  1. We have hourly paid employees who get paid 12 x per year with either a 4 week or 5 week pay period. At present, Xero doesn't give this option to change a pay period within payroll calendars. There are only set pay periods.

  2. When transferring from another payroll system, Xero has not accounted for the user case of an employee starting with a negative entitlement.
    A lot of businesses allow employees to use annual leave as it's accrued and do not always enforce the 12 month stand-down as per legislation. As a user who has just entered 12 months of payroll information for a transferred employee, I should not then have to calculate what the balance now is.

  3. Currently, Xero does not have the feature to assign certain working days for part time employees. This becomes very frustrating when doing payroll.

    For instance, an employee works Wednesday to Friday and when a public holidays falls on a Monday, Xero will allocate either all or some of the employees ordinary hours to this date incorrectly. This means we will have to manually adjust it each time.

    A simple resolution would be to set up employees to certain working days, then the public holidays would assign correctly and there would be no need to manual adjustments.

  4. Employee - Merge Function

    I cannot believe that there is no merge function for duplicated employees. Most payroll systems have this function. The error occurred between integration with time and attendance software and Xero.

    Currently, it is an HMRC requirement to display the hours worked on a payslip, if an employee's pay varies depending on time worked. 


    We'll be shifting this one to 'not planned', but if the requirements change in the future, definitely reach out again!

  6. Ability to see timesheet function for employees who are on salaries.

    Purpose: To make the employees can keep track of their hours without affecting the pay runs.

  7. Payroll:

    Allow changes to employees' regular earnings details even when a draft pay run is in progress. If an employee's rate needs to be changed, they should be unticked or deselected in the draft pay run.

    Currently, the entire pay run needs to be deleted, even if only one out of fifty employees needs a rate change, doubling the time spent on preparing the pay run. All calculations for overtime, leave, reimbursements, and deductions will need to be redone.

    Hopefully, this can be considered.

  8. UK Payroll - it would be handy to be able to mark P32 amounts due as paid or dealt with. Just helps to visual see where you are in the list of reports and keep on top of due payments.

  12. Fixing issues with holidays and making pro-rata holiday calculations automatically
    Calculate starting holiday allowance from the starting date of the employee for new employees joining throughout the year.
    Calculate final holiday allowance based on the end of employment date when employees leave.
    Since Xero knows the holiday hours per year and the working patterns, it has everything it needs to calculate this.
    If an leaving employee has taken too many holidays before they leave, it is important to ensure the leave is negative.

    Hi everyone, appreciate the feedback on the idea here. Being open we don't have any immediate work planned for this.

    However, I also wanted to highlight with differing needs and regulation our payroll products are developed separately for region specifically. We try to keep the ideas regionally separated in community here as it helps when feeding back to the team and also in keeping customers updated.

    That said we have a separate idea for this similar feature in AU Payroll and I've added any voters from AU to that idea to keep updated there.

  13. Ability to record an annual shutdown leave.

  15. Please allow payments to be made to an employee after they have left and their P45 has been generated. Sage, for example, allows you to include past employees in a pay run and tick a 'payment after leaving' box which gives the correct 0T tax code and produces the correct FPS submission for HMRC. This is a very basic part of payroll that needs to be included in this system, the option to create a new employee file in order to pay them is not complying with HMRC and is not an acceptable alternative.

  16. A CSV/Excel file with headers Employee, Gross, Net, NI, giving essentially the same data as the Payroll Activity Details report, for a payrun, but in column format with one line per employee for ease of reference.

    We have more than 30 employees and the Payroll Activity Details report is very long and cumbersome to reference.

  17. I would like to be able to select only certain employees and add LSL balances on their payslips rather than everyone in the organisation.
    My point is, when we set a new employee we started calculating their LSL from day one but we do not necessarily want them to see the balances until they reach 5 or 10 year mark working for the company.
    In this case, calculation of LSL is accurate as in 10 years times hours of employees can change btw full time/part time and so on.
    I would appreciate an option to select individual employees to display…

  18. Edited Leave request date sends a notification to the employee for the wrong date. We recently had an employee request an RDO for 19/07/2024. After discussion with the employee this date was not suitable because the employee was due to provide training to a customer this date so we agreed to change the date to the following week (26/07/2024).

    I then edited the leave request to be for the 26/07/2024 and approved the request.

    The employee received an email notification that their request for leave on the 19/07/2024 was approved!

    The employee then contacted me because they were confused…

    Thanks for raising this, Chris and apologies we haven't responded sooner. This was an issue that our product team picked up and I can confirm we released a fix so the date will now show correctly.

  19. Why can't the payroll be separate to Xero? I can't allocate Employee Groups because I've already got two tracking categories in use!

    Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.

    This change reduces manual workarounds enabling you to enter more information employees’ working patterns to support accurate allocations of leave and earnings rates. You’ll find you can now;

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern
