a resolve though.

    Account Team - Is it possible that this would be when you're copying an invoice to a new draft invoice? If so, and you select the same Contact defaults aren't automatically applied and you'd need to remove and re-add the contact on the new draft invoice to trigger defaults to be applied.   5. New invoicing version makes me tick 'Include files as attachments' for every invoice I send off, whereas the old invoicing remembered my defaults. I prefer the old way where my preferences were saved.

    New invoicing also cannot preview attachments, it always has to open a new tab to view an attachment. Old invoicing I could preview an attachment on a pop up within the same browser tab. I prefer just viewing the attachment quick within the same screen, I personally don't like having another tab that needs closing.

    Thanks for sharing your thoughts and feedback on how you'd like to see new invoicing developed. All your feedback here is being shared with the team as they continue to iterate and develop this new experience. 

    That said, in order for us to get a better understanding of interest for the different points raised here it's best for us to track and update any progress on these each separately. We appear to have ideas for each of the points mentioned in the thread here and I've linked these below so you can join and follow any updates for each. 

  6. In the New Invoicing Template you have to enter a Qty for every line as the default Qty is "0"... In the classic version and what we are all used to it's "1".. As a ball park guess I'd say the use of Zero qty on a line is a lot less common than any other number from 0-9 and I'd guess most lines are a qty of x1.. If I wanted to default my qty's to Zero, I can not see the point in making invoices :)))) Come on who made Zero a default qty for invoicing??

  7. Can you make the VAT amendable on the new invoicing system. We link with the Clover till system and the vat is always a few pence out, but the new invoicing doesn't allow us to change the vat amount.

    Hi Lindsey, you should find that you can add a Tax Amount column within new invoicing which will allow you to change the tax amount of the individual lines so you can correct the cents between your other system and Xero.

  8. Add a total invoice amount at the top of the screen like the old invoicing format. It's a pain to open an invoice and have to scroll all the way to the bottom to find the total amount of the invoice, especially if it's a long invoice. The old invoice format shows the invoice total at the top of screen

    While we don't have any direct plans for adding a total back at the top of the invoice, it'd be good to get a sense of the interest if this is important to others in community here, too.

    Though I appreciate it's not a solve for the idea. To help speed up getting to the bottom of the page on those lengthier invoices, Julie you may find using the 'end' button on your keyboard helpful 🙂

  9. Under the old invoicing, when an invoice was emailed to a client for the first time, the email address used for that first invoice automatically populated the Contact card's email address at the time the invoice was sent.
    This meant that if the invoice was unpaid, the reminder would be able to go to the same person who received the invoice.
    However the new invoicing doesn't automatically populate the Contact's email address.
    This means an extra step is needed to ensure the Contact card is updated.
    If this step isn't taken, then the automated reminders don't go out.

    Hi Jo, interesting one here as some users would like the contact to be update but also others that wouldn't. It'll be good to get a sense of users that would like to see the contact record updated with the email used when sending from your idea here.

    No plans to change this behaviour at present but we'll share if there's any news.

  10. When sending a new invoice to a client with multiple contacts, I find the most recent invoice relevant to the current project and copy the email details from the History and Notes entry for the action Invoice Sent.
    If there is more than one email address, the old invoicing used to recognise that a comma separated the email addresses. I could paste that into the 'To' box without issue.
    BUT IN THE NEW INVOICING, I get an error message when pasting multiple emails into the 'To' box: "One or more email addresses are invalid."

  11. There are so many disadvantages to the new invoicing. All my points have been covered in previous ideas so have voted for them. This note is to add my frustrations to everyone else's on this supposed "faster" way to invoice.

    I have even had a customer say the GST was wrong and had to revert to the classic invoicing to fix then return to the new version.

    This whole new version is not my favourite and I will be recommended to my clients to consider other software if these Xero "improvements" continue to disappoint. There are other improvements that…

  12. Despite some condensing of information and improvements to the appearance of new invoicing, it continues to display information with less clarity and efficiency than before. This is only one example but on classic invoicing, entering a tracking category that was too large for the field would cause the vertical height of that row to increase. Now new invoicing simply cuts off the field after a certain character limit.

