Contacts - Include account number or email address in exports
We need to export donations from Xero to our CRM system. However, matching on Name is looking very difficult but we could add either the CRM ID to the Contact record as their Account Number, or their email. However, I can't find a way of exporting a csv containing the date, amount, and either email Account number. Can this be added?
9 votesHi everyone, as noted in my last update it's possible to export contacts and their data from your Xero organisation.
This will include Account Number, email - See our article here.
It sounds like some in this discussion may want the ability to include the Contact Account Number in the emails sent for invoices and we have a slightly separate request for this that you may like to vote on.

3 votesHi community, returning to the idea here it is possible to bulk update all these details for multiple contacts at a time through the export/import with CSV. You can read more on this in our help here.

New Invoicing - Reset to Default Due Date option
New invoicing is missing the ability to select the default due date that is against the customer. I had to change the invoice date for a customer with set payment terms of 30 days from the invoice date and there were several suggestions listed but the old option to reset to default date was missing.
160 votesQuick roll out here 😊 the improvements for the date selector are now live to all users including the ability to Reset to default due date.
Just remember the default will be based on the setting in the contacts record, or if there is none saved this will default to the options set in your Invoice Settings.
Appreciate all your feedback and sharing with us through the idea here.

New Invoice - Cursor Default Position
In the old Invoicing, when creating a new invoice the cursor would default to contact field so as soon as the screen opened you could start typing to bring up the contact. With the new Invoicing you have to click on the screen in the desired field to be able to type anything.
Please fix this, it is extremely frustrating.
21 votesWe're grateful to everyone who participated in the discussion and provided valuable feedback regarding the cursor positioning. I'm pleased to announce that we have released a change, and upon opening your next invoice, the cursor will now default to the Contact field. Thanks again for your contributions.

Bank reconciliation - account allocation
When a contact is selected in the bank reconciliation it would be very helpful if the account and tax rate could be pre-filled from the details in the contact record. Example - I have setup Caltex as a contact with the default account as MV - Fuel & Oil and default tax code of GST on Expenses. When I select Caltex in the bank reconciliation as the Who the account MV - Fuel & Oil is prefilled to the What and GST on Expenses is pre-filled in the Tax rate. This is similar to how the account and tax rate…
2 votesHi Sharon, you can already do this in Xero!
The most effective existing tool is Bank Rules. You can set up rules that autoamtically idenitfy specific bank statement details, and allocate them to a predetermined Contact, Account, and Tax rate. Once set up, Xero suggests the correct coding, requiring only a click of "OK" to reconcile.
Xero also uses memorisation feature that remembers how the last transaction for a specific contact was coded, auto-filling the details for subsequent transactions.
We have a bit of help around this in Xero Central about bank rules and reconciling your bank account but if you need an extra hand you can raise a case with our Xero Support specialists. 😊

History & Notes - Filter to see only bank account changes to contacts
History & Notes Report - have a filter for changes made to bank accounts within the contacts menu
1 voteHi there! You can already achieve this by filtering the History and Notes report by Contact, and also using the search to refine the results by bank account edits. I've attached a video demonstrating how - hope this helps 😊

AU Payroll: Define default leave types
Currently under employees leave tab you can assign default leave types, but you can't define what the default leave types are.
Perhaps there is a simple checkbox for leave items in the payroll settings that allows you to choose.
Currently I have 4 leave types set as default, when I only really need two.6 votesHi everyone, I'm changing this idea to Delivered! 🥳
Leave types can be defined as default when a value in the 'Normal Entitlement' field in Payroll settings is entered.
To remove this leave type from being added each time a new employee is entered, you can:
- Click into Payroll, then select Payroll settings
- Click Pay Items tab, then Leave
- Click on a Leave Type that you'd like to remove as a Default Leave Type
- Remove the number of units the employee is entitled to each year under 'Normal Entitlement'
- Click Save

New invoicing - View full account name
New Invoicing: Auto adjust the account column width (or wrap text) so that the full account name can be seen when creating an invoice in New Invoicing. Currently users have to click on the account within each line to see the full account name. In Classic invoicing the account box automatically adjusts so that the full account name can be seen.
62 votesOur new line item grid is now available! Thanks for sharing and supporting this idea for being able to see the full detail of your Account.
With this release, all fields within the grid will wrap so if the contents spill over more than 1 line you can still read the full account within the field. Along with this, our product team have optimised padding, font size and column width to improve visibility and reduce the need to scroll when viewing your invoices.

Unit price receipts - Default Rate
When managing the finances for rental properties it would be great if a default rate could be set up against the 'Account' for rent payments so that the Unit Price ie weekly rent, doesn't have to be entered each time (52 times a year)
2 votesHi everyone, as previously shared - depending on how these payments are being recorded in Xero, a repeating template could be set up or creating a bank rule to help identify and create transactions for you could help with reconciling these sort of payments.

Bulk update account
Bulk update account for multiple line entries to allow for easier reanalysis of multiple line items within the software.
Include a feature to make it easier to change the account for multiple line entries at once through the supplier side to make it easier when bookkeeping to reanalyse multiple line items, rather than editing them one by one if they get reanalysed within the accounts.
I.e. for a client I originally posted all AXA payments as insurance, in the accounts they were reanalysed as other staff costs, at the moment I need to edit every single line item…1 voteHi Adam, we have a feature called Find and recode that will enable you to bulk update the account code for multiple lines at once. You could filter by the contact and then recode whatever lines of transactions as needed.
I'd recommend giving this a try in the demo co first and potentially working with your accountant before implementing this in your organisation. Have more of a read on this here.

