  1. On the PDF invoices, Xero automatically CAPITALIZES the entire town/city name, even in my custom invoicing template. It looks unprofessional and I want it to go away. I've avoided this by typing all new addresses on the first line, but I have imported hundreds of contacts into Xero and I don't want to go in and change every single one of them.

    Hi all, in Xero City, State and Country fields appear in capital letters when using a standard invoice template. This is because the US Postal Service (USPS) recommends these fields are in all caps.


    Currently you could use an advanced invoice template and replace the merge field <<ContactPostalAddress>> with some or all of the following merge fields to change the way this appears:

    • ContactPostalAddressLines
    • ContactPostalRegion
    • ContactPostalCity
    • ContactPostalCountry
    • ContactPostalPostCode
    • ContactPostalAttentionTo

    Hi Amy, although discount column may not be visible when you first use new invoicing, you can use the Show/hide fields option to choose which fields and columns are displayed - including Discount, and Save your preferences.

    Next time you create an invoice for a customer using new invoicing you'll see your field preferences from the last invoice should be in the new one. 

  3. Transactions posted after a period end affecting prior periods

    Lock dates had not been set and as a result, there has been a few entries in to the last financial year.
    How can I locate these entries?

    I have tried a transaction report, but there are no parameters that I could enter.
    Ideally.

    Example -
    Our year end is 31st August.
    I would like a report that looks for transactions entered between dates 1/4/22 - 21/9/22 that have a transaction date up to 31.8.21 (last year end)

    In other accounting systems, you could take a unique reference number…

    Hi Kellie, you might find History & notes useful for getting the insight you're after here. 

    Though it's not possible to filter by the transaction date - You can set a date range like you've mentioned to view activity that has occurred post your orgs year end and ability to filter by Item types so you just view the item types you're interested in.

  4. Unless I'm missing something, I can't seem to see the Item Code or Tracking Code fields on a saved invoice? They are there in Edit mode, but not when viewing a saved invoice? We don't need to include these columns on the invoice sent to clients, but do need to be able to see them for internal use without having to go into edit mode. Until we can do this, we won't be able to switch to the new invoicing.

    Hi team, apologies we haven't updated this idea sooner. Our product team made a change to the approved grid view a fem months ago, where now you'll see Item code and Tracking as separate columns once the invoice is approved to make it easier to review your information. We appreciate your feedback here and sharing through product ideas.

We use two tracking category's depending on which country the transaction relates to, the category options are the projects in that country, if a tracking option has been added to the wrong category on an invoice and you need to remove it you can't leave the category blank, on the old invoices and other areas of Xero you have (none) under the category options which you can choose if it is to be blank but this option is not there on the new invoicing

    Hey everyone, thanks again for suggesting this. Good news – the new line item grid is live for everyone now.

    With this update, getting rid of tracking is way easier. You can just hit backspace and tab through the fields, or we've also popped in a 'No tracking' option in the dropdown. We appreciate your feedback through product ideas – it really helps!

  6. Sometimes I need to add the same tracking category to multiple lines of the invoice. CLASSIC invoice allowed me to simply paste the category in the box and that's it. NEW invoicing now requires me to CLICK after pasting which doubles the amount of time I'd need comparing to CLASSIC. Please bring that possibility back - OR, EVEN BETTER, maybe let us drag the options to apply them to cells below (like it's done in Excel).

    Hi everyone, we're delighted to announce that the new line item grid is now available to all users. This update incorporates several enhancements based on valuable customer feedback, and includes resolving your suggestion, here.

    With the new grid, you can now easily copy & paste tracking information between cells, using 'Tab' to navigate to the next cell efficiently. While the drag-and-drop functionality isn't currently available, this has been raised as a related idea, which you're welcome to support. We'll provide updates on its progress if any arise.

  7. Extend the search function under bills to pay to include creation date to help elevate duplication when exporting data to csv file.

    I want to export invoices from Xero to import into a CRM platform to use as a job cost analysis as this is not a function Xero currently has.

    All invoices dated the 01.09.22 will not be input on the same date so there is no way to ensure you have exported all the invoices for the 01.09.22 unless you delay the export. This is not a practical solution for me as I want to assess the…

    Hi team, returning to the idea I wanted to highlight that you can currently run the History & notes report which could be filtered for Type = Bill, and type 'created' in the search bar.


    Relating to the ability to identify duplicates - our team are currently working on aa duplicate detector that'll further help with this process, so you'll be able to review bills that have been identified as duplicates and take needed action before exporting - You can stay up to date with work for this on this idea. Just add your vote to receive updates 🙂

When you create an invoice the payment terms default to what is set for each customer (ie. 45 days from end of month, 60 days etc) however if you then change the issue date of the invoice, it defaults back to 30 days for every client regardless of their terms. We are looking for it to caclulate to each clients correct terms whenever the invoice date is changed

    Hi team, with some recent changes we made to the date picker in new invoicing you should find this is now working correctly for you. When creating a new invoice the default due date is triggered by the invoice settings, or where set for an individual contact this'll be the date used, also as noted in my update here - now if you update the issue date after a due dates entered, it does not automatically update the due date when you make issue date changes.

    If you're still finding any discrepancies in what you're expecting I'd recommend raising a case with our specialists at Xero Support so we can get more detail and confirm the behaviour you're getting.

  9. HOLIDAY ACCRUAL SHOULDN'T TAKE A MONTH TO RESET
    We have holiday entitlement to reset on the 1st of April each year, however, the holidays don't reset until the 1st of May and after April's pay run.
    Please vote for all holiday balances to reset on the actual anniversary date.

