Invoicing - Unit field default to hourly rate
INVOICING - in the field 'Unit Price', it would be great to be able to have this default to the hourly rate we charge (and to override if necessary). We send our invoices to our clients at the end of each month, and therefore there are several entries for the daily activities charged throughout the month, hence having to input the hourly rate several times for each invoice.
1 voteHi Bronwyn
It sounds as though you can use inventory to speed things up here! Xero’s feature lets you save details of things you buy and sell regularly as inventory items. See more about our options for managing inventory here.

Invoices/Bills - Discount the unit price, not the entire line item
Ability to add a discount for unit price just for a single line item.
Purpose: To save time from manually allowing percentage discounts.
16 votesHi community, this is possible for invoices with the use of the discounts column where you'd only enter a discount for particular line items. With new invoicing you'll have the option to enter a discount as either a % or amount.
Alternatively if you'd just like Xero to calculate the unit price and not need this shown you could use Xero's inbuilt calculator to enter an equation that'll automatically calculate the price for you based on a given amount.
We have a separate thread going for the ability to add discounts to bills (accounts payable invoices) that some of you may like to join for any updates.

Notes - Ability to bulk add to transactions
It would be incredibly helpful to be able to update multiple notes at once. For example, if I have a list of 300 invoices and a statement has been sent, I want to see that note on each invoice, so that anyone going into that account can see the last action. So for example, I want to add the note 'Statement sent today requesting payment by 19th April' to all 300 invoices, but I want to be able to select them all and add that note once, not 300 separate times.
It would be so helpful and…

Sales - Bulk add payments to non bank accounts
It would be useful to be able to pay invoices in bulk through a designated accounts (which is not a bank account) in the event for example of invoice financing.
Currently we need to go in each invoice and enter the payment details if this is not going through the bank account.
The approach could be similar to the batch payment on the "Bills to pay" side.
2 votesHi Alan, similar to batch payments in the bills side we have batch deposits in invoicing.
You could create a batch deposit to record payments in bulk. Providing payments have been enabled to the account, a non-bank account can be selected for the deposit.

Live Hyperlinks on Quotes, Invoices & POs
We issue quotes / invoices to customers, and POs to our vendors that include links to more detailed instructions / specifications on our Sharepoint server. The links don't appear live on the PDF documents so folks have to copy and paste them to view the additional content. It would be great if URLs could generate live hyperlinks so that additional information can be linked in the body of a quote / invoice / PO
1 voteHi Vanessa,
I just tested adding a URL in the Description field on a standard invoice template and when viewing the invoice as a PDF, the hyperlink to the URL does work if you mouse-over the first line of the URL.
Alternatively, if there are common links you want to direct your customers to, you could add them to other areas of your invoices, quotes or PO by using an advanced template. For example you could create an invoice template for a certain type of scenario with the relevant links you need to share, and add them just below the line items and total amounts on the invoice. Then when you need to send these links you just select that invoice branding theme.

Contacts - Bulk edit contact defaults
Bulk Edit/Updates - for all or a selection of Customers or Suppliers in particular Sales Defaults such as Sales Account, Invoice Due Date, Discount, Branding Theme and Region and Purchase Defaults such as Purchase Account, Bill Due Date and Region
3 votesHi community, returning to the idea here it is possible to bulk update all these details for multiple contacts at a time through the export/import with CSV. You can read more on this in our help here.

Invoicing - Stop capitalizing the address line for City
On the PDF invoices, Xero automatically CAPITALIZES the entire town/city name, even in my custom invoicing template. It looks unprofessional and I want it to go away. I've avoided this by typing all new addresses on the first line, but I have imported hundreds of contacts into Xero and I don't want to go in and change every single one of them.
5 votesHi all, in Xero City, State and Country fields appear in capital letters when using a standard invoice template. This is because the US Postal Service (USPS) recommends these fields are in all caps.
Currently you could use an advanced invoice template and replace the merge field <<ContactPostalAddress>> with some or all of the following merge fields to change the way this appears:
- ContactPostalAddressLines
- ContactPostalRegion
- ContactPostalCity
- ContactPostalCountry
- ContactPostalPostCode
- ContactPostalAttentionTo

files
After uploading a file, one must select account and what it is (bill, invoice, expense, spend money)etc, before you see what it is. I should be able to open file, add all the details, while viewing the image/document
3 votesHi Tonya, it's currently possible to view a file you've uploaded to the library before having to add it to a transaction. Just click on the file name.

