  2. At the moment there doesn't seem to be a way to pay a monthly employee a basic monthly salary without the hourly rate changing to reflect the number of working days in the month. Please can there be an option to pay a monthly employee a basic 12th of their annual salary each month and the hours per month are set to the average of a 12th of their annual hours so that the hourly rate for overtime etc stays the same each month.

    Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.

    You can now enter more information about employees’ working patterns to support leave and earning rates calculations and save you time. You’ll be able to:

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

    Being able to set up to 13 weeks in a template means you’ll be able to accurately reflect employees’ that may work differing hours through weeks in a month like you’re after here. We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

Notifications on xero to alert you that an employees age has increased due to a birthday, as they may have hit a new age bracket in the wage rates and they could be getting underpaid if not noticed. Example - employee goes from age 20 to 21 this would mean that if they are on the 18-20 year old wage rate and they are on the £7.49 once they turned 21 they should then be on £10.18. so notification of birthdays would help keep you aware of age changes.

    Hi team, this is now released!🎉

    We've recently updated Xero Payroll(UK) and now a new NI category will automatically be applied to a pay run based on an employees birthdate, and if they are entering into a new NI category. Helping to save you time from manually tracking and updating yourself. 😊

    Is it possible to have a report added that includes columns for the Lower Earnings Limit (LEL) NI, LEL to the Primary Threshold (PT) and PT to UEL for NI?

    Hey all 😊 You can find a breakdown of NIC thresholds in the P11 report.

    This report shows the pay period YTD per employee as well a breakdown of the different NIC thresholds.

    Hi Laura, thanks for your feedback here. Appreciate you may have already been through the set up process yourself but our recent release of the Switching wizard in Payroll for the UK aims to improve this flow if you set up a new organisation. 

    We've introduced an experience that'll make it easier to transition from your current payroll provider to Xero Payroll, reducing errors and saving time.

    As part of the experience, you'll be able to import a Full Payment Summary(FPS) from your current software provider to Xero Payroll. You can get more understanding of how this works through our short video. 🙂

  6. We recently had an employee which had a leave type reinstated after a period of over 12 months of it not being used. There was a balance sitting in there for the duration of time that it wasn’t active, and therefore not showing on any payslips that were provided to the employee or filed. We are now in a position that we had to reactive this leave type to be in line with STP requirements and showing leave loading on a separate line. When we reactivated this leave type, ALL payslips for the period of over 12 months…

    Hey Amy, I know it's been a little while since you started your idea here. Taking another read through the situation you described, there are a couple of options which depend on whether you need a record of the adjustment.

    • If you do need a record of the adjustment you'd want to post an unscheduled pay run to reverse out the leave balance for the pay period in which it should have been paid out.
    • In the case you don't need a record, you could simply adjust the opening balance for the leave type within the employee's record.

  8. Xero Me - change of address - employee can lodge a notification through Xero Me to payroll for your change of address. The change could be approved by the payroll administrator and it immediately updates Xero, then an email would be sent to the employee to say the change of address has occurred. This would reduce administration time, spelling errors in address and encourage employees to keep their details up to date.

    Hi everyone, back to announce that employee profile updates have now been rolled out across NZ, UK and AU 😊

    With the updates employees can now view more fields within their employee profile, and update details that don't require admin approval, including;

    • Contact number & email address
    • Residential address (excluding State/Country)
    • Emergency contact information

  9. UK Payroll: Leave / Sick Days
    Xero payroll nearly always miscalculates sick pay and absence deductions if staff are paid an annual salary for two reasons;
    1) It works on average number of days in a month when month vary in working days every month and recalculates an inaccurate hourly rate from which it deducts absence (sometimes this is in favour of the employee but more commonly isn't) meaning that it often deducts too much from them and has to be manually recalculated.
    2) It does not have the capability to deal with part-timers so if you have someone…

    Hi everyone, I wanted to confirm with the release of working patterns this is now possible 😊

    Working pattern templates create default work schedules for employees to ensure they are paid and accrue leave correctly, as part of their salary and wages settings.

    You can now; 

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

  10. Remove rejected leave items from view. As currently they are front an center even if related to a historic time for all employee when in desktop version of Xero Me.

