The new Grow subscription only allowing for one employee is really tough for accountants operating in the micro-business space, as many of the small businesses that I have been working to get onto Xero are either married couples or two business partners who need exactly two payroll employees, with no intention to grow beyond that number.

    Having to jump from Grow to Comprehensive just to add a payroll user is prohibitive for a lot of my clients, and knowing that this is the case is stopping me from recommending Xero as a product where it would have been a…

    Payroll is now included in all new business plans (Ignite, Grow and Ultimate). You'll be able to pay one person on Ignite, and two people on the Grow plan.

    I want to confirm that these changes are now all live and available for you to make use of. See more of this on our blog.

  2. Payroll doesn't refresh data unless you scroll up and down inside an employees pay all the time
    Can you fix this ? Even if you had a button which you could hit to pull changes
    into pay amounts quicker
    It takes a long time waiting doing the payroll when putting in hours and different rates for each employee each week for the amounts to change and pull through properly

  3. Payroll>Employees>Leave currently has leave balances in days and dollar values, this makes it difficult to determine what the amount should be either way.
    As the dollar amount may change due to pay rises or an average applied as per statutory legislation, it would be better if all fields were hours based values. This would make it consistent and easier as a consumer to use.
    As a user, I should not have to be trying to calculate what the values should be and if something doesn't appear to be right, I should not need to contact Xero…

    Hi team, we've recently released changes in Xero Payroll. As you may have seen you can now set up working patterns for employees to more accurately calculate employees wages and leave. While Holiday pay remains in dollars, Annual Leave will show in weeks and FBAPS Leave will now be shown in days.

    Just to note, Holiday Pay is not a one to one correlation to Annual Leave, however if you prefer to have leave in hours you could consider enabling leave in advance. You can see our article here for more information on managing employees leave.

  4. I hope that there's separate columns for date and employee name as seen in the previous report as it's totally useful when summarising data for various period. For instance, when generating the old report, it's completely quicker to use the pivot table and other excel formulas to calculate the total hours work and the corresponding cost in a certain period and prepare a comparative report for various pay item/period and employee using the old payroll activity detailed report. It's a single payroll report where all the relevant information is included.

    Hiya team, thank you for sharing your feedback and letting us know the detail and why this is valuable to you. Based on feedback we received on the Employee name and Date columns the team have just released an update to the Payroll Activity Detailed report to include Employee name and Date as separate columns in the report and these will now show by default.

    This will help as noted when exporting and using the data for further analysis outside of Xero. 

  5. In Xero we have the ability not to show the personal leave balance on payslips. But this is made redundant where the employee can apply for leave on the Xero Me app and see their personal leave balance there instead.

    For consistency, there should be an option to not show the available personal leave balances when employees are applying for leave - either on the Xero Me app or if on the web browser.

  6. It would be great if Xero could implement an automatic change/suggestion to change to category A after an H-category employee doesn't meet the criteria anymore.
    One of our employees just had his birthday and I noticed the category doesn't automatically update and there's no flag to say they might now be ineligible for a certain code.
    I imagine there are more companies with the same problem where it's gone unnoticed that the National Insurance Category hasn't automatically updated as nearly everything else does and it's easy to miss a birthday!

    Hi community, we've rolled out a change to Xero Payroll (UK), and now Xero will automatically apply the new NI category to a pay run based on an employees birthdate, and if they are entering into a new NI category. Meaning you no longer have to manually track and updates these.

    Hi Laura, thanks for your feedback here. Appreciate you may have already been through the set up process yourself but our recent release of the Switching wizard in Payroll for the UK aims to improve this flow if you set up a new organisation. 

    We've introduced an experience that'll make it easier to transition from your current payroll provider to Xero Payroll, reducing errors and saving time.

    As part of the experience, you'll be able to import a Full Payment Summary(FPS) from your current software provider to Xero Payroll. You can get more understanding of how this works through our short video. 🙂

  8. At the moment there doesn't seem to be a way to pay a monthly employee a basic monthly salary without the hourly rate changing to reflect the number of working days in the month. Please can there be an option to pay a monthly employee a basic 12th of their annual salary each month and the hours per month are set to the average of a 12th of their annual hours so that the hourly rate for overtime etc stays the same each month.

    Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.

    You can now enter more information about employees’ working patterns to support leave and earning rates calculations and save you time. You’ll be able to:

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

    Being able to set up to 13 weeks in a template means you’ll be able to accurately reflect employees’ that may work differing hours through weeks in a month like you’re after here. We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

  9. Re-instate the option to pay for additional people on payroll without having to jump subscription tiers.

    As a small business, every dollar counts, having to jump $25/month or $40/month to add a person to payroll hurts, especially when the additional features are unnecessary.

    The UK has already reinstated this option, it should be reinstated here too. (Not entirely sure why it wouldn't be other than the fact not as many people would have offered feedback here in AU comparatively to UK.

