AU Payroll: Differentiate leave loading on payroll reports
Could you please change the name on the Payroll Activity Details for Leave Loading Please. Not sure why you call it Annual Leave. It seems to be in the background and I can't change it. See picture attached.
4 votesHey community, 👋 thanks for your support on this idea, I'm popping in to switch it across to delivered!
The Payroll Activity Details report now shows a breakdown of Annual Leave - Leave Loading separate from Annual Leave.
Thanks again for your feedback.

NZ Payroll - Employee search filter in the Leave Transaction Report
would be great to be able to filter current employees when looking at Leave Transaction Report. We have many hundred old employees and have to scroll through all of them to get the individual employee.. also no search function to be able to find the employee easily
2 votesHeya team, thanks for sharing back on how we could improve Xero for you.
As part of our upgrading Payroll reports with the new version of the Leave Transactions report for both Australian and New Zealand versions of Xero, you can now Search by Employee. So, you'll be able to quickly jump to an employee of interest!😊

Payroll | Instant data refresh / auto sync when entering payroll details
Payroll doesn't refresh data unless you scroll up and down inside an employees pay all the time
Can you fix this ? Even if you had a button which you could hit to pull changes
into pay amounts quicker
It takes a long time waiting doing the payroll when putting in hours and different rates for each employee each week for the amounts to change and pull through properly10 votesHi everyone, we're going to move this idea to 'Delivered' with the change the team made to Payroll updates!
Thanks for sharing and supporting your personal 'ideal state' - feedback like this really helps shape our product 😊
If you are having issues with the speed of our Payroll function, you can raise a case with Xero support and the team can take a look.

Subscription - Automatic super in all AU Payroll plans
My suggestions is that automated super should be available if a Xero package offers payroll, like the starter package and the Standard package - its near impossible for clients to make direct super payments for employees (even for business owners themselves) without using this feature.
With the increases in subscriptions occurring in September I think an upgrade with automated super should be tabled for the lower subscription packages.
25 votesHey everyone, happy to be able to share with you all that payroll is now included in all business plans which also includes auto super as a standard feature. If you haven't already set this up you can find more information on this on Xero Central. We thoroughly appreciate all your feedback and sharing with us on your needs through product ideas here.
If you have any questions about your subscription plans our specialists will be happy to help, and you can raise a case with them through Xero Central. 🙂

AU Payroll: Define default leave types
Currently under employees leave tab you can assign default leave types, but you can't define what the default leave types are.
Perhaps there is a simple checkbox for leave items in the payroll settings that allows you to choose.
Currently I have 4 leave types set as default, when I only really need two.6 votesHi everyone, I'm changing this idea to Delivered! 🥳
Leave types can be defined as default when a value in the 'Normal Entitlement' field in Payroll settings is entered.
To remove this leave type from being added each time a new employee is entered, you can:
- Click into Payroll, then select Payroll settings
- Click Pay Items tab, then Leave
- Click on a Leave Type that you'd like to remove as a Default Leave Type
- Remove the number of units the employee is entitled to each year under 'Normal Entitlement'
- Click Save

AU Payroll - Edited leave request date, email notifies employee of the wrong date
Edited Leave request date sends a notification to the employee for the wrong date. We recently had an employee request an RDO for 19/07/2024. After discussion with the employee this date was not suitable because the employee was due to provide training to a customer this date so we agreed to change the date to the following week (26/07/2024).
I then edited the leave request to be for the 26/07/2024 and approved the request.
The employee received an email notification that their request for leave on the 19/07/2024 was approved!
The employee then contacted me because…
2 votesThanks for raising this, Chris and apologies we haven't responded sooner. This was an issue that our product team picked up and I can confirm we released a fix so the date will now show correctly.

AU Payroll - Two employees on Grow plan, or the ability to tack on employees
The new Grow subscription only allowing for one employee is really tough for accountants operating in the micro-business space, as many of the small businesses that I have been working to get onto Xero are either married couples or two business partners who need exactly two payroll employees, with no intention to grow beyond that number.
Having to jump from Grow to Comprehensive just to add a payroll user is prohibitive for a lot of my clients, and knowing that this is the case is stopping me from recommending Xero as a product where it would have been a…
7 votesThanks for sharing your thoughts with us here, community. We know this is important to you and are pleased to share based on feedback we made some changes.
Payroll is now included in all new business plans (Ignite, Grow and Ultimate). You'll be able to pay one person on Ignite, and two people on the Grow plan.
I want to confirm that these changes are now all live and available for you to make use of. See more of this on our blog.

