UK Payroll - V NI Category start date
Tried to amend the national insurance category to a v category for 6 weeks after the employees start date, as that is when they were valid from, to find the calendar will only allow me to amend to a date previous or on their start date with the company. Has anyone else encountered this issue at all?
1 voteHi Laura, it looks like you also raised a support case about this which has since been resolved.
To recap, when you add a V category, you'll have the option to enter a date in which the category starts from. Then you would need to enter the date in which the employee was first employed as a civilian.
For example, V category is valid from 31 Jan, therefore you can only enter the employment civilian date up until 31 Jan. You won't be able to enter an employment date after the NI category date.

Jax - Invoice Due Date
JAX currently does not pull the customers due date from the customers file. Because that feature isn't live yet, JAX doesn't help our organization to be able to use JAX to create invoices. I wanted to bring it to your attention in the hopes your product team is working on it. You may already be working on it, I just didn't see it listed anywhere.
Our customers have different invoice due dates depending on how their account is setup. Because of this, we would have to look up each due date for the customer and manually change it. It…
1 voteHi Brandy! Did you know it's already possible to do this in Xero via JAX?
To get JAX to automatically use your contacts’ default due dates, simply prompt it once to apply the default dates set in each contact’s profile.
From then on, JAX will create draft invoices that use those contacts’ specific due dates.
If you’d like an extra hand setting this up, you can raise a case with our Xero Support specialists 😊
To ask questions about using Xero in community you can post or join Discussions on Xero Central. Thanks

Business Snapshot Report - Add Custom Date Range Option
Not sure if this feature is already coming but would be great to be able to use a custom date range in the Business Snapshot reporting. We have clients who run on a 4-4-5 basis so would be great to be able to produce the report for their accounting period.
5 votesHi all
To use custom date ranges, and get access to more advanced features, you can upgrade to Xero Analytics Plus.
You can do this either by upgrading your subscription to the Ultimate plan, or by selecting it as an add-on.
Here's more info about Xero Analytics Plus and our pricing plans.

Invoice - Set due date to 28 days
Please can you include an option on the invoices for payment due date -28 days. We have an option for 7 and 14 days but the majority of our invoices are 28 days from invoice date.
1 voteThis is possible from within the Invoice Settings page, Emily 😊 From here there is an option to set Invoice due date based on days after the invoice date, where you can enter a number anywhere between 0 - 99.

Invoices - Payment terms to default to customers existing payment terms when the issue date is changed
When you create an invoice the payment terms default to what is set for each customer (ie. 45 days from end of month, 60 days etc) however if you then change the issue date of the invoice, it defaults back to 30 days for every client regardless of their terms. We are looking for it to caclulate to each clients correct terms whenever the invoice date is changed
3 votesHi team, with some recent changes we made to the date picker in new invoicing you should find this is now working correctly for you. When creating a new invoice the default due date is triggered by the invoice settings, or where set for an individual contact this'll be the date used, also as noted in my update here - now if you update the issue date after a due dates entered, it does not automatically update the due date when you make issue date changes.
If you're still finding any discrepancies in what you're expecting I'd recommend raising a case with our specialists at Xero Support so we can get more detail and confirm the behaviour you're getting.

set balance sheet default date to "today"
The Balance Sheet currently defaults to the last EOFY date, which as at today (posting this suggestion) is 9 months ago. this is frustrating as you usually look for the figures as at now, and not the end of the last financial year. This functionality changed in one of the recent product updates. I know we can change the date and re-run the report, however it seems silly to default back to the end of the last FY and is a waste of time to have to do this always.
1 voteHi Jo, from the Balance Sheet there is a common date format for 'Today'. Once selected you can save the report as Custom and make this the default if you'd prefer.

VAT - Add 'Effective Date of Registration' field in Financial Settings
I would like to recommend adding 'Effective Date of VAT Registration' on the Financial settings, as this information can easily disappear amongst all the many documents we store for the client and also easily mistaken as the Date of company incorporation that can lead to many issues down the line with HMRC.
1 voteWe appreciate your feedback! Your idea has passed our review and is now live for community voting.
To move this forward, please share it with your team and encourage them to vote. Other Xero users can also add comments now to provide more context on why this change would be valuable to them.

Bills - Highlight/flag potential duplicate bills after creation
Currently if a duplicate Bill to Pay is entered this only highlights/flags as duplicate when you are first creating the Bill or are editing the bill at a later date. Once it has been approved, it no longer highlights/flags this as a potential duplicate.
It would be great if Xero could flag that this could be a duplicate in 2 places:
1) on the bills to pay screen, somewhere out to the side (like the attachments) or perhaps the whole row in a different colour to identify that there are 2 bills for the same supplier with the…5 votesHi team, as TJ noticed our duplicate detection service has now been released to all users 😁
From the Bills list you'll now see a banner if there are duplicate bills to review and you can also access this option from the 3 dot drop down menu in the top left of the bills list. We've shared a bit more info on how this all works on Xero central.
Right now you'll be able to take action on Draft or Awaiting payment bills from the Action column, however to view or edit a bill you'll need to return to the list page to open this.
We're looking at possible improvements so you can view and manage ills within this page, too.

Sales Invoice - Option to input 'Paid In Full' for Due Date
For web orders etc there is no way of adding to the invoice that the order has been paid.
So an option within the Due Date section to choose 'Paid In Full' would eliminate the customer receiving the invoice appearing as if it needs to be settled.2 votesRather than entering as an invoice creating a Receive Money could achieve this.
You can then send a Receipt to indicate the payment has been received.

