  1. Sometimes I need to add the same tracking category to multiple lines of the invoice. CLASSIC invoice allowed me to simply paste the category in the box and that's it. NEW invoicing now requires me to CLICK after pasting which doubles the amount of time I'd need comparing to CLASSIC. Please bring that possibility back - OR, EVEN BETTER, maybe let us drag the options to apply them to cells below (like it's done in Excel).

    Hi everyone, we're delighted to announce that the new line item grid is now available to all users. This update incorporates several enhancements based on valuable customer feedback, and includes resolving your suggestion, here.

    With the new grid, you can now easily copy & paste tracking information between cells, using 'Tab' to navigate to the next cell efficiently. While the drag-and-drop functionality isn't currently available, this has been raised as a related idea, which you're welcome to support. We'll provide updates on its progress if any arise.

  2. W9 link for contractors to enter information needs to be extended beyond 7 days. In addition it should be a generic link that can be sent to multiple people.

  3. In the Xero interface, both an Invoice and a Bank Transaction can be given a tax adjustment, e.g. to resolve a rounding error.

    Via the API, only an Invoice can be given a tax adjustment. If sending a POST request with the exact same structure/data to create a Bank Transaction, the tax adjustment is ignored.

    This doesn't make sense given that the tax adjustment on the Bank Transaction is possible via the UI.

    Please amend this so that API POST requests to create Bank Transactions respect the TaxAmount field on the Line Item.

    Hi Virgil, thanks for your feedback on API tax adjustments. It’s helpful to understand where you’re seeing a gap between the UI and what’s currently possible through the API.

    We’ve moved this idea to Feedback, which means it’s now closed for votes and comments. Because this relates specifically to API functionality, the best next step is to raise it in our developer community, where the team who work directly with API enhancements can review it in more detail.

    If you can share your workflow and how this limitation affects your integration when you post there, it will help provide useful context for the developer community.

  4. I would like to request the return of the nice simple professional looking GST Returns and Printouts as the new layout is unsuitable to be sent to Clients and printing out the GST Returns and details now appears spread over more pages.

    Thanks for your feedback here, everyone. We appreciate hearing what our customers need, and listening to feedback our team have made a change to the layout of the GST Transactions by tax rate view, so this is now similar to the previous report in a portrait layout 😊

  5. Currently if a duplicate Bill to Pay is entered this only highlights/flags as duplicate when you are first creating the Bill or are editing the bill at a later date. Once it has been approved, it no longer highlights/flags this as a potential duplicate.

    It would be great if Xero could flag that this could be a duplicate in 2 places:
    1) on the bills to pay screen, somewhere out to the side (like the attachments) or perhaps the whole row in a different colour to identify that there are 2 bills for the same supplier with the same…

    Hi team, as TJ noticed our duplicate detection service has now been released to all users 😁

    From the Bills list you'll now see a banner if there are duplicate bills to review and you can also access this option from the 3 dot drop down menu in the top left of the bills list. We've shared a bit more info on how this all works on Xero central.

    Right now you'll be able to take action on Draft or Awaiting payment bills from the Action column, however to view or edit a bill you'll need to return to the list page to open this.

    We're looking at possible improvements so you can view and manage ills within this page, too.

  6. Ability for Payroll Admin to delete holidays. When an employee books the wrong day or is off sick during a period of pre-booked holiday and wants his/her holidays cancelled, the payroll admin should be able to delete the holiday but cannot.

    Hi team, rounding back on the idea here I want to confirm that currently Payroll admins can reject approved leave requests which will delete it.

    If the leave request has been included in a draft or posted payrun, the payroll admin will need to revert to draft and delete the payrun before the leave request can be rejected.

  7. Would like to be able to select multiple draft bills to review. Then once you have posted the current bill it opens the next one to review and process until all have been processed. Going back to draft bills each time is time consuming.

  8. It seems to calculate values (unrealised gains) for international transactions we need exchange rates.

    However after retrieving the rates from XE.com, as well as another provider, we are unable to pull the exact FX values used by Xero, which means we cannot recreate the value from Xero reports. This interferes with our ability to automatically reconcile and may cause confusion for accountants if they cross check.

    Xero support advised us that they pull live FX rates at 11pm of the timezone of the organisation, however in general it is not possible to pull these live rates historically from XE.com.

    Hi Brendan, appreciate the detail provided along with your idea here. We have a separate community forum where you can log ideas related to improvements for Xero's API. While they have a few ideas around exchange rates what you've raised doesn't appear to have been requested yet.

  9. It's currently not possible to export the Income Tax Self Assessment figures for the MTD for Income Tax quarterly submissions as a PDF to include them in a documents pack for client's approval via e-signature in Xero.

    This would be helpful from April 2026, so accountants can gain client's approval prior to submission with HMRC.

  10. When paying a supplier bill, there should be a back button to get back to the same supplier to continue paying more of that suppliers outstanding bills due for payment once a payment has been made. Currently once you have paid a single bill for a supplier, you have to go back to the bills page and search for another bill or search for the supplier again, it takes twice as long as it should and makes more room for error (our company like many others i would guess need to check each bill against the products we ordered with…

    Hi team, appreciate the interest and sharing your idea in the forums here. We recently released enhancements to the Bills quick view (eye icon) from the list of bills. You'll find you can now edit and make payments on bills from the quick view without having to leave your list of bills. Meaning you can jump from one bill to the next with ease!

