  1. There is no reason to keep the previous bank holidays on every payslip.

I can’t seem to get rid of previous bank holidays from showing on current/future payslips. Why are bank holidays from the Easter and the King's Coronation still appearing on payslips May 2023 onwards?? Doesn’t look very professional. This is all on the YTD earnings line. Why isn't there an option to remove it? Clients are not very happy.

Hi everyone, returning now a few weeks on from our last update, we’re going to move this idea to ‘Delivered’ with the change the team made to Payslip PDFs. We have now combined all previous earnings as one YTD line so that your employees only see the most relevant information 🥳

  2. Hi,
Is it possible to have a report added that includes columns for the Lower Earnings Limit (LEL) NI, LEL to the Primary Threshold (PT) and PT to UEL for NI?
    Thank you

Hey all 😊 You can find a breakdown of NIC thresholds in the P11 report.

This report shows the pay period YTD per employee as well a breakdown of the different NIC thresholds.

    • YTD payroll report (to see total salaries earned by staff for each reporting period)
    • Pay cycle report (report to be saved in the Payroll module after each pay cycle)
    • Ability to save employee contracts in Payroll module under each employee (for audit and transparency purpose)

We appreciate your feedback about Payroll Reports and adding files to Employee records.

We don't accept ideas that have multiple requests in one post.

Please create separate ideas for each feature you'd like to see this developed.

You can see the qualities of a good idea on Xero Central.

In regards to saving contracts to employee records you might like to take and view and support this existing idea.

  3. There should be more employee options in the ultimate subscriptions between 20 & 50 employees as there are small businesses out there that will never have 50 employees on the books per month but have more than 20. Even if the subscription points going up by 10 to accomodate this.

  4. We recently had an employee which had a leave type reinstated after a period of over 12 months of it not being used. There was a balance sitting in there for the duration of time that it wasn’t active, and therefore not showing on any payslips that were provided to the employee or filed. We are now in a position that we had to reactive this leave type to be in line with STP requirements and showing leave loading on a separate line. When we reactivated this leave type, ALL payslips for the period of over 12 months were updated…

Hey Amy, I know it's been a little while since you started your idea here. Taking another read through the situation you described, there are a couple of options which depend on whether you need a record of the adjustment.

    • If you do need a record of the adjustment you'd want to post an unscheduled pay run to reverse out the leave balance for the pay period in which it should have been paid out.
    • In the case you don't need a record, you could simply adjust the opening balance for the leave type within the employee's record.

We have help for both of these processes detailed in this article on Xero Central.

  5. PAYROLL AS AN ADD-ON IN AUSTRALIA

Please allow payroll as an add on in Australia. The very basic plan is enough for most small businesses and sole traders, but the jump in price just to add one apprentice is prohibitive. I feel small businesses and tradies are not catered for well. We often don't need all the bells and whistles, but just something basic. To pay my apprentice via Xero will cost me an extra $360/year which is ridiculous.

Hey team, as you may have recently seen on our blog payroll is now included in all of our business edition plans!

We received valuable feedback from our customers on their needs in this feature with our lower tier plans, which has helped inform this change.

Thanks for your feedback, and sharing what matters to you in Xero Product Ideas! 🙂

  6. I currently pay for the Standard Plan (15/month) plus Payroll (5/month) and use it for 2 payroll users.

Under the newly unveiled pricing plans my business has been completely shafted.

In order to use Payroll at all, I need to upgrade to the new Grow plan (33/month), already an increase of 13/month. But on top of that, that isn't even enough because you're restricted this plan to only 1 payroll user. So actually I have to jump all the way to the second from top plan which is the Comprehensive at 47/month.

    This is a complete joke.

    This shift in…

Hi team, sorry a little late off the mark updating you all here. We'd like to confirm that, the changes mentioned in my last post are now live and implemented across existing and for any new customers adding an organisation or moving plans.

In UK you can now add individual employees to Payroll on Ignite, Grow, and Comprehensive plans for £1.50 per employee per month (Ultimate will remain at £1). For Australia payroll is once again included in all Xero business plans, offering more choice and flexibility when it comes to paying yourself and employees, and making it easier to keep up with compliance obligations. On Xero Ignite plan you can pay one person(as you could with Starter), and two people on Xero Grow (as you could on Xero Standard). You can also process automated super payments on both plans.

We appreciate the importance of flexibility in payroll to our…

Hi Yash, thanks for submitting your idea for a YTD payroll report.

Good news! You can currently achieve this in NZ Payroll using the following existing reports:

    • Pay History Report: Run this report for your desired date range (e.g., 1 April to today) to view a detailed breakdown of what has been paid to employees. It lists payments by date, allowing you to see salaries earned for each reporting period.
    • Gross Earnings Report: This report can be generated for a specific date range (YTD) to see total earnings per employee, or for a specific pay run to see the totals for that reporting period.