Foreign currency - Change exchange rate behaviour
Re: Handling of Mutly-currency/translating foreign currency amounts into the functional currency
Multy currency is currently not fully supported in xero.
A foreign currency transaction should be recorded initially at the rate of exchange at the date of the transaction and then, at each subsequent balance sheet date, foreign currency monetary amounts should be reported using the closing rate.
This is true in xero only for Bank accounts, accounts receivables and payables set in foreign currency but not for other account.
As a result users are required to input periodical manual adjustments at each balance sheet date.We ask…

Payroll Activity Details (AU) - Date column to be added back
There has always been a date column - add it back - why mess with something that has been used for so many years. Absolutely so desruptive to our professional services.
1 voteHiya Simona, sorry for not updating you on this sooner.
Shortly after the release of the new report our team made a change based on feedback, so the report now shows Employee name and Date as separate columns, and the columns will be included when running the report by default.

UK Payroll - Ability for Payroll Admin to delete approved holidays
Ability for Payroll Admin to delete holidays. When an employee books the wrong day or is off sick during a period of pre-booked holiday and wants his/her holidays cancelled, the payroll admin should be able to delete the holiday but cannot.
2 votesHi team, rounding back on the idea here I want to confirm that currently Payroll admins can reject approved leave requests which will delete it.
If the leave request has been included in a draft or posted payrun, the payroll admin will need to revert to draft and delete the payrun before the leave request can be rejected.

New Invoicing - Due Dates drop down add Tomorrow
In the new invoicing, invoice date, drop down has tomorrow as an option, but in the drop down for due date this is not an option and have to go in to manually select the date which is time consuming this is something we use for most of our invoices.
3 votesHi team, returning to the idea here we're going to shift this to delivered with the existing ability to enter the keyboard shortcut 'T+1' that'll auto select Tomorrows date in the Due Date field.

New invoicing | Billable Expense - Reorder Columns & Horizontal Scroll
In the new invoicing version, when selecting the billable expenses, I can't see the date and the supplier in one view. In order to see the date, I need to scroll to the bottom of the pop-up screen, then scroll across to the right, then try to scroll up to find the line item. I then can't see the supplier to know if that is the correct line to add. Sometimes there are 30+ billable expenses for the one client and I can't see the dates to know if I'm selecting the correct ones.
Have the date as…
17 votesThanks again for your feedback and sharing pain-points about adding billable expenses within an invoice. As you may have recently noticed we've released a few changes to this window to improve your experience.
We've re-ordered columns, added pagination and adjusted some of the column widths to make it much simpler to find, select and add billable expenses to an invoice.

Report templates - Annual accounts templates up to do date and in line with legislation
The Trust - Annual Accounts Xero SPFR template for trusts > Notes to the Financial Statements > 1. Reporting Entity states "Legal or Trading Name is a trust established by a trust deed dated [insert field: trust deed date], and subject to the Trustees Act 1956." this is incorrect as the Trusts Act 2019 passed on 30 July 2019 has replaced the Trustee Act 1956. Xero have advised "While the team is aware the templates may need updating given current focus being on the expiration of old reports they do not have the capacity to give it a…

Contacts - Days after due date
Discovered an error. In the customer settings, when placing 0 in the field for “Days invoice when due” shows an error, despite Xero using 0 when calculating when an invoice is due.
2 votesHi David, I've just tested adding '0' in the contact record for a customer and saving and don't receive an error. If you're still seeing this behaviour when trying to save '0' for days due after the invoice I'd recommend creating a case with our specialists at Xero Support to take a closer look into this with you. Thanks

Reports - Date Range to include Calendar Year to date
Entities often need to view business reports in calendar year, as opposed to Financial year.
Increasingly, revenue, expense and profit performance and targets at management and operational level are considered by calendar year.1 voteHi Ian thanks for sharing your idea here, and letting us know the changes that matter most for you.
We've reviewed your idea and now it's up to the community to get behind and support it. Make sure you share your idea with any colleagues that this could benefit so they can add their vote too! In the meantime, we recommend typing the date in the box to avoid extra clicks. You may type 1/1/25 or Jan 2025. If you require further help with this, we recommend raising a case with our support team.

Notes - Ability to Tag users
It would be really useful to be able to tag users in the notes of documents, like to create a task or ticket so they are aware of whatever is needed to be changed/be aware of regarding a certain bill.
Otherwise an internal communication/ ticket/email needs to be sent, this would simplify all the daily work and make the notes actually useful16 votes -
UK Payroll - Adjust dates for holiday / statutory leave year
We should be able to adjust the holiday year to the UK tax year as that seems to be very common. ( There is already a discussion topic for this but I cannot see it on this list.
We should also be able to show holidays in days not hours.
We should be able to calculate holiday hours for employees that do not do a 5 day week. The hours taken on holiday need to be overwritten every time a PT employee books time off.76 votesHi community, happy to share that these changes have now been released in UK Payroll! 🎉 You now have the ability to set employee's leave to accrue based on a custom date of your choosing. We appreciate your inputs and based on the feedback we've made a change so that leave will now accrue on the first day of your annual accrual method.

Difference of Invoice template between Preview and PDF format
I have discovered that the invoices as they appear in the Preview button of an invoice only gives a preview of how the online invoice will display. This is therefore different from the PDF version of the invoice when it is downloaded as a PDF or sent to my clients. The PDF version looks a lot messier and looks far less professional. It was informed that, it is currently not possible to make the PDF version appear like the Preview version, or vice versa. I would like to know if anyone else has some ideas of how to align the…
20 votesHi everyone, recently we made a change to the Preview option in new invoicing. Now, when you select to 'Preview' in new invoicing this'll open a new browser tab with a view of the PDF of the invoice. This means you can also see how your invoice will look to the customer with a docx / advanced branding theme applied.
Our team are also doing more to look into how preview works and how your invoices look. We'll update again if there's more development to share.