    Hi everyone, we're pleased to update you that these changes have been released in UK Payroll! 🎉 This includes the ability to set employee's leave to accrue based on a custom date of your choosing. Additionally, we've released changes based on the feedback here so that leave will now accrue on the first day of your annual accrual method.

  10. Allow change to email format so that the VERY LARGE $X,*** 'Review and pay' button can be removed - as it can in the Classic invoicing. I have a large client who has stated they will leave Xero, rather than send emails in this format. They find it too aggressive.

    Hi everyone, appreciate the feedback here. Right now it is possible to hide the 'Review and Pay' buttons completely from the Email Settings in the Organisation  settings. From here you can disable the 'Include quick link to online invoice and detail summary' setting to hide the payment buttons entirely.

    Just to note, this does strip back the email formatting so you might like to send yourself a copy to see what this then looks like once the option has been disabled. Thanks

  11. It is most annoying and time consuming to only be able to access half of the inventory items when raising an invoice. Instead one has to look up every item in the second half of the inventory, line by line before you can add it to an invoice. This is a step into the dark ages.

    Hi everyone, I'm pleased to share that the new line item grid is now available to all orgs.

    We know being able to see more of your inventory items is important and with the new grid we've expanded the number of items that you can see from 50 to 100.

    For majority of orgs this means you'll now be able to view your full list of inventory. We understand there are some orgs that have many more items, but want to be honest that we don't intend to increase this amount further. Thank you for all contributions and support you've shared with us, here. 

  12. In the old Invoicing, when creating a new invoice the cursor would default to contact field so as soon as the screen opened you could start typing to bring up the contact. With the new Invoicing you have to click on the screen in the desired field to be able to type anything.

    Please fix this, it is extremely frustrating.

    We're grateful to everyone who participated in the discussion and provided valuable feedback regarding the cursor positioning. I'm pleased to announce that we have released a change, and upon opening your next invoice, the cursor will now default to the Contact field. Thanks again for your contributions.

  13. The email invoice button on the new invoice template has moved from a main button to now being in a sub menu in the three dots, adding a click to the work flow.

    But Print PDF is still a button on the main invoice template.

    In an era where email is preferred over a printed PDF in the post, it would be nice to retain both EMAIL and PRINT as main buttons on the new invoice system. Seems extra work when you are sending a whole load every day for bigger companies.

    Not a separate button in itself, however we’ve released some new shortcuts that’ll save you all the clicks here! 

    Thanks for all sharing your flows and the efficiency you found in being able to easily select to email your invoices. Listening to our customers feedback we know improvements to reduce the amount of clicks for actions in new invoicing is important. 

    We’ve just delivered a range of keyboard shortcuts to new invoicing, that cut down the number of mouse clicks and help you perform actions on your invoice with some simple keyboard entry. 

    Now you can easily bring up the send modal within a Draft, Awaiting Payment or Paid invoice by typing Alt-Shift-M (or Opt-Shift-M on a Mac)

  14. When typing a quote, available stock used to show (when you typed a figure in the "quantity" field (if available stock was less than required the open window would turn red) but it doesn't now. It would be great if this feature were also added to invoices (and quotations as before) so that one didn't need to check stock on a different page for each item being invoiced. I note that it shows when typing a credit note, so it must be possible!

  15. INVOICING - in the field 'Unit Price', it would be great to be able to have this default to the hourly rate we charge (and to override if necessary). We send our invoices to our clients at the end of each month, and therefore there are several entries for the daily activities charged throughout the month, hence having to input the hourly rate several times for each invoice.

  16. Please allow a customers unique name and number pasted into the "to" box, be the only customer information required to continue filling out the invoice.
    My continued use of Xero depends on this action to stay as it is.
    Some users will not want to use Xero invoicing other than to use it as a debtors ledger and GST etc manager.
    In our case, we paste the name and number in the TO field, the only " item " we sell is one invoice worth our invoice total. The invoice number and reference holds our real invoice number.

    Hi everyone, to confirm for anyone coming across the idea here. In new invoicing the contact card will open so you can add more details of a new contact. However, the name is the only field required, so you can simply enter the name and then click Save to continue on. 🙂

  17. For web orders etc there is no way of adding to the invoice that the order has been paid.
    So an option within the Due Date section to choose 'Paid In Full' would eliminate the customer receiving the invoice appearing as if it needs to be settled.

  18. Please keep the current feature of adding item codes to billable expenses so that the preset charge out rate and account pulls through. In the new system adding an item code wipes out the billable expense.

    Hi community, thanks for sharing back with us on the flow through of information for Billable expenses.

    Our product team have implemented a change, and you should now find that when you add a billable expense related to an inventory item, and select to add the items to your invoice the item code will be shown.

    If you're finding this is not the case for you it would be best for our Xero Support specialists to take a closer look at things with you 1-1 - you can touch base with them through Xero Central.

  19. Previously we were able to "Add billable expenses" to a "Copy to draft invoice". However, this feature is no longer available/showing up as an option when creating the draft invoice. Instead I have to save the invoice as a draft and re-open, then I'm able to add the billable expense.

    Hi team, thank you for your feedback and sharing about this with us here. I can confirm our team recently released a change to fix the issue some users were experiencing like you've described here where the Add billable expenses option was not appearing.

    You should now see this appear when creating an invoice for a contact that a billable expense has been assigned to. If you do continue to experience any issues with this, please do raise a case with our Xero Support team who have tools to be able to investigate and escalate with our product team if needed. Thanks

  20. Unscheduled pay run - most of my unscheduled pay runs are paid on the day of creation.
    It would be good to be able to change the payment date to the actual date of payment instead of the date selected by the unscheduled pay run.

    E.g. unscheduled pay run for the week ending 13th Aug has a payment date of 16th Aug yet payment may have been made on 18th Sep.