Invoices in other currencies - Compliance with HMRC's guidance (for UK businesses)
HMRC's guidance on invoices in currencies other than GBP, found at https://www.gov.uk/guidance/foreign-currency-transactions-vat-and-tour-operators lists specific requirements that need to be met when creating an invoice in a currency other than GBP, namely:
1. "the total net value of goods and services at each VAT rate" needs to be shown in GBP (as well as in the foreign currency)"
2. "the amount of VAT, if any, at each rate" needs to be shown in GBP (as well as in the foreign currency)"
3. the currency conversion for VAT purposes needs to be calculated in one of the following two ways:
-…3 votesHi all, apologies we've not responded here before now. Checking in with our team on this our current invoice templates do accommodate what's needed here.
With the standard invoice template you can select to 'Show currency conversion as' 'Net amounts with tax totals', which display a currency conversion table with the net amounts and tax grouped by tax rates or tax components. A base currency equivalent is also included. You can see more information on displaying currency conversion on Xero Central.
We also provide a highly customisable DOCX invoice template that can be used to provide more detail if you choose.

Bills - Bulk create Purchases invoices
Ability to create purchase invoices in bulk.
Purpose: To save time rather than having to manually create purchase invoices one by one.
7 votesIt sounds like you're looking to create supplier bills in bulk. If so, you can do this by importing them using a CSV template, which you can download from the 'Purchases overview' screen in Xero.
There's more info on how to do this here: Import bills and credit notes.

ApprovalMax - rejected bill email link - allow editing when it takes you to Xero
When we receive an email from Approval Max stating that someone has rejected a bill, it has a link to the bill in Xero. When you open the link, there's no way to edit/amend the invoice from this screen.
Please add an edit button.
Currently, from this screen, to edit the invoice, we need to go to:
Bills To Pay > Drafts > search for the invoice > then edit itToo many additional steps to edit the invoice, it should be easy from that first link.
1 voteHi Kelly, thanks for the screenshots. Seeing as this email is sent by ApprovalMax we'd recommend connecting with their support to see if this is something they can change or would consider extending their integration for. Many of our app partners designed and built their integrations with Xero themselves and are best placed to confirm how this works and make changes to it.

New Invoicing - Retain automatic suggestion for email address, based on previous contacts
Please include the functionality of classic invoicing which allows Xero to suggest email addresses based on your previous contacts used. This is a key time saving feature in our workflow and one of only a few reasons we cannot transition over. This feature also appears to be impacting other users with a slightly different issue - https://productideas.xero.com/forums/939198-for-small-businesses/suggestions/47697284-new-invoicing-keep-the-previous-contact-when-usi
5 votesHi team, sorry we didn't return to update you on the deliver of being able to keep the contact when copying an invoice with new invoicing.
This was released a couple of weeks ago. Now when you copy an invoice to a new draft invoice you'll get the option to keep the same contact.
It;s worth noting that while the contacts details will follow through to the new invoice for sending purposes. Defaults are not automatically applied - So, if you'd like contact defaults to be applied to the new invoice you'll need to remove the contact and then re-add in the new draft invoice.