I will close this idea as Existing functionality. If you need an extra hand you can raise a case with our Xero Support specialists. 😊

  9. In pay employees, add pay run the column last edited isn't wide enough to show the full description. It would be helpful to be able to read the whole description of when the entry was last edited. It would also be helpful to know who entered and edited the pay entry.
If new staff are in training and have completed the data entry but are nervous to speak up if an error was found/made knowing exactly who entered it would help to educate that staff member no what might have gone wrong.

Looping back across your idea here, Kristy - you can view this from the History at the bottom of the screen. This'll show details of changes made to that pay run with the dates, times, the user and the change that was made, which should help identify and educating staff 🙂

  11. Currently, when super payments bounce, Xero sends us an email letting us know that a payment to a particular super fund from a particular payment batch has failed. Once we've identified whose it was, and got the updated details, we then have to contact Xero to get a re-processing authorised.

All of this takes time, during which the Directors of my clients may become liable for late super payments. I'd like a button to click to speed up at least the contacting Xero for re-processing bit - preferably as part of the process identify the refund received and connect the…

Hi team, sorry we haven't joined in this idea sooner. Earlier this year we released an improvement so now if an auto superannuation payment is returned the authoriser will receive an email including the reason for the return. They will be able to withdraw the payment from the processed batch to reprocess the contributions. We have detailed help for this on Xero Central, but if you run into any snags as always our Xero Support team are available to help. 🙂

  12. I appreciate the need to comply with minimum wage but to have this message on every pay item showing when processing is not only annoying but confusing when processing. This should only be a warning prompt if the gross pay doesn't meet the requirement when pay details have been completed.

Thank you for your feedback regarding the frequent Subject to minimum wage messages. We understand your feedback on these notifications.

Please know they are temporary and essential right now. The notifications were implemented to encourage employers to carefully review their payroll data to ensure compliance with HMRC’s new legislations, and to avoid penalties during this transition period.

We'll pass your feedback on to the product team.

Thank you again for helping us improve Xero! We encourage you to continue sharing your ideas and voting on suggestions within the forum.

Hi Kylie, while there's not a specific employee notes report, you can run the Payroll History with a few filters to get what you need here.

When you run the report you can either run it for all employees, or select the specific employees from the drop down. Set the Type to 'Employees' and Apply.

Once run you can then enter 'Notes' in the search to further filter and only show employees notes added to their records in the set date range. If needed you'll also be able to export the report to Excel or PDF.

  14. Remove rejected leave items from view. As currently they are front an center even if related to a historic time for all employee when in desktop version of Xero Me.

Hey all, 👋  thanks for your support on this idea and sorry for the late update. I’m popping in to switch it across to delivered for our AU users!
Just before the end of the year, we rolled out the option for employees to archive their rejected leave requests in Xero Me web.
Thanks again for your feedback 😊

For voters from other regions, if this is still something you’d like to see feel free to make a copy of this idea and pop the region in brackets.

Hi team, apologies as it appears we may have missed updating this idea with a change we've made sometime ago in contacts.

When editing a Contact record you'll now find that the Address fields are responsive to the Country that is selected. For example if selecting United States you'll be able to enter a State and Zip Code, whereas if you select United Kingdom the fields will be Region and Post Code.

Thanks for engaging with us on this, here.

  16. Can the transition period for change in financial year date be added to companies that are non UK organisations as well. we have a group of companies that all extended their financial year but i have only been able to use the transition period in UK organisations. Why is this not an option in non UK organisations?

Hi Claire, thanks for raising this. We appreciate you sharing the want of having the transition period feature across all the regions while it is only currently available for UK organisations. Your idea is now in Gaining support status, meaning our community team have reviewed it and it's open for community support through votes and comments. We encourage others who would benefit from this to add their votes and share their use cases to help us understand the broader need.

    Thanks for sharing your idea.

You can actually already view employee earnings summary reports for any posted pay run. These reports are saved automatically against the pay run once it is posted.

    To view them:

    1. Go to Payroll > Pay employees.
    2. Click on the specific Pay Period you want to view.
    3. Click the Options button.
    4. Select the report you want.

I will close this idea as Existing Functionality. If you need an extra hand you can raise a case with our Xero Support team.

  18. Can you please post up instructions on how business owners can setup novated leases for their employees and also identifying the process where the vehicle is FBT exempt or subject to FBT. We have had a few of our clients ask why Xero doesn't provide much guidance regarding this issue.

Hey team, if you'd like to see a report that shows changes made to payroll such as salary changes, you can use the Payroll History report.

It can be run for a specified date range and will show the date the changes were made, what the changes were, the employee affected and the user who made the changes.
