New Invoicing - Ability to apply overpayment to invoices
Why do we have to switch back to classic to apply and over payment - This feature needs to be in the New Invoicing System. It creates a massive amount of clicking to get all the features needed.
39 votesHi everyone, we have now released this within new invoicing 🎉
You'll now see that when you apply a payment within new invoicing, if the amount entered exceeds the invoice total Xero will note this and offer the option to create an Overpayment.
Thank you to everyone that voted on this idea and shared the importance of this in your workflow.

New Invoicing - Use item sales price when copying from Purchase order
New Invoicing problem - we are copying new invoices from the existing purchase orders and prices on the new invoices are showing as a cost price instead of the sales prices! :(((. A massive issue! Also, the new invoicing look is not user friendly with a lot of space on the screen. We were very happy with the current invoicing when everything was working perfectly, and the new invoicing does not work for us at all. Dear Xero developers, please do not fix what is not broken and leave the current invoicing as it is.
13 votesHi everyone, we appreciate your feedback on this and I'd like to confirm that our team have implemented a change. Now, when you copy a purchase order to a draft invoice, where it includes items from your Products and services Xero will use the Sale price and account saved for that item when creating the invoice.
Thank you for sharing with us on this and staying updated though product ideas, here.

New invoicing - Assign next number in sequence when number removed
We bulk upload invoices in advance with "Draft" invoice numbers as we don't know their ultimate sequence for issue. We then assign a chronological invoice number when the invoice is approved and/or saved. In "Classic" invoicing, if I delete the invoice number it automatically assigned the next number in sequence e.g. #INV-0089, however in "New" invoicing if I delete the invoice number is warns me that I need a number and reverts to the original "Draft" number" and not the next chronological number in sequence. This is a significant backward step in functionality, can you confirm this bug will…
103 votesHi team, we appreciate the added feedback from you on the behaviours from classic that you'd find useful in new invoicing. The invoice number assignment is still a feature that our teams are continuing to monitor closely. Right now, while we don’t have plans for changing the way invoice numbers are assigned, our product teams are considering future improvements - As part of this they are doing some discovery that we’d love to get your contribution to.
We'd like to invite you to share back though our survey here. Insights from this will help our product teams get a deepened sense of our invoicing users. Thanks

Invoicing - Ability to copy invoice within a locked period
Kelly, it is a long message. Please be patient. It demonstrates what mess is created in new invoicing. It demonstrates that new invoicing is not ready to fly solo after 20.11.2024. We must have a functional backup of classic invoicing if new invoicing is so erroneous.
I had to credit invoice INV-1548 for $1,483.35 in the locked period and replace it with two new invoices addressed to two customers (let’s call them customer1 and customer2). I had to show in the new invoices what was the credit part for each customer.
My steps are below:
1. I…33 votesHi everyone, upon further testing of the previous raised issue here it appears this has been resolved with some of the updates that the team have made within invoicing.
Following the same steps to copy a fully paid invoice that's within a locked period you should find that you're now able to copy this within the invoice with now errors.
If you are still having any difficulty with this or running into errors when trying to copy a paid invoice that's within a locked period to a new draft invoice, please do raise a case with our team of specialists at Xero Support so we can investigate with a closer lens and get appropriate details to escalate with our product teams.
We appreciate all your feedback and engagement with us through the site. Thanks

New Invoicing - Option to edit 'Attention' field in customer address
In new invoicing, please revert the ability to edit the postal address 'attention' box, back to the same as classic invoicing. Property managers want the owner's name included in the invoice address, so for each invoice I produce, I need to change the person's name in the 'attention' box. Previously this could be done by clicking on 'edit address' within the invoice, but in new invoicing, I need to edit the address by going into 'contacts', 'edit ', 'addresses', 'edit address', 'update address', 'save'. Once this is done, the ability to email the new invoice disappears, and…
97 votesHi everyone, thanks for continuing to tune into updates of the idea here. Taking feedback on board on information that's most helpful to our customers we've released improvements to the ‘Contact’ field within new invoicing.
We heard being able to edit and add the 'Attention to' for a contacts address was important, and we've now added this capability into the contact card so you can edit this in the billing or delivery address detail, on the fly.
Along with this; there's now a look up tool so you can easily search and select a contact's addresses, and we’ve added more lines to enter a contacts address if needed. We appreciate your engagement and letting us know what matters to you through product ideas.

