    Hi Yash, thanks for submitting your idea for a YTD payroll report.

    Good news! You can currently achieve this in NZ Payroll using the following existing reports:

    • Pay History Report: Run this report for your desired date range (e.g., 1 April to today) to view a detailed breakdown of what has been paid to employees. It lists payments by date, allowing you to see salaries earned for each reporting period.
    • Gross Earnings Report: This report can be generated for a specific date range (YTD) to see total earnings per employee, or for a specific pay run to see the totals for that reporting period.

    I will close this idea as Existing functionality. If you need an extra hand you can raise a case with our Xero Support specialists. 😊

    Thanks for sharing your idea.

    You can actually already view employee earnings summary reports for any posted pay run. These reports are saved automatically against the pay run once it is posted.

    To view them:

    1. Go to Payroll > Pay employees.
    2. Click on the specific Pay Period you want to view.
    3. Click the Options button.
    4. Select the report you want.

    I will close this idea as Existing Functionality. If you need an extra hand you can raise a case with our Xero Support team.

  5. Payroll>Employees>Leave currently has leave balances in days and dollar values, this makes it difficult to determine what the amount should be either way.
    As the dollar amount may change due to pay rises or an average applied as per statutory legislation, it would be better if all fields were hours based values. This would make it consistent and easier as a consumer to use.
    As a user, I should not have to be trying to calculate what the values should be and if something doesn't appear to be right, I should not need to contact Xero to find out…

    Hi team, we've recently released changes in Xero Payroll. As you may have seen you can now set up working patterns for employees to more accurately calculate employees wages and leave. While Holiday pay remains in dollars, Annual Leave will show in weeks and FBAPS Leave will now be shown in days.

    Just to note, Holiday Pay is not a one to one correlation to Annual Leave, however if you prefer to have leave in hours you could consider enabling leave in advance. You can see our article here for more information on managing employees leave.

  6. Would be great if the days per week and the hours per day could be for each day rather than a total amount. Sarah does a total of 30 hours per week
    Monday - 0hours
    Tuesday - 6 hours
    Wed- Fri - 8 hours per day
    but because we cant specify what days we have had to go 4 days per week with total hours per day 7.5. This is confusing to look at but we also have to remember when it is a public holiday to change it. Would be good if we could specify the hours worked per…

    Hi everyone, you can now create new working patterns for employees which allow you to add in the specific days and hours they are contracted to work!

    This improves the default hours used in calculations around public holidays, leave requests, the first pay, the last pay and when working patterns change during the pay period. Thanks again for all your feedback on this here.

    Hi team, as an update to my last post, we have now rolled out the Leave Requests report in UK Payroll. This report lists the details for leave requested, approved and taken, for all employees or can be run for a singular employee, and will help when planning rosters or work schedules. Payroll Admins will be able to find and access it through the Reports Centre found in the Accounting menu. We're aware that the Leave Requests report does not meet all of the requirements as outlined in the comments of this idea, and we have created a new idea for a Leave Transactions Report. We will track interest of this idea and keep an eye on this separately, so please do join and support if this is of interest to you.

  8. For users who are linked to IRD to file payroll, could we please have a separate option to 'Post' without filing. Currently we only have 'Post and File' as a combined option, which can create issues either when a client wants to review final reports and be sent the bank file before being lodged with IRD, or when you need to revert a filed payrun (with no filing changes) and don't want the risk of it trying to file with IRD again (I don't know if it does or not, but regardless, don't want the chance).   9. Very recent change to the Payroll Activity Details report, now Units capped at two decimal places, changed within the last fortnight.
    This needs to revert to four decimal places, as that is what is allowed when entering your payroll. Why has this been changed as now, the Payroll Activity report is the only available report to use to check a payroll, is no longer of any use as it does not reflect the correct data entry.

    Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.

    This change reduces manual workarounds enabling you to enter more information employees’ working patterns to support accurate allocations of leave and earnings rates. You’ll find you can now;

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

    We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

    We really appreciate everyone who’s engaged with us on this idea and those who’ve been involved in testing some of the functionality with us through the journey.