  11. I am a refuge from QuickBooks (after decades of use). I switched to Xero because of the ever-increasing costs of QuickBooks since they switched to a subscription model.

    I have to have two Xero subscriptions -- one for my (very) small business and one for my home bookkeeping. (With QuickBooks, I could manage both with a single account.) At the Early level, that's $15 per month apiece, $30 a month for both, or $360 a year in all. That's less than QuickBooks, but it's a lot for my modest needs.

    Appreciate you sharing your feedback on this and thoughts int he community here. Currently, Xero offers a discount when you subscribe to more than one small business pricing plan. The one thing you'll need to ensure is that each organisation is subscribed to the same email address - We have more information on Xero Central, and you can connect with our specialists through the Contact Xero Support option at the bottom of the page if you'd like to discuss your subscriptions further.

  12. 5 Bills for small business is extremely low. If Xero won't increase this to 10, then offering an add-on feature would be key. When comparing the price of Xero to QBO, it is getting more and more difficult for me to transfer new clients that are in QBO over to Xero. The value of QBO is exceeding Xero plans, coupled with the live chat and telephone support, many new clients don't want to leave QBO and I can't blame them. 5 bills for $25 is unreasonably low. Jumping up to the next plan at $55 per month isn't warranted for…

  14. I have a member of staff who I have granted access to the payroll feature, however she cannot submit anything to Xero central such as a question or request. The only way this can be done is if I also give access to the accounting feature as well which I do not wish to do. Can you improve the system so that anyone who has payroll access can submit a request to xero central.

    Your employees with Payroll only permission should be able to access Xero Central as they have a Xero login and this is the only requirement. If your employees are not able to access Xero Central can you please raise a case with our Xero Support specialists so we can look into this. 😊

  15. When an invoice is approved it must stay in the shape of an original table where the ledger account column and the tracking category columns are present, (presenting this information in a line with a small font is ridiculous).

  16. HMRC's guidance on invoices in currencies other than GBP, found at https://www.gov.uk/guidance/foreign-currency-transactions-vat-and-tour-operators lists specific requirements that need to be met when creating an invoice in a currency other than GBP, namely:
    1. "the total net value of goods and services at each VAT rate" needs to be shown in GBP (as well as in the foreign currency)"
    2. "the amount of VAT, if any, at each rate" needs to be shown in GBP (as well as in the foreign currency)"
    3. the currency conversion for VAT purposes needs to be calculated in one of the following two ways:

    Hi all, apologies we've not responded here before now. Checking in with our team on this our current invoice templates do accommodate what's needed here.

    With the standard invoice template you can select to 'Show currency conversion as' 'Net amounts with tax totals', which display a currency conversion table with the net amounts and tax grouped by tax rates or tax components. A base currency equivalent is also included. You can see more information on displaying currency conversion on Xero Central.

    We also provide a highly customisable DOCX invoice template that can be used to provide more detail if you choose.

  17. At present, contact details (name, phone, email, bank account information, etc.) can only be viewed or updated by searching and opening each contact individually. This is very time-consuming when managing multiple suppliers and clients.

    It would be extremely helpful to have a report or consolidated contact list view that displays all relevant contact information in one place — including name, phone, email, bank account details, and other key fields. Ideally, this report would also allow for:

    Bulk viewing of contact information without needing to open each contact separately.

  18. In the Bills approved and awaiting to be paid - it would be good to have a field for notes. There may be a reason why the bill is being held or delayed and a note section here for additional information would make it easier for all involved to understand why a bill might be delayed from the current payment run.

    Hi Nerida, there is already a feature where you can add notes to bills.

    If you scroll to the bottom of the bill you'll find Add Note, which opens a text entry field for you to enter and save your note.


    It'll only be visible on that bill. Alternatively if the hold is for the contact, you could look to use the Notes field in the details of the Contact record. When you Edit the contact you'll be able to add notes that can be seen to the left of the contact record screen once saved. 😊

  19. Record deposits on a quote or future invoice sale without raising the invoice value against a customer.

    We manufacture a product and then install for a customer - with a deposit of either 50/50% or 30/30/30/10% at the point of approved sale. We are happy to create an invoice number but with a deposit on each sale this creates a "negative balance" and we do not want to create a sale until the final invoice has been agreed at installation. ie. a negative receivable.

  20. When filling the GST to ATO through Xero and selecting to Lodge and save bill as draft, I can't find any billing information in the draft bill (nor approved bill) .I don't know where to pay this bill, I need the billing details which have not transferred with the bill.
    I have to do this manually, save the pdf to desktop then attach to draft bill (do it the old way like 20 years ago)???
    This should not be a new idea. It should be a minimum to have a draft bill with the related bill attachment.

    Hi there, when lodging directly through Xero, payment details are displayed at the top of the statement page once it's been lodged, including various payment options such as Bpay, credit card, and others.

    Please note that these payment details are only available when you are connected to the ATO in Xero and lodging directly through the platform. This is because the payment details are provided directly by the ATO and are specific to your entity.