AU Payroll - Edit posted pay runs
You should be able to edit any payrun that hasn't been 'filed' regardless if it was the last one or not. I enter several unscheduled payruns and I've noticed an error in one but I can't fix it because it wasn't the last payrun posted. The "work-around" Xero recommends is to File it and then re-post a counter fix. This feels redundant and unnessary extra work. Essentially its saying I can post an inverse of the original to cancel it out which isn't a tidy way of doing work.
1 voteHi Jamie, just coming back across your idea here. In Xero Payroll as of right now if you've a posted pay run that you need to make adjustments to, you can revert this to draft and make the required changes.
The only time we wouldn't recommend doing this is if the pay run's been filed with the ATO.
Once it's been filed we'd recommend using unscheduled pay runs to make any changes. This is because reverting a filed pay run to draft will cause issues in the reporting to the ATO.

AU Payroll - Information on setting up a novated lease for an employee
Can you please post up instructions on how business owners can setup novated leases for their employees and also identifying the process where the vehicle is FBT exempt or subject to FBT. We have had a few of our clients ask why Xero doesn't provide much guidance regarding this issue.
7 votesThanks again for sharing your feedback on this with us, Carmen, and to others that have since supported this idea.
I'm pleased to share based on your feedback we've added a new article to Xero Central to help customers understand how they can record novated leases in Xero.

NZ Payroll - Option to show Holiday Pay accrual as hour value
Payroll>Employees>Leave currently has leave balances in days and dollar values, this makes it difficult to determine what the amount should be either way.
As the dollar amount may change due to pay rises or an average applied as per statutory legislation, it would be better if all fields were hours based values. This would make it consistent and easier as a consumer to use.
As a user, I should not have to be trying to calculate what the values should be and if something doesn't appear to be right, I should not need to contact Xero to…48 votesHi team, we've recently released changes in Xero Payroll. As you may have seen you can now set up working patterns for employees to more accurately calculate employees wages and leave. While Holiday pay remains in dollars, Annual Leave will show in weeks and FBAPS Leave will now be shown in days.
Just to note, Holiday Pay is not a one to one correlation to Annual Leave, however if you prefer to have leave in hours you could consider enabling leave in advance. You can see our article here for more information on managing employees leave.
We appreciate your interest and sharing with us through Xero Product Ideas.

AU Payroll - Resubmit bounced automatic superannuation payments
Currently, when super payments bounce, Xero sends us an email letting us know that a payment to a particular super fund from a particular payment batch has failed. Once we've identified whose it was, and got the updated details, we then have to contact Xero to get a re-processing authorised.
All of this takes time, during which the Directors of my clients may become liable for late super payments. I'd like a button to click to speed up at least the contacting Xero for re-processing bit - preferably as part of the process identify the…
15 votesHi team, sorry we haven't joined in this idea sooner. Earlier this year we released an improvement so now if an auto superannuation payment is returned the authoriser will receive an email including the reason for the return. They will be able to withdraw the payment from the processed batch to reprocess the contributions. We have detailed help for this on Xero Central, but if you run into any snags as always our Xero Support team are available to help. 🙂

AU Payroll: Ultimate Plan with 30 Employees Subscription Option
There should be more employee options in the ultimate subscriptions between 20 & 50 employees as there are small businesses out there that will never have 50 employees on the books per month but have more than 20. Even if the subscription points going up by 10 to accomodate this.
1 voteHi Cynthia, we appreciate your feedback, and this will be shared with our teams. However, we do not accept ideas about Xero pricing plans or plan structures and cannot make commitments to ideas of this nature.
You can read more about submitting ideas on our Xero Central article.

UK Payroll - Generate a report with employees names and NINO
UK HMRC often carry out routine checks on compliance with PAYE and National Minimum Wage. In one NMW check we have been asked to provide them with a list of the names and NINOs of all staff employed by us between two specified dates. To make it easy they dont use tax years but calendar dates
We need a standard payroll report that allows us to export a list with the employees name and NINO. The only way to create this at the moment is by a manual trawl
3 votesThanks for your interest and feedback on this idea, everyone
Currently you can generate a Pension Contribution Report which includes the employees name and NINO 🙂 When creating the report - under Columns select the fields you'd like to include in the report as well as the date range. Once created, you can export it in PDF, Excel or Google Sheets.