New invoicing - show account column after saving
I've noticed in the new invoicing that the account column disappears when it is saved. While I don't want the account column shown on the actual invoice, I use this saved version in Xero to check that the correct account has been selected. I will not switch to new invoicing until this option is available as it would be extra time to edit the invoice to see which account was selected. Classic invoicing is a much better experience in my opinion.
69 votesThanks for staying tuned with us through the idea, here. As you may have seen when recently invoicing, we've released a new line item grid when the invoice is saved, and in view mode.
Along with other enhancements this encompasses moving details into their own columns including the Account column. We appreciate your feedback and sharing on how this change could improve the experience for you.

GST - Default tax rate pull from supplier settings
When reconciling a transaction the default tax rate should be per the Supplier settings if set up in the Supplier. It is the Supplier who is GST registered or not. Currently a non GST registered Supplier may come up with NO GST, however if you change the account code you are posting the transaction to it will change the tax to be inclusive of GST if that expense would normally include GST. Supplier status should always override account code status, otherwise if not picked up and corrected leads to inaccurate GST returns.
5 votesHey community, 👋 thanks for all your support on this idea, I'm popping in to switch it across to delivered! We rolled out support for maintaining the suppliers default tax rate when the account code is changed 🎉
If the account code changes, the default tax rate will not change unless the tax rate is not compatible with the new account code selected.
For more information check out our How your default tax rate and account settings work
Thanks again for your feedback, we appreciate your contributions.

AU Contacts
At present, contact details (name, phone, email, bank account information, etc.) can only be viewed or updated by searching and opening each contact individually. This is very time-consuming when managing multiple suppliers and clients.
It would be extremely helpful to have a report or consolidated contact list view that displays all relevant contact information in one place — including name, phone, email, bank account details, and other key fields. Ideally, this report would also allow for:
Bulk viewing of contact information without needing to open each contact separately.
Inline editing or the ability to update fields directly from the list/report…
1 voteHi Anna Maria, while not directly within Xero you can bulk update contacts via an export and import. Just follow the steps in our Xero Central article here. 😊

Reporting - Option to add account numbers & zero balances to financial statements
Ability to have to have a check box for "Include Account Numbers" and "Include or Omit Zero balances".
Purpose: Because it demonstrates completeness to show that the balance actually is zero
212 votesHi everyone, as of today the ability to show nil(zero) balance accounts in reports is live to all users!
To confirm, there are 2 ways to turn this on. Either through a blanket selection in the Report preferences, or via a toggle on and off option within the 'More' menu of the following reports;
- Balance Sheet
- Profit & Loss (Income Statement)
- Statement of Cash Flows - Direct Method
- Trial Balance
- Cash Summary
- Movements in Equity
- Blank report
- And, Report templates
As we close out this idea, we want to say a big thank you to everyone that's shared their interest in this with us overtime.

Contacts - Attach file to contact from file library
Can I also please say, how frustrating it is that you can not now attach a file to a contact from the file library. This is how we have always attached our end of month creditor statements, that are emails to us, we have always forwarded these directly the file library, re name as required and then attach to the contact from the file library when completing the checking process for each creditor. This now will mean that statements can not be forwarded directly from the creditor email but will have to now be saved into a PC desktop file…
76 votesHi team, we've now released the ability to upload files directly from your computer to a contacts record! As noted in our last update, you'll find;
- The file library uploader option is now back on the Files tab of the Contact overview
- We display all files (including previously attached ones) allowing you to attach a file to multiple documents (e.g. Contact, Invoices…)
- We've enabled the ability to add multiple files from file library in one go
Thanks again for all your feedback around this and we appreciate you staying tuned to the idea here. 🙂

Multicurrency - Different exchange rates per bank account
Multiple bank account with similar currency but to apply individual exchange rates for accounts with the same currency.
1 voteThanks for sharing your idea about the option to hold a separate exchange rate against bank accounts in the same currency.
Now it's up to the community to get behind and support it. Make sure you share your idea with any colleagues that this could benefit, so they can add their votes and comments too!

- Create or select from working pattern templates
- Add working patterns manually or using the template
- Setup multiple weeks of a working pattern
We’ve shared a few videos on YouTube that’ll help guide you through the change 😊
We really appreciate everyone who’s engaged with us on this idea and those who’ve been involved in testing some of the functionality with us through the journey.

Find & Recode - Ability to change multiple accounts at once
It would be great if we could have an option to use find & recode to change to several accounts at the same time (similar to cash coding), rather than having to use the function over again each time. For example, if a client codes many transactions to general expenses, it would be useful to have a single screen where you can change the coding, with a column for "Current Account" and a second column for "New Account".

New Invoicing - Keep the previous Contact when using Copy
Please change the new invoicing so when we copy the invoice, the previous contact automatically appears as default
We should not be choosing the customer each time we copy an invoice
382 votesHi everyone, we've introduced a change to new invoicing so you now have the ability to copy an invoice to a draft invoice and keep the existing contact. 🙂
When you select this option, you'll see a pop up where the current contact is selected by default, however you can choose another contact or leave this blank if you'd prefer.
Thank you for all your support and sharing back on the idea for this feature, here.

Bills - Bulk Void multiple bills
When duplicate bills have been entered you have to delete them one by one, would be great to be able to delete them in bulk
103 votesHi team, just as a follow up to my last update - along with the ability to bulk void bills, it is now also possible to bulk void payslips. See my last update for more detail on this process 🙂