Xero Accounting App - Option to submit a Bill or Invoice for Approval
I would like to see full Xero usage on the Xero app. In this case, the ability to submit bills for approval instead of the current options of save and approve only.
1 voteThanks for your feedback. We know that having the option to submit a bill or invoice for approval directly from the Xero Accounting app would significantly improve your workflow. As noted in the comments, users have the option to log into the web version of Xero on their mobile devices allowing them to submit bills and invoices for approval. ⭐ This allows you to perform the approval process on your phone, though it's not as seamless as a native app experience. At this time, we have to prioritize which features we bring to the mobile app. The primary focus of the Xero Accounting app is on quick, simple tasks, like creating basic invoices and submitting expenses. Complex workflows, such as bill and invoice approvals, are better suited for the desktop version due to their complexity and the constraints of the smaller mobile screen. We will continue to review and consider this…

Purchases - Set default landing page for payable invoices
Business dropdown menu
‘Bills to pay’ link goes to ‘Purchases overview > All’, showing all Paid and Unpaid.
This should go to Purchases overview > Awaiting payment’? The way it is now doesn’t seem logical, when we’ve clearly selected ‘Bills to pay’ not ‘Purchases overview’ or ‘See all’Menu option to Invoices ‘Awaiting Payment’ going directly to all outstanding invoices?
4 votesHi Larina, we appreciate our customers have different preferences for the bills page they would like to default to and this option is available within the 3 dot menu on the Bills page.
From here you'll be able to set the Awaiting Payment screen as the default.
It's not possible to do this for the Invoices screen atm so I've slightly changed the title of your idea here to reflect that specifically. We'll continue to track the interest here and let you know if there's any progress.

Giving Statements for Year End
It is crucial to be able to print or email statements to multiple or all contacts with received money transactions at once showing each received money transaction for the contact in a time period on individual/separate pages by contact. This is really needed functionality because any nonprofit entity needs to send giving/donation statements at year end. I have tried multiple reports and statements. I can create an Account Transactions report showing all the clients and the received money entries, but it doesn't allow me to separate contact on their own page. The functionality under Business and sending statements would be…

New Invoicing | Price History
Dear Xero Support Team,
I hope this message finds you well.
I would like to request a feature enhancement within the invoicing function in Xero. As a business that offers custom pricing to different customers, I often sell the same product at varying prices depending on the customer relationship, volume, or promotional discounts.
Currently, when creating a new invoice in Xero, I am unable to view the previous selling price I offered to a specific customer for a particular product. This makes it difficult to maintain consistency and analyze pricing strategies.
Feature Request:
It would be extremely helpful if Xero…1 voteThanks for coming to us with this Idea Dexter, I am happy to say this is already possible within Xero . While not specifically set out as you have described, the option to 'Add contacts last items' will populate the invoice with the last items so you can see the price that was charged etc the last time you invoiced the customer.
If you'd like to try this out before taking action in your own org, you can use the demo company to test it. 🙂

foreign currency supplier
Suppliers that have a foreign currency default on their account should show the balance owing to them in that currency and not in gbp. This is very confusing for users who are not familiar with xero or experienced in accounts. Another colleague of mine paid the amount owing on their supplier account thinking it was USD as the supplier invoices in USD only and that is their default currency, however it shows as owing in GBP, therefore the incorrect amount was paid to them?
19 votesThanks for your feedback, Christine. Appreciate how this could help though I want to be upfront that we don't have plans for changing this atm.
It would help in passing on your feedback to the right team to know if there is a specific area in Xero that you'd most commonly view the balance owing to your supplier - e.g would this be within their contact record, or do you run a particular report to view multiple supplier balances at once?

Contacts (UK) - Add a tax number with a VAT country of 'None'
This is a basic need. In the past, it was possible to set VAT country as NONE to add the tax number, now in the new UI is not possible, since the UI requires selecting a country. Please fix that as soon as possible, since we need to add the tax number on the invoice to non-EU countries!!!

Multicurrency - Change behaviour of Unrealised Gains/Losses with Bank Accounts
Xero has a gap in handling Fx gains/losses.
It is great at both Realised and Unrealised on bills and invoices but it drops the ball on Cash at Bank. It treats it all as Unrealised, which is where the flaw is.You can have an empty currency bank account which has a residual functional currency balance and has movements on the TB every month due to revaluation. This is clearly nonsense.
I have also been told to ignore the exposure column on the Fx report as it is meaningless. For Fx gains/losses Cash is a document in exactly the…