    This system is not ready for default deployment and you have no idea how bad the support storm is going to be on the 2nd of September. Please push back…

  14. When sending an invoice to a new customer using the new invoicing you can only add one address line before the Town/City field. With the old invoicing you could add multiple address lines before the Town/City field (as you can also do with their Contact page and clicking edit).
    With new invoicing this is difficult. Every time you need to add an address to a new invoice going to a new contact within the invoice screen then you only have one address line above the town/city field.

    Hi team, we’ve made and released some recent enhancements to the ‘Contact’ field and contact card within new invoicing.

    Hearing your feedback here, we added more address lines to the contact card within new invoicing so you can add your full customer’s delivery or billing address on the fly. You’ll also see you can quickly look up and select addresses for your contact, as well as edit or add the Attention to without needing to go to the contact record.   15. In Classic views if there was an Adjustment to Tax it was quite obvious when the Invoice (or Bill) had an adjustment to tax. Compare that to the new Invoice screen where there is nothing showing that this adjustment exists.
    It must be sitting in the database somewhere as its shows in classic invoicing.

    Could this be added back into new invoicing plus could there be a report or filter that could show invoices or bills that have an adjustment to tax?

    Hi everyone, apologies we've not updated you on this idea sooner.

    Where you're using the UK or Global editions of Xero it is possible to manually adjust the tax amount of individual lines of your invoice with new invoicing. This is slightly different to classic where you would adjust the overall tax amount of the invoice.

    If the Tax Amount column isn't shown already, click the show/hide fields button where you'll have the option to check this - While this column is possible to view for all orgs, as with classic invoicing only UK and Global editions will find the option to edit the Tax amount of your invoice lines.

  16. Give sales invoices the ability to create self-billing contractor bills - the same as billable expenses but for the the sales side, rather than the purchase side. I produce high vol royalties where the suppliers(producers) do not physically bill, but we need to raise the charges directly in line with the sales received. Massively labour intensive and could be fixed with this function.

    Hi everyone, to give a bit more detail from our status update a few months ago - The ability to copy to a bill is a feature that the team will be building into the new invoicing experience. They have a few items on their agenda and I want to be open that this is not planned to be delivered until after the sunset of classic invoicing. 

    For the time being, you'll find you can still copy to a new invoice, quote, purchase order or bill from the invoices list view. 

    You can get a bit more of an understanding of what's coming from our Xero central page. When there's more news on copy to a bill I'll share this, here. 

  17. Have less white space on new invoicing as it fills screen. The notes section which is in contacts 4000 chars make visable and editable on the new invoice page so we can see it whilst creating and invoice. We dont then have to keep jumping from one page to the next.

    Hi team, taking a lot of our customers feedback onboard we've just released a new line item grid that encompasses many improvements our customers have been asking for. With this change, our product team have optimised padding, font size and column width, reducing the amount of white space and providing a more compact view. For many customers this means less scrolling and better visibility of the contents of fields like Account and Tax Rate which are now wrapped so you can see the full contents. 

    We value all the feedback we've received from customers as we keep developing this experience. Please continue to add your votes to what matters most to you, our product teams continuously lean into your feedback and trending ideas from the forums here as they plan more improvements.

  18. At present, using Xero's Invoicing templates, you cannot send a "Receipt" from the Invoice -> Email screen. It prints as "Tax Invoice" with a zero balance. You have to click into the payment applied and send a "Receipt" from there.

    If Xero labelled a paid Invoice as a 'Receipt', then surely we could use 'Receipt' templates - as you cannot unless using an advanced docx template with custom coding.

    Secondary to that, Email templates - not being able to have a 'Receipt' template means that our "Receipts" go out with Xero's "View Full Invoice and Pay" message at the bottom…

  19. New invoicing is missing the mark by getting rid of Classic Features. I can no longer do math when making a payment. I will often post a partial payment ie: 50% payment, I can add /2 or *.5 after the prefilled amount. I can no longer do this in New Invoicing. Why get rid of features? So frustrating now that Classic Invoicing is gone in less than 50 days. It was much more efficient to have add payment at the bottom of the invoice opposed to jumping to the top of the screen to add a payment, and now…

  20. URGENT!!!! The new invoicing is quiet frustrating. It doesn't remember past settings when emailing the invoices. So now I need to remember EVERYTIME I send an invoice to click 'send me a copy', which I know I'm going to forget especially if I'm in a rush.

    ANNOYING!!!! There's an added step now to attach a pdf. I now need to click add files then drag the pdf, instead of simply dragging it and clicking to send with invoice or not.