New Invoicing | Contact details - ABN
New Invoicing - Show ABN details with Client details in the "To" section of the invoice. All other information is there for reference, excluding the ABN.
To view the ABN details, you need to leave the invoice screen and go to Contacts.7 votes -
New Invoicing - Add a Print PDF where you can directly print from the invoice (not download)
New Invoicing - I need to print invoices regularly for counter sale customers. Using new invoicing it used to open a new chrome tab when you clicked Print PDF from there you could print or download the invoice easy.
In a recent update (See link https://productideas.xero.com/forums/939198-for-small-businesses/suggestions/47646932-new-invoicing-print-pdf-option) the Print button now only allows you to Download invoices.
Please revert to the old system where printing or downloading took the same number of clicks
or
- Change the current Print PDF button to read "Download PDF"
- Add a new "Print PDF" Button that actually prints the invoice.
309 votesThanks everyone for your feedback on the invoice print option. We know how much our customers value efficient workflows, and appreciate you sharing your thoughts on how the current "Print PDF" button works.
For those of you looking for a smoother printing experience, a helpful workaround is to set your browser to automatically open PDFs in your preferred viewer after downloading. This can save you a few clicks in the process.
In the interest of transparency, a direct print PDF functionality that go through the download step isn't in our development plans.
You can continue to vote on this idea so if our position changes in the future we will update you all, here.

Sales invoices - Lite version of invoicing
The new invoicing page design has created a bloated feature-packed version of invoicing that, whilst great for companies who regularly email or print invoices for posting, is an absolute pain in the proverbial to navigate for companies such as ours who only create invoices for accounting purposes, and never send them out.
For background context, we are a small family-owned investment property company who create invoices in Xero corresponding to rental income statements we receive from letting agencies. We only create the invoices once we've received the statements, so the original invoicing feature was perfect for us. Its replacement is…

New invoicing - Increase size of item code display
The item code on the New invoicing shows much smaller that it was on the Classic Invoicing. Example attached shows how much harder it is to read. Can this be enlarged?

New Invoicing - one click tracking fill from contact default
On classic invoicing, when you click the account category space or the tracking category it would fill in from the contact default, or account default or some default. But on new invoicing it only fills in if you tab.
10 votesThanks for the added detail, Becky. This is good to know when sharing back with the team. While this may be something we look closer at down the line, I want to be open that we don't have direct change planned in the near term.
Understand it's a few more clicks at present, potentially to save tabbing 8 time clicking on the Tax Rate column and then tabbing once may save a little time atm. Completely get it's not a resolve though.
Account Team - Is it possible that this would be when you're copying an invoice to a new draft invoice? If so, and you select the same Contact defaults aren't automatically applied and you'd need to remove and re-add the contact on the new draft invoice to trigger defaults to be applied. Otherwise, I'd recommend raising a case with our team of specialists for a closer look as…

New invoicing - Add project
To be able to add projects within new sales invoice like you can in classic invoicing
1 voteHi Debbie, we'll move this across to delivered as mentioned in my last update it is possible to assign items of your invoice to Projects you've set up.
If you're not seeing this column by default, you can click the 'Show/hide fields' button to add this to the grid view.
If you've set up tracking for your projects and are interested in being able to add a new tracking category while invoicing we have a different idea for this across here that you can join for updates.

New Invoicing - Add last items
New Invoicing - Add last items
The new invoicing interface currently being rolled out does not include this feature. This feature is fundamental to my use of Xero for invoicing.
1 voteHi Keith, if this option isn't appearing where you'd expect I'd recommend raising a case with our specialists through Xero Central so we can take a deeper look into things with you.
If you have previously entered an invoice for the same contact, you should see this option appear not long after adding the Contact. I've attached an example

New invoicing - Make manual tax adjustment to total invoice amount
Retain the This Make manual tax adjustments from the invoice subtotal in New Invoicing. This is a feature that I use as I have to import sales figures from an external program and the VAT figure is different by a small amount But I don't want to have to alter each line on the invoice.
47 votesCan see what you're meaning here, John. I've made a slight adjustment to the title of your idea that I think might help others identify with. We'll start to feel the interest out here and let you know if there's any change planned.