AU Payroll - Public Holiday for Friday before the AFL Grand Final
Payroll - Victorian Public Holidays -
Please add:
Friday before the AFL Grand Final Friday 27 SeptemberI tried but was not able to manually add this as an extra Public Holiday
4 votesThanks for sharing in the idea here, Faye! While we don't have plans to change the current set up - as suggested when you choose to "Add Holiday" rather than selecting one of the drop down options, you can just type in the Holiday that you want to add.

UK Payroll - Ability for Payroll Admin to delete approved holidays
Ability for Payroll Admin to delete holidays. When an employee books the wrong day or is off sick during a period of pre-booked holiday and wants his/her holidays cancelled, the payroll admin should be able to delete the holiday but cannot.
2 votesHi team, rounding back on the idea here I want to confirm that currently Payroll admins can reject approved leave requests which will delete it.
If the leave request has been included in a draft or posted payrun, the payroll admin will need to revert to draft and delete the payrun before the leave request can be rejected.

Pricing Plans - Keep Payroll accessible from the Ignite and Grow plans
I currently pay for the Standard Plan (15/month) plus Payroll (5/month) and use it for 2 payroll users.
Under the newly unveiled pricing plans my business has been completely shafted.
In order to use Payroll at all, I need to upgrade to the new Grow plan (33/month), already an increase of 13/month. But on top of that, that isn't even enough because you're restricted this plan to only 1 payroll user. So actually I have to jump all the way to the second from top plan which is the Comprehensive at 47/month.
This is a complete joke.
This…
83 votesHi team, sorry a little late off the mark updating you all here. We'd like to confirm that, the changes mentioned in my last post are now live and implemented across existing and for any new customers adding an organisation or moving plans.
In UK you can now add individual employees to Payroll on Ignite, Grow, and Comprehensive plans for £1.50 per employee per month (Ultimate will remain at £1). For Australia payroll is once again included in all Xero business plans, offering more choice and flexibility when it comes to paying yourself and employees, and making it easier to keep up with compliance obligations. On Xero Ignite plan you can pay one person(as you could with Starter), and two people on Xero Grow (as you could on Xero Standard). You can also process automated super payments on both plans.
We appreciate the importance of flexibility in payroll to our…

UK Payroll - Ability to add note on an individual employee payslip
Payslip Notes - ability to write a note on an individual employee payslip not just one generic note for everyone.
8 votesThanks for the community help on the idea here.
As shared messages can be added to either all staff payslips or individual employee's pay slips.
From within the draft pay run, next to the employee name, click the Memo button + to add a personal message on the employee's payslip. 😊

Pricing Plan - UK Payroll only subscriptions
Xero Payroll only subscriptions!
It would be great to be able to open a payroll only Xero subscription for clients who currently don't need/use Xero for bookkeeping. For example, I have a small client who employees a few people but I only provide year end accounting services to which I use the Ledger subscription to complete the year end accounts. I currently utilise Sage payroll online for the monthly payroll reporting but if I could integrate this into Xero without the need for a main subscription, this would help me keep everything in one place. Even if Payroll…
12 votesThanks for sharing your thoughts with us here. This has been passed back to our team, however we will no longer be accepting ideas about Xero pricing plans and plan structures and will move this to Feedback.

UK payroll - Remove Subject to minimum wage message from draft pay runs
I appreciate the need to comply with minimum wage but to have this message on every pay item showing when processing is not only annoying but confusing when processing. This should only be a warning prompt if the gross pay doesn't meet the requirement when pay details have been completed.
8 votesThank you for your feedback regarding the frequent Subject to minimum wage messages. We understand your feedback on these notifications.
Please know they are temporary and essential right now. The notifications were implemented to encourage employers to carefully review their payroll data to ensure compliance with HMRC’s new legislations, and to avoid penalties during this transition period.
We'll pass your feedback on to the product team.
Thank you again for helping us improve Xero! We encourage you to continue sharing your ideas and voting on suggestions within the forum.
