    Hi everyone, appreciate the feedback of the layout of detail in the Billable expenses modal of new invoicing. I've made sure to share your feedback here with the team.

    To confirm, right now the date column is still included in this view however if you have a few billable expenses to assign you'll need to scroll down and then will see a horizontal scroll bar so you can scroll across to the date. Understand this isn't the most obvious atm, and I'll keep you updated here of any planned change.

  2. How come the process of designing invoices is so painful? It would be great to have a built-in drag and drop invoice designer. I realise it won't be easy but it's mad that our only option is to design them in Word. There are so many sites that allow similar functionality, albeit for non-finance related areas like marketing.

  3. Whilst creating or editing "normal" bills, archived Products and Services don't appear in the Item pick lists to choose from. However, when creating or editing Repeating Bills ALL the Products and Services appear in the Item pick lists, irrespective of whether they're active or archived.

    With many Products and Services archived (we have to renew them all annually), this makes the resetting of our Repeating Bills very labourious and makes the chances of making errors many times greater, as we can accidently choose archived Products and Services.

    This looks to be a bug in the system that needs rectifying quickly.

  4. To apply a prompt payment discount/settlement discount to an Accounts Receivable invoice from the match items screen in the Bank Reconciliation.

    Purpose: So users can offer early discounts to vendors/suppliers without needing to do manual credit notes or editing the invoices.

  5. It would be a huge benefit to be able to recall an email (with invoice attached) sent in error to the wrong client.

    An invoice has now gone to the wrong client and my manager will now have to have an embarrassing conversation with the competitor, due to my mistake.

    Hi team, just rounding back on the flow here. 


    When using new invoicing you'll find as when you type in any field of a line, a new line is automatically inserted beneath. 

    So, you can either tab through fields or use your mouse here. 🙂

  9. Hi Team, my query is about Draft Invoices. Is there any chance of having a 'Stop do you want to proceed' when it comes to a draft invoice being sent instead of the actual Invoice? I was convinced that I had approved a draft invoice, yet when the email was sent, it was not the Invoice as per the subject reference, but the draft. Embarrassing to say the least.
    Just that extra step would be very helpful. Not the first time it has happened to us. Thank you,

  10. Seems a lapse in the system that you cannot send invoice reminders for over 60 days + for outstanding invoices
    We have clients that still owe us money after 60 days and we have to manually review and resend, rather than the system just picking up that any invoice is outstanding / overdue and sending a reminder automatically
    Would be nice if the system could just send an invoice reminder to any overdue invoice.

  12. Please put the customer's payments on the activity page so it is easier to see what payments went to which invoices. Seeing that an invoice is paid isn't enough information if the customer has questions. It would be nice to see WHICH payment is applied to an invoice.

  13. It would be extremely helpful to have a 'master' input at the top of each column of a quote / invoice / bill etc so that the master input is then auto-populated under that column heading for all line-items of the quote / invoice / bill.

    For instance, my sales code is likely to be the same for each item of a given invoice, and yet I need to input this code as many times as the number of line-items in the invoice - rather than just once. Same for eg tax code and, in my case, I have…

  14. What Xero management fail to appreciate that having this feature they will obtain a substantial number of customers who need this feature and many more that are using QuickBooks. If anyone know of an alternative please share on this channel. I'm exploring Thriday to make this feature available soon.

    Thanks for all the feedback and detail on your needs in the idea here. As you'll see from each others comments there are different points at which businesses would want to be automating this process. Not really a one size fits all approach. 

    As noted in recent comments, we recently made a change for new invoicing flow where (like classic) you can now choose to Send receipt from the payment confirmation that's shown once you apply a payment to an invoice. 

    At this time we don't have plans for automating this flow however we're still attuned to the idea here and will be sure to share if there are any plans made toward this in the future. 

  16. Ability to add 'comment' only lines on invoices that run the full width of all the invoice table boxes.

    Purpose: Users often want to add some comments specifically to a client in the line item.

    Hi everyone, understand the difference between a description only line and what's being asked for in the idea here. 

    This isn't something we have planned at present. 

    We do want to highlight the existing option for anyone interested that could benefit from the option mentioned earlier in the conversation (thanks, Paco) 

    Currently, it is possible to 'description' only lines to an invoice (with no Qty or Price) where you can enter up to 4000 characters worth of detail that could help you signal a note within an invoice to your customer. 

    We will continue to assess ideas in the forum here and let you know if there are any changes surrounding this to share. 

  17. In repeating invoices we often use the tax year mostly in this format 2025/26 but also 25/26.
    Whilst we can use placeholders [year]/[year+1] to give us 2025/2026 it is not ideal and this would need changing after the December invoices which is administratively the same as manually changing the tax year in the invoices at the beginning of the tax year.
    It would be good to be able to use [taxyear] and not have to change it again.
    This would be really easy to implement, therefore it probably will be overlooked. Here's hoping.

  18. VAT201 Report (ZA) - A SARS requirement is to have sequential invoice numbers. The invoice numbers are not displayed on the VAT201 report, only the customer reference number, if there is no reference number, then the customer invoice number is displayed. Can we please have a column for the customer invoice number or only have the customer invoice number listed.

    Appreciate you sharing here, Mike. Keen to get a bit more detail on the actions that are occurring for you here. When you say you remove the invoice number and it's changing - Are you trying to save the invoice with another number that you're entered or would you be trying to save this blank?

    If not already I'd recommend raising a case with our Xero Support team of specialists to take a closer look at why this may be changing for you.

  20. It would be nice if you could flip an invoice or a bill to a credit note of each kind. Sometimes when bringing in data from Hubdoc, a credit note will be pushed as a bill, so if you could basically hit a button to flip it the other way that would be great, same with invoices.

    You may already have seen on this idea, Hubdoc has rolled out support for automatic credit note detection.

    As mentioned by some here, when a credit note is detected by Hubdoc, all you'll need to do is review before publishing to Xero.

    Though there are suggestions for a direct button in Xero, based on this availability through Hubdoc, we're going to mark this idea as delivered.