New Invoicing - Populate Discount from Contact's Sales Defaults
New Invoicing: In the classic invoicing, I can click in the discount area and the discount set in a customer's profile is automatically entered. I don't want to have to go in and look up each customer's discount every time I create an invoice. In the new invoicing, when I click in there it just waits for me to type something in.
7 votesHi team, from new invoicing once you add a contact any sales defaults you have saved will be applied. Simply enter a Qty or Price and the discount saved for that contact will be applied.
If you're not seeing the discount column on your invoice, click the show/hide fields on the left above the invoice body and make sure this has been selected.

e-invoicing Germany
From 1st January 2025 businesses in Germany must be able to receive e-invoices and this function does not exist in the Global edition we use for our German clients.
We need this functionality setting up as a matter of urgency.
35 votesThanks for raising the idea with us. Our team are aware of the mandate of eInvoicing for Germany. While we don't have immediate work planned at this stage our plan is to support any Peppol-enabled region in the long term and we are paying close attention to the interest from users on this idea. We'll be sure to update of any progress surrounding this for you, here.
The mandate currently states "The new legal regulation currently contains no specifications for the electronic transmission of electronic invoices. An email inbox should therefore initially be sufficient to receive an electronic invoice."
Based on this, currently with Xero an eInvoice could be received by using our Email to bills service, or by including the invoice as an attachment and sending to your organisation's Files library. On agreement with your suppliers you could share your bills, or files library email with them so…

New invoicing - copy to keep original invoice date
For setting dates on new invoicing:
- when using the "copy to draft invoice" function, keep original date from copied invoice and not default to current date.
- be able to type date using all numbers and not having to type month name (slows me down)8 votesHi Rebecca, I've just amended the title of your idea for your first request. In terms of the second when you're mentioning the input of dates. You should find you can currently enter dates in number format, however you'll need to make sure you keep the '/' or '.' to separate day month and year, alternatively you may find shortcuts help you cut down the time needed to enter your dates here.

New Invoicing - Open attached files in the current window
open attached files (especially PDFs) in the current window (same as old invoicing), not in a new tab which is automatically happening with new invoicing.
is frustrating as you now need to go back and forth between tabs if you want to transpose info from the attachment into the invoice.
Much more user friendly the old way with a resize-able/move-able viewing window within the same tab78 votesHi team, thanks for staying tuned into the idea here for update of files preview. Our team have released a change, and you'll now find when you 'view' a file attached to an invoice this'll now show a side by side view so you can transcribe any detail as needed from the attachment to your invoice. ✨

Online Invoicing - Auto attach PDF of invoice when saving as Draft
I've noticed that Xero is retiring classic invoicing, and that the Xero to Xero link option is not available in New Invoicing. Xero to Xero is an important feature for many of our clients especially in groups where there is intra-group invoicing with many items on an invoice this saves a lot of time! Please add Xero to Xero to new invoicing. I also want to ask if Xero to Xero can please automatically attach the pdf version of the invoice to the bill created in the opposite entity as this does not happen automatically.
5 votesHi Michael, we have an idea for Xero to Xero in new invoicing and want to be open that this isn't something we'll be building into new invoicing however there is still a way to use this feature. You can have a read of my full post on the idea.
In relation to your second idea around auto attaching the PDF of an invoice when it's created as a bill in the recipients organisation. I'll slightly amend your idea for this here and we can get a sense of the appetite for this.

New Invoicing - Move Save button to bottom of invoice like classic
Please move the SAVE for the New invoicing to the bottom as per old invoicing. When you have an invoice with 30-50 items and then have to scroll back up to save it adds to the pressure of getting things done.
Or Better still
Leave the old there until you've got it together and your Paid subscribers are happy.
We are seriously looking at moving away from XERO due to all the changes you impose on us without proper UAT. More often than not it creates more work for us and causes more stress we just dont need in…231 votesHi team, while we don't have immediate plans to change the placement of buttons on new invoicing we're interested in staying close to this feedback and I'll move the idea to Under review for the time being. We'll return to confirm any outcomes.

New invoicing - Show full Tracking category
Despite some condensing of information and improvements to the appearance of new invoicing, it continues to display information with less clarity and efficiency than before. This is only one example but on classic invoicing, entering a tracking category that was too large for the field would cause the vertical height of that row to increase. Now new invoicing simply cuts off the field after a certain character limit.
This system is not ready for default deployment and you have no idea how bad the support storm is going to be on the 2nd of September. Please push back…
5 votesHi everyone, our new line item grid has been released, and you'll find with this update along with other changes, that all fields now wrap. So if you have an account, tax rate or code that is a little longer you'll be able to see the full name of this when invoicing. We appreciate all your feedback on improving new invoicing to suit your needs here. Thanks