  10. Would be great if we could run a report detailing which staff have taken leave (annual, personal) during the period to confirm it agrees to leave entered in Xero Me.

    Hi team, just returning to this idea, I've slightly amended the title and we'll move across to delivered.

    As mentioned in my last update, you can use the Leave requests report which will show the start and end dates, as well as units and dollar amount. It's also possible to run the report for all, or just specific employees for the period. 🙂

  11. Xero Me - change of address - employee can lodge a notification through Xero Me to payroll for your change of address. The change could be approved by the payroll administrator and it immediately updates Xero, then an email would be sent to the employee to say the change of address has occurred. This would reduce administration time, spelling errors in address and encourage employees to keep their details up to date.

    Hi everyone, back to announce that employee profile updates have now been rolled out across NZ, UK and AU 😊

    With the updates employees can now view more fields within their employee profile, and update details that don't require admin approval, including;

    • Contact number & email address
    • Residential address (excluding State/Country)
    • Emergency contact information

  12. I have a member of staff who I have granted access to the payroll feature, however she cannot submit anything to Xero central such as a question or request. The only way this can be done is if I also give access to the accounting feature as well which I do not wish to do. Can you improve the system so that anyone who has payroll access can submit a request to xero central.

    Your employees with Payroll only permission should be able to access Xero Central as they have a Xero login and this is the only requirement. If your employees are not able to access Xero Central can you please raise a case with our Xero Support specialists so we can look into this. 😊

  13. HOLIDAY ACCRUAL SHOULDN'T TAKE A MONTH TO RESET
    We have holiday entitlement to reset on the 1st of April each year, however, the holidays don't reset until the 1st of May and after April's pay run.
    Please vote for all holiday balances to reset on the actual anniversary date.

    Hi everyone, we're pleased to update you that these changes have been released in UK Payroll! 🎉 This includes the ability to set employee's leave to accrue based on a custom date of your choosing. Additionally, we've released changes based on the feedback here so that leave will now accrue on the first day of your annual accrual method.

  14. When processing backpay for employees where they have a Termination Date currently involves either an Unscheduled Pay run for a period the employee was employed or undo the Termination date, and run a payrun, then Terminate again.
    Both of these are very time consuming, particularly when there are some 40 employees over an 18 month period that need to be included who have a Termination date.
    It would be useful to have a function in a payrun to "include terminated employees" which keeps all the previous data, but includes them for the backpay without having to manual update each,…

  15. It would be great if you could download the Employee-year-to-date preview report after payroll finalisation in Australia.
    Currently, this report can only be downloaded as part of the finalisation process not after. After finalising payroll you can only download a CSV file. We missed a transaction when reconciling that was in column BY - we spent hours trying to reconcile a payroll finalisation that could have been easily checked with the Employee year-to-date preview report which is all on one page.

    You can now download the STP Year-to-Date Summary report for a specific employee after STP finalisation, Lisa. 😊

    1. From the Payroll menu select 'Single Touch Payroll'
    2. Click the 'Tax year' drop box in the top right > Select the required tax year
    3. Go into the Finalisation tab > Click 'View report'
    4. Select the required employee/s > Click the 'Export' button to download the report
  16. My suggestions is that automated super should be available if a Xero package offers payroll, like the starter package and the Standard package - its near impossible for clients to make direct super payments for employees (even for business owners themselves) without using this feature.

    With the increases in subscriptions occurring in September I think an upgrade with automated super should be tabled for the lower subscription packages.

  17. Tried to amend the national insurance category to a v category for 6 weeks after the employees start date, as that is when they were valid from, to find the calendar will only allow me to amend to a date previous or on their start date with the company. Has anyone else encountered this issue at all?

    Hi Laura, it looks like you also raised a support case about this which has since been resolved. 

    To recap, when you add a V category, you'll have the option to enter a date in which the category starts from. Then you would need to enter the date in which the employee was first employed as a civilian.

    For example, V category is valid from 31 Jan, therefore you can only enter the employment civilian date up until 31 Jan. You won't be able to enter an employment date after the NI category date.

  18. Very recent change to the Payroll Activity Details report, now Units capped at two decimal places, changed within the last fortnight.
    This needs to revert to four decimal places, as that is what is allowed when entering your payroll. Why has this been changed as now, the Payroll Activity report is the only available report to use to check a payroll, is no longer of any use as it does not reflect the correct data entry.

    Hi everyone, we appreciate your feedback here. Apologies we haven't updated sooner, as I can confirm that we made a change in July to the Payroll Activity Details report so it will now show 4 decimal places.

  19. Remove the automatic bank holidays been added, If you could add the days worked then it would work but it is adding bank holiday payments even if someone has left a week before.

    If the employee has a leave date prior to the bank holiday it will not be added automatically. Also you have the option to include or exclude the relevant bank holiday's for the employee in their employee file.