    Hey all, 👋  thanks for your support on this idea and sorry for the late update. I’m popping in to switch it across to delivered for our AU users!
    Just before the end of the year, we rolled out the option for employees to archive their rejected leave requests in Xero Me web.

  12. It would be great if Xero could implement an automatic change/suggestion to change to category A after an H-category employee doesn't meet the criteria anymore.
    One of our employees just had his birthday and I noticed the category doesn't automatically update and there's no flag to say they might now be ineligible for a certain code.
    I imagine there are more companies with the same problem where it's gone unnoticed that the National Insurance Category hasn't automatically updated as nearly everything else does and it's easy to miss a birthday!

    Hi community, we've rolled out a change to Xero Payroll (UK), and now Xero will automatically apply the new NI category to a pay run based on an employees birthdate, and if they are entering into a new NI category. Meaning you no longer have to manually track and updates these.

  13. Adding a "Resend authorisation code" link on the approval page for a batch.

    Purpose: To make sure authorisation code is sent for an approval, in case the code hasn't been received.

  14. HOLIDAY ACCRUAL SHOULDN'T TAKE A MONTH TO RESET
    We have holiday entitlement to reset on the 1st of April each year, however, the holidays don't reset until the 1st of May and after April's pay run.
    Please vote for all holiday balances to reset on the actual anniversary date.

    Hi everyone, we're pleased to update you that these changes have been released in UK Payroll! 🎉 This includes the ability to set employee's leave to accrue based on a custom date of your choosing. Additionally, we've released changes based on the feedback here so that leave will now accrue on the first day of your annual accrual method.

  15. At present, contact details (name, phone, email, bank account information, etc.) can only be viewed or updated by searching and opening each contact individually. This is very time-consuming when managing multiple suppliers and clients.

    It would be extremely helpful to have a report or consolidated contact list view that displays all relevant contact information in one place — including name, phone, email, bank account details, and other key fields. Ideally, this report would also allow for:

    Bulk viewing of contact information without needing to open each contact separately.

  16. We should be able to adjust the holiday year to the UK tax year as that seems to be very common. ( There is already a discussion topic for this but I cannot see it on this list.
    We should also be able to show holidays in days not hours.
    We should be able to calculate holiday hours for employees that do not do a 5 day week. The hours taken on holiday need to be overwritten every time a PT employee books time off.

    Hi community, happy to share that these changes have now been released in UK Payroll! 🎉 You now have the ability to set employee's leave to accrue based on a custom date of your choosing. We appreciate your inputs and based on the feedback we've made a change so that leave will now accrue on the first day of your annual accrual method.

  17. When booking more than one days holiday Xero does not allow you to edit the hours taken. Xero assumes everyone works a 5 day week. So if a part time employee who works 5 hours a day 3 days a week totalling 15 hours books two days holiday Xero assumes they will be taking just 6 hours when it should be 10. There is not an option to amend the hours taken like there is if you just book 1 day.

    Hi community, with the recent change in UK Payroll to introduce working pattern templates so now you can now create default work schedules for employees, ensuring their pay and leave are calculated correctly. You can have up to 100 templates with up to 13 weeks of entries. 

    Working patterns provide visibility around earnings rate calculations and will eliminate the need to amend miscalculations manually.

  18. When looking at Bills to Pay that are in Draft, we review the bill and approve. We then end up on the approved/awaiting payment bill screen. To get back to the next Draft bill to pay, we need to select "Bills to Pay" from the breadcrumb nav, then select back onto the Draft tab and finaly select the next bill.

    It would be good to have an option of "Approve" where we can directly go to the next draft bill to manage.

    Hey everyone, thanks for this suggestion.

    Now when you're reviewing a Draft bill, you can click the drop-down next to Approve, and select 'Approve & view next', to take you to the next bill instead of returning to the list. Screenshot attached for reference. Enjoy! 😊 

  19. For users who are linked to IRD to file payroll, could we please have a separate option to 'Post' without filing. Currently we only have 'Post and File' as a combined option, which can create issues either when a client wants to review final reports and be sent the bank file before being lodged with IRD, or when you need to revert a filed payrun (with no filing changes) and don't want the risk of it trying to file with IRD again (I don't know if it does or not, but regardless, don't want the chance).
