  1. In Xero a receivable invoice status is shown as paid whether it is actually paid or whether a credit note is applied to the invoice.
    Can a new status be added to show when an invoice a credit note is applied, for example "Credited".
    This will help identify actual payments received vs credit notes issued

  2. New Invoicing My issue is that when an Invoice has been amended after it has been sent. I have found that currently the tick is still in the box as Sent . I think it should not be ticked until the amended invoice has been emailed again. I sent it twice to a customer Also The History and Notes on that Invoice Show it was updated but not emailed straight after I edited it. Anyone else having issues with this?? Maybe I should log a support call for it. If so let me know

    Thanks for your idea and feedback, Maria. I'm just checking in with the team on the history for the send in the second part of your post here.

    In terms of the sent box being ticked. This is automatically ticked when the invoice is initially sent and does not change when an invoice is subsequently edited. Appreciate this might be something that would help your processes and I've slightly amended the title of the idea for this.

    While we don't have any plans for this right now, we'll begin to get a sense of the interest in this, here.

  3. I would LOVE a link back to draft bills & invoices from the approved bill or invoice. When using email to bill and repeating invoices, after approval there is a link to add a new 'whatever'. But there is no single-click option to go straight to drafts to keep processing these. Instead you must click twice to purchases overview and then drafts.

    When processing a large queue of draft bills and invoices, this would be a huge time-saver for me, and I'm sure many others.

    Hi Shirley, we don't have plans for developing this any time in the near future.

    However, in the case of an individual invoice, you can simply send the invoice to the customer again. If you'd prefer to use the wording of your invoice reminder email template - go to Invoice Reminders within your Invoice Settings first to copy & paste the detail. If this is something you'd frequently use, perhaps even set it up as an email template you can use on the fly.

Hi Community, we need to have the option to copy part of the invoice when we are doing it, and then, copy that on the same invoice we are working, many times we need to invoice the same things to the same client but separate it by levels or offices into the same invoice, we can save a lot of time with this function when we are writing a big invoice.

  6. I would like the field 'Branding Theme' added to invoice report as a column that can be selected.
    Any invoice report - aged debtors by detail would be great. I need to be able to analyse outstanding invoices by this field and cannot.

  8. When creating an Invoice from a quote within Projects, the newly created invoice does not retain any connection to the Project that the quote is linked to. This is very annoying and time-consuming - as the only way to then link the Invoice to the Project is to manually select and assign every individual line item, one by one and map them against the project. Surely this is an easy fix to keep an Invoice linked to a project as the quote was? Why would you disassociate an invoice from a project that it directly relates to??

  9. Having recently created a custom invoice template for our business I wanted to include a merge field for payment terms (e.g. "30 days form date of invoice") next to the invoice due date field. Unfortunately customer payment terms, even though a data field in the contact record, is not available to incorporate in a customer invoice template. In my opinion this would be a useful addition to the custom invoice functionality.

  10. At present, using Xero's Invoicing templates, you cannot send a "Receipt" from the Invoice -> Email screen. It prints as "Tax Invoice" with a zero balance. You have to click into the payment applied and send a "Receipt" from there.

    If Xero labelled a paid Invoice as a 'Receipt', then surely we could use 'Receipt' templates - as you cannot unless using an advanced docx template with custom coding.

    Secondary to that, Email templates - not being able to have a 'Receipt' template means that our "Receipts" go out with Xero's "View Full Invoice and Pay" message at the…

  11. Cancel a Draft Invoice from Invoice Screen (rather than delete which loses the invoice number). Another user made this same suggestion and the Xero response was to hit the delete button and they then closed down the comments/voting option. However, her point was that if you cancel out of the invoice then the invoice number you cancelled out of is still usable, whereas hitting delete means the invoice number is no longer usable. Why has the cancel button been completely removed and only the delete function is now there.

    Appreciate you raising this again, Tom. While it's possible to Delete a draft invoice as new invoicing has autosave built in it's not possible to just cancel out without saving once a contact has been entered.

    We'll keep track of the specific interest for this here, and I have merged the original idea that was created around this in with this one.

  12. I have discovered that the invoices as they appear in the Preview button of an invoice only gives a preview of how the online invoice will display. This is therefore different from the PDF version of the invoice when it is downloaded as a PDF or sent to my clients. The PDF version looks a lot messier and looks far less professional. It was informed that, it is currently not possible to make the PDF version appear like the Preview version, or vice versa. I would like to know if anyone else has some ideas of how to align…

    Hi everyone, recently we made a change to the Preview option in new invoicing. Now, when you select to 'Preview' in new invoicing this'll open a new browser tab with a view of the PDF of the invoice. This means you can also see how your invoice will look to the customer with a docx / advanced branding theme applied.

    Our team are also doing more to look into how preview works and how your invoices look. We'll update again if there's more development to share. 

  13. Does Xero have any plan to put the payment term feature showing on tax invoice in near future? Currently, we setup on each customer record. But the payment term is not printed automatically for each customer. Hope to see this feature soon on all printed invoice.

    Hi Emily, there's no way or immediate plans for enabling differing payment terms per contact on invoicing atm.

    Right now, if you have differing payment terms for different sets of customers, they way to represent these differences would be through the use of invoice templates.

    You can then set a default branding/template to be applied to each of your contacts which'll be auto applied when you raise and send an invoice for them.

  14. A feature that allows an email to be sent for a voided invoice to the client so they have confirmation the invoice is voided as verification.
    This can be as simple as taking the invoice template / previously generated pdf and branding "VOIDED" or "CANCELLED" on top of it.

When the invoice has been approved and need to be emailed, the side by side view is great but I would like to see the invoice amount ex VAT, not the total of the invoice and it would be good to see all the body of the invoice as well, not just saying there are more items, you cant even click on it to see

  17. We raise an invoice to a client.
    They pay it.
    Then for some reason, something changes.
    We need to raise a credit note against that invoice!

    I know I can create a new one from scratch but I want the history with this particular invoice and all the other details that I have already typed into it.

    What I DON'T want - is to delete the payment, create the credit note, delete the allocation of the credit to the invoice, then reapply the original payment.

    It is not an option within Xero to 'copy to draft' and create…

    Hi everyone, as shared earlier here if you have common inventory and services you trade, you can add these as items to your Products and services

    You can reduce the time spent by using the Item column when invoicing to find and select the items you've saved. 

    If you're looking to add 'description' only lines we're looking into this with new invoicing and you can follow updates for this across on this idea.

  19. Import the sales invoices to Xero with the PDFs being attached to the invoice automatically. I understand we can import sales invoices through CSV files but to provide relative documents to customers, we need to attach pdf manually. Would be great if this could be possible. This action can save time and possible error of attaching a wrong pdf.

    Appreciate the interest in the idea here. Being open with a lot of work focused on iterating and adding features to new invoicing atm we don't have plans for this in the short-term. We'll continue to track the interest of the idea and if there is any change to share we'll update you here.

  20. It would be great if you could automatically allocate prepayments to an invoice once the invoice has been created. Or at least receive notification that a prepayment exists so you can manually receipt it.

    We are experiencing that clients have made extra repayments (prepayments) but when the invoice is created and sent to the client they pay the amount on the invoice and the prepayments are still sitting in the system, meaning we then have to issue a refund.

    It would be helpful if the negative balance of the prepayment would sit under the clients name so when you are…