  11. Xero Payroll only subscriptions!

    It would be great to be able to open a payroll only Xero subscription for clients who currently don't need/use Xero for bookkeeping. For example, I have a small client who employees a few people but I only provide year end accounting services to which I use the Ledger subscription to complete the year end accounts. I currently utilise Sage payroll online for the monthly payroll reporting but if I could integrate this into Xero without the need for a main subscription, this would help me keep everything in one place.   12. I hope that there's separate columns for date and employee name as seen in the previous report as it's totally useful when summarising data for various period. For instance, when generating the old report, it's completely quicker to use the pivot table and other excel formulas to calculate the total hours work and the corresponding cost in a certain period and prepare a comparative report for various pay item/period and employee using the old payroll activity detailed report. It's a single payroll report where all the relevant information is included.

    Hiya team, thank you for sharing your feedback and letting us know the detail and why this is valuable to you. Based on feedback we received on the Employee name and Date columns the team have just released an update to the Payroll Activity Detailed report to include Employee name and Date as separate columns in the report and these will now show by default.

    This will help as noted when exporting and using the data for further analysis outside of Xero. 

  13. Payroll doesn't refresh data unless you scroll up and down inside an employees pay all the time
    Can you fix this ? Even if you had a button which you could hit to pull changes
    into pay amounts quicker
    It takes a long time waiting doing the payroll when putting in hours and different rates for each employee each week for the amounts to change and pull through properly

  14. PAYROLL AS AN ADD-ON IN AUSTRALIA

    Please allow payroll as an add on in Australia. The very basic plan is enough for most small businesses and sole traders, but the jump in price just to add one apprentice is prohibitive. I feel small businesses and tradies are not catered for well. We often don't need all the bells and whistles, but just something basic. To pay my apprentice via Xero will cost me an extra $360/year which is ridiculous.

  15. I currently pay for the Standard Plan (15/month) plus Payroll (5/month) and use it for 2 payroll users.

    Under the newly unveiled pricing plans my business has been completely shafted.

    In order to use Payroll at all, I need to upgrade to the new Grow plan (33/month), already an increase of 13/month. But on top of that, that isn't even enough because you're restricted this plan to only 1 payroll user. So actually I have to jump all the way to the second from top plan which is the Comprehensive at 47/month.

    Hi team, sorry a little late off the mark updating you all here. We'd like to confirm that, the changes mentioned in my last post are now live and implemented across existing and for any new customers adding an organisation or moving plans.

    In UK you can now add individual employees to Payroll on Ignite, Grow, and Comprehensive plans for £1.50 per employee per month (Ultimate will remain at £1). For Australia payroll is once again included in all Xero business plans, offering more choice and flexibility when it comes to paying yourself and employees, and making it easier to keep up with compliance obligations. On Xero Ignite plan you can pay one person(as you could with Starter), and two people on Xero Grow (as you could on Xero Standard). You can also process automated super payments on both plans.

  17. Re-instate the option to pay for additional people on payroll without having to jump subscription tiers.

    As a small business, every dollar counts, having to jump $25/month or $40/month to add a person to payroll hurts, especially when the additional features are unnecessary.

    The UK has already reinstated this option, it should be reinstated here too. (Not entirely sure why it wouldn't be other than the fact not as many people would have offered feedback here in AU comparatively to UK.

    In a capitalistic world, it would be nice to see you on the front foot Xero, show your care…

  19. Ability for Payroll Admin to delete holidays. When an employee books the wrong day or is off sick during a period of pre-booked holiday and wants his/her holidays cancelled, the payroll admin should be able to delete the holiday but cannot.

    Hi team, rounding back on the idea here I want to confirm that currently Payroll admins can reject approved leave requests which will delete it.

    If the leave request has been included in a draft or posted payrun, the payroll admin will need to revert to draft and delete the payrun before the leave request can be rejected.
